Three Goals for Success

There are over 50,000 Cool Culture families this year; if even one family from your school arrives at a museum uninformed, it strains our relationship with museum partners. When families know how to use the Pass, they are prepared for a successful experience during their visit. Please make sure to distribute a Cool Culture Family Guide with each Family Pass and discuss the rules of the Pass with families and staff.

We know that exposing children to new cultural environments helps to establish a lifelong love of learning that ensures success in school. The holiday break is a perfect time for families to make use of their Cool Culture Family Pass. Please encourage them to make their first visit by February 28th!

It’s true that families often wait until the summer to use their Pass but our goal is to get them going before then!

Continue to encourage families to make visits throughout the year – post our Get Out & Go! event flyers and event e-newsletters onto your bulletin board and distribute them directly to parents.

Encourage families that use their Pass to share their experiences with others, or ask them to organize play dates with another family who hasn’t yet used their Pass.

When is the next and last deadline to submit Family Pass registration forms?

Forms must be in our office by Thurs, January 26, 5:30pm. This is the last opportunity to register families and staff.

When can I pick up Family Passes?

Cool Culture Family Passes are available for pick up during the times listed below. Please check your email for exact dates and times. Upon request, we can mail Passes. However, we are not responsible for Passes lost in the mail.

Early November 2016: 1st Registration Passes At the Cool Culture Fair

Mid- December 2016: 2nd Registration Passes At the 2nd Professional Development Workshop

Mid- March 2017: 3rd Registration Passes At the 3rd Professional Development Workshop

How do I submit forms for the final deadline?

Forms must be in our office by Thurs, January 26, 5:30pm. Please follow the steps below:

1. Distribute double-sided registration forms.We will NOT process single-sided, stapled, or colored paper.

2. Parents should complete the Family Registration Form and staff shouldcomplete the Staff Registration Form.

3. Review and collect forms before January 26!• Check that each double-sided form is completely and clearly filled out.• Make sure that parent/guardians’ names are correctly spelled. Last names

will be printed on personalized Passes.• Collect all completed forms from families and staff before January 26• Keep a photocopied set of the forms for your records.

the last name printed on the card. Parents may be

asked to present personal identification to verify

that the Pass is theirs.

Not For ScHool trIpS No more than three families may enter a museum

together at one time. Family Passes may not be

used for school or class trips.

eXtraS are eXtra Remember that the Family Pass covers general

admission. Families may need to pay extra fees for

special exhibits and activities. They should call the

museum about specific offerings if they’re unsure.

luckY Number 5Up to 5 people, including the parent/guardian, will

be granted free admission with a Cool Culture

Family Pass. More than 5 people total? Be prepared

to pay additional admission fees.

Please review these guidelines with families and staff using the 2016-2017 Family guides, mailed to your center.

*If families do not have a personal ID, they can sign up for a NYCmunicipal ID (on nyc.gov) or a library card at their local library. Yourcenter can also create a laminated ID with your center’s name.

A personalized Cool Culture Pass offers families in participating schools with free general admission to 90 participating museums, gardens and zoos. Our partner institutions donate over $1.5 million in admissions annually in order to serve Cool Culture families. In return, institutions require that families and staff know and follow the guidelines below.

Family Pass Guidelines: Group Trips

No more than three families may use their Family Pass together at the same time.

The Pass is not for group or school trips. Please note that violating the Family Pass protocol creates an undesirable ripple effect for thousands of Cool Culture families and the Cool Culture program.

Schools that attempt to use their Cool Culture Family Passes for group trips will be stopped at the cultural institution entrance and asked to pay full price. All violations are reported to Cool Culture, and the reported school will risk being dropped from the Cool Culture program.

Tips for organizing school or class trips on your own:

• Get Out & Go! events provide opportunities to encourage a large group of yourfamilies to visit together. Check out your monthly e-newsletter, Culture Liaison Connection, for special event dates to share with families. We encourage you toorganize a field trip to these family festivals. See pg. 22 for festival dates.

• Many museums offer free or suggested admission. Please make sure to firstconfirm with the museum if there are any arrangements needed for group trips.

See the appendix for a full list of museums that offer free or suggested admission.

• Plan ahead! Cultural institutions vary in their group-visit policies. If there is aspecific institution that your school wants to visit as a group, contact their VisitorServices Department. Ask if there are free or discounted group trip options forcommunity-based organizations.

Family Pass FAQs

What is a LOANER PASS?

A limited number of Loaner Passes are provided to each school. They are included with the 1st round of Passes and “Loaner Pass” is printed on them.

These Passes provide the same access to Cool Culture’s partner institutions and are for enrolled families to borrow. Therefore, families that are waiting for their Pass to be printed or who have lost their Pass can request to borrow a Loaner Pass.

All Family Pass rules still apply: Please provide every Loaner Pass user with a Cool Culture Family Guide.

Create a Lending System! Below are two successful lending systems used by Cultural Liaisons.

Make a Cool Culture kit that includes the Loaner Pass.

Use a large Ziploc or tote bag and include the Loaner Pass, a notebook, pencils and other fun tools to enjoy before and during the visit. The large kit helps families remember they have something that belongs to the school. Include an index card where you can write parents’ names and when they should return the Loaner Pass.

Create a Cool Culture animal mascot to accompany the Loaner Pass.

Use a stuffed animal or laminated cut-out of an animal to join families on their adventures with the Loaner Pass. Put it in a tote bag along with a notebook, for families to check out and jot down their family's Cool Culture adventure with the animal. With this system, families are less likely to misplace or forget to return a Loaner Pass.

Final Registration Deadline: After January 26th, 2017, we will not print replacement or new Family Passes. Please e-mail [email protected] about any missing, lost or misspelled Passes before Jan. 26th.

I’m missing a Family Pass. What should I do? First, review the pick-up date for the round in which the registration form was submitted. See pg 11.

If the pick-up day corresponds to when you submitted forms, e-mail [email protected] with the full names of the parent/guardian(s) that are missing Passes.

If we have their registration information, we can print their Pass in the next round without a new form. If we don’t have their information, we will need a new form submitted by January 26, 5:30pm.

I have misspelled Family Passes. What should I do? The only name that needs to be correctly spelled is the Last Name on the card. The first name and child’s name will not be verified by museums.

If their last name is incorrect, please e-mail [email protected] with the Family Pass ID number and correct spelling of the parents’ last name(s).

We will correct the name(s) and reprint a Pass in the final registration round, which will be available in March 2017. In the meantime, we can provide a formal letter for the family to bring when using their misspelled card. They must return their misspelled card to you before they receive their new card.

Families lost their Pass. What should I do? Before January 26th, e-mail [email protected] with the full names and Pass ID numbers of the parent/guardian(s) that have lost their Pass. We will have a new Pass available in March with the 3rd registration round.

I have Passes for families and staff that are no longer in our school. What should I do?Please mail or hand-deliver these Passes to our office. Alternatively, you can e-mail a list to [email protected] with each Pass ID number and shred the Passes at your school. Family Passes should only be distributed to enrolled families and current staff. However, if a family leaves your school after receiving their Pass, they can keep their Pass.

Workshops for Cultural Liaisons

Cool Culture’s 4-part professional development workshops series familiarize Cultural Liaisons with exciting exhibits and programs at cultural institutions throughout NYC.

The workshops are facilitated by Cool Culture and partnering museum educators, and take place at our cultural institution partners. Cultural Liaisons will explore new strategies and activities to share with your school and families. The workshop also includes an interactive tour of the space and exhibits and networking opportunities for participants.

Get out & Go! Special Museum Promotion

WHAT is Get Out & Go!?

Get Out & Go! is an ongoing campaign to encourage parents to use their Family Pass throughout the year.

This special museum promotion makes it easy for you to recommend specific events, ex-hibits and workshops at three friendly and welcoming institutions. The special events that we promote are open to more than three families using their Pass at one time! Spanish, Mandarin and Cantonese-speaking volunteers will be available.

We know that families are more likely to use their Cool Culture Pass if they have a specific recommendation about where to go and what there is to do there.

• Hold a parent orientation to ensure parents know how to use their FamilyPass and have enjoyable experiences!

• Use the Cool Culture Family Guide as the basis for your Cool Cultureworkshop and one-on-one conversations with parents.

• Play Cool Culture videos (www.youtube.com/user/CoolCultureNYC) inyour workshop to introduce the program’s benefits and share helpful toolsfrom the viewpoint of parents and educators.

• Ask a parent who values the program to share their experiences.Parents are more moved when they hear from other parents. Throughoutthe year, establish a team of parent leaders that can help encourage otherparents to use their Family Passes.

• Accommodate families’ schedules. Although parents are busy, try to holdan orientation during pick-up or drop-off time or, even better, hostmeetings with childcare or refreshments, if possible.

Establish a Cool Culture corner in your school newsletters with up-to-date info on Get Out & Go! events, reminders to visit the Cool Culture Facebook page and a museum-going tip for each month.

Celebrate and praise families that go to museums by featuring them in your school’s publications. What tips can they share with other families?

Include events from our monthly events e-newsletter in your events calendar.

Families may feel more comfortable going as a group. Remember, no more than three families are permitted to use their Passes together at one time.

Play it forward – Have staff start the chain and join a parent on a trip to a museum. Then, ask the parent to partner up with another parent from your school to continue the fun!

Pair new families with families that have used their Family Pass to help guide them on their first exploration!

Encourage groups of two or three families to make visits together.

Create a Cool Culture subway train on your bulletin board or outside of each classroom. Have families bring back a brochure or photo when they visit a museum. Add the photos to a subway car on the Cool Culture train each time they go on an adventure.

Create passports or have families work together to create their passport at a workshop. Include only 2-4 pages and ask parents to turn it in for another passport and a small prize (stickers, a certificate) once they complete all of the pages.

Start a classroom competition. Encourage parents and children from different classrooms to compete to make the most visits over the winter holiday season or for a Get Out & Go! event. Then, award the class with their choice of an arts party or pizza party.

Have a raffle where families’ entry tickets are brochures, stickers or photos from their museum visits. The raffle prizes can be metro cards or you can create gift baskets with donations from local businesses. Your local pharmacy and restaurants may offer products for free if you ask!

Hold a different themed contest every season. In the fall, you can give a small prize to five families once they make their first visit. In the winter, you can reward five different families who travel outside of their borough to use their Pass. In the spring, you can give small prizes to all families that visit a Get Out & Go! museum event!

Classroom teachers are a trusted voice in the lives of children and their caregivers. Discuss with your Principal how classroom teachers can encourage families to visit museums to strengthen what is learned in the classroom.

• Encourage teachers to suggest a homework assignment for parents - tovisit a museum that is related to the class theme. If children are studyingbuildings, caregivers might visit the Egyptian temple at the MetropolitanMuseum of Art. If transportation is the classroom theme, the teacher mightencourage parents to visit the New York Transit Museum. Add theserecommendations into your school newsletter for parents to consider.

• Teachers can ask children to Show & Tell. Every Monday, children can beencouraged to share what they saw and did on their weekend culturaladventures. The teacher can start a Cool Culture notebook that is kept in theclass library, in which children get to add pages to describe the places theyvisit.

• Download Cool Culture Hunt Cards from www.coolculture.org. Share themwith teachers during staff meetings. They introduce children to new ways oflearning about art, social studies, science and literacy through museums!

• Sometimes less is more. Families should know that they don’t need to stay atthe museum for an entire day. One hour may be more than enough and theycan return for free on another day to enjoy the rest of the institution.

• Plan and call ahead. For parents, planning is important to make sure visitswith their children are enjoyable and fun. It is often helpful to call aninstitution first, to ask about any special events, material fees or languagetranslations available.

• Come prepared. Brainstorm with families what to pack for their museum trip.You can look in the Family Guide for helpful, fun ways to prepare. You cansuggest that they bring their Family Pass, a personal ID, snacks, a notebook,pencils, crayons, and something to occupy their child.

• There is no right or wrong way to enjoy a cultural institution! Let yourparents know they should feel free to follow their children’s interests andknow that their visit is an opportunity to spend relaxed, quality time together.

What does “suggested” admissions mean? It means that you can pay any amount you wish for entry. You do NOT have to pay the full suggested

amount. These museums are public institutions.

Cool Culture provides Family Passes to families whose children (ages 6 and under) are enrolled in participating early childhood centers and schools. If your child's school is not a partner, they must apply in the summer on our website, www.coolculture.org. They can call (718) 230-4186 if they have any questions.

Even without a Family Pass, there are many ways your family can explore the city for little or no cost. Use the information below to plan your next museum adventure!

Family experiences in cultural institutions help to spark children’s curiosity to ask and answer questions about what they see. As they get more comfortable exploring new environments, they take the initiative to explore and investigate exhibits and activities.

Attracted to exciting materials, children persist at try-ing new, creative tasks, be it creating a sculpture at an art museum or a conducting an experiment with sand at a children’s museum. Creativity and problem-solving are required in the artistic experience.

At museums, families have an opportunity to observe, guide and participate in their children’s learning utiliz-ing community resources.

New and exciting learning experiences in museums, gar-dens and zoos help families to recharge, reconnect and build new memories that are a source of strength and bonding.

Children express their observations and ideas as they discover a wide range of new things, from an ancient mummy to a live penguin. They develop rich content knowledge through first-hand experience.

In museums, botanic gardens and zoos children encoun-ter new vocabulary and make connections to prior knowledge and experiences.

Children draw inferences about what they see to make meaning. For example, the boy in the painting is looking down, so he must be sad.

Children ask and answer questions about what they see.

Families build children’s print awareness as caregivers read aloud exhibit labels or share maps to navigate the museum.

Museums are great places to practice counting, recog-nizing shapes and describing quantities and positions (e.g. There are more seals than sea lions. The sea lion is behind the rock. That giraffe is the tallest animal).

Experiences with art-making and interactive exhibits fos-ter children’s comfort with experimentation, where they make predictions based on manipulating materials. For example, how much yellow paint do I have to add to make green? Botanic gardens, zoos, and some children’s museums provide opportunities to observe, describe and com-pare different types of plants, animals and habitats.

• Respond to works of art, dance, music, theatre.

Children have the opportunity to express themselves in music, art, dance and role play. In cultural institutions, families can experience the arts through history and cultures.
