The 2015 National Postal Forum offered huge learning opportunities for all who attended. The event this year was very educational AND there was lots of excitement in the air. It is very evident that it is best for all involved when the USPS® works directly with the Mailing Industry.

As expected, the networking opportunities at the NPF were fabulous. If you didn’t attend this year, then start making your plans for the NPF 2016 event. So, I've played sports my whole life. I think this sport is so much better at expanding the mind. Enjoying a Beautiful day while helping others. What better way to enjoy the spring weather than enjoying a joy ride while also supporting the Pediatric Brain Tumor Foundation’s “Ride for Kids” fund raiser.

Roxanne and I joined a group of hundreds of other motorcycle enthusiasts on a beautiful Saturday in the Wal-Mart parking lot in Oxford, Massachusetts.

Participants must donate a minimum of $25 to the Pediatric Brain Tumor Foundation to participate in the ride. Many riders collected well over the minimum donation. T-shirts were given out for the minimum donation with pins, hats, jackets and other gifts being awarded for larger amounts donated. During registration, the riders enjoyed free coffee and donuts, thanks to the generosity of Dunkin Donuts.

While hanging out before "Kickstand Up," many riders commented on how nice it was to have clear weather. The word around the parking lot was that rain had been the norm during the ride in past years. Following the safety briefing, 8 motorcycle officers from various communities escorted over 140 riders on a 45 mile ride that looped back to Oxford. On the trip, the winding route took us on state highways and through many small towns west of Worcester. So it was great to see officers in squad cars from local munici-palities helping to control traffic as the riders crossed busy intersections.

On returning to Oxford, the participants were treated to box lunches and soft drinks, which were donated by Wal-Mart.While the riders ate under a huge tent in the Wal-Mart parking lot, the organizers thanked the motor officers and donors. Anyone who donated over $300 was entered into a raffle for a new Honda touring bike and other prizes. The top individual donor collected over $20,000 dollars. The top dealer collected over $22,000. The total donated by all riders was over $62,000. After the raffle, we heard from the kids themselves who are surviving cancer and are directly benefited from the money raised by riders over the years.

Q: Does DAT-MAIL support participation in the USPS program eInduction?

A: DAT-MAIL fully supports eInduction. Participation in eInduction requires that mailers submit an email to the eInduction mail box ([email protected]). Once approved, their Mailer CRID will be added to the eInduction list and then eInduction training for the Origin BMEU/DMU PVDS must be completed. Q: How can I get notified for mandatory updates or software updates for Window Book’s software?

Q: Where can I find the USPS PostalOne! External Contingency Guide? A: Visit contingency plan guide in RIBBS. (https://ribbs.usps.gov/intelligentmail_latestnews/documents/tech_guides/PostalOneExternalContingencyPlan.pdf) As important as it is to know the PostalOne! contingency plan, it is just as crucial for mailers to create their own contingency plans, based on the PostalOne! contingency plan, and to put steps into place to handle internal situations that prevent mailers from submitting files to PostalOne! If your computer systems go down, your internet service is disrupted, your mailing software has a glitch, your power goes out, whatever your situation may be, the USPS understands that things happen beyond your control and will work with you to insure mailings are submitted properly without losing Full-Service discounts. Use the PostalOne! contingency plan as a guide for your own internal plan, as the steps for submitting your mailings will be similar. It is vital that you notify your local post office as soon as possible that you have a situation preventing you from processing electronic documentation as usual, and that you need to implement your contingency plan. It is also key to document your plan carefully, and include your local post office when developing your plan. Q: What is Window Book’s Automatic Postal Data Updates System? A: It is a Window Book software system that allows you to automatically update the Labeling List information into your software. Once you have this FREE add-on tool installed with your DAT-MAIL software, you no longer have to remember to check for Labeling List updates, nor do you have to perform manual downloads because it will automatically be taken care of for you! Preparing Pallets for Full-Service® We frequently receive questions on this topic because mailers are often confused about when (or if), trays and sacks need to be placed onto pallets or other containers such as APC’s or Gaylords for Full-Service mail. Luckily, the United States Postal Service® (USPS®) has recently updated a fact sheet on the RIBBS website to offer guidance to mailers on Full-Service palletization. Is palletization required for Full-Service? The short answer is NO. Mailings of loose sacks and trays may be submitted at Full-Service prices as long as all the requirements for Full-Service participation are met. However, if these loose handling units are placed on or into any type of container, that container does need to have a pallet placard affixed to the outside of the container, and that placard must be printed with a unique Intelligent Mail® Container barcode. The updated fact sheet from the USPS provides more detail regarding when these loose handling units MUST be placed on or in a container and placarded. These requirements vary by class and processing category of mail. First-Class Mail® Pallet preparation and placarding is required for First-Class mail in these scenarios:

There is 72 feet of tray mail or 24 flat tubs of mail or more

The mail within the container is prepared according to a labeling list destination and there is at least 48 feet of letter trays or 16 flat tubs or more

The mailer has an active Customer Supplier Agreement (CSA) in place

The pallet is flagged in your eDoc as participating in the eInduction program

Pallet preparation and placarding is NOT required - although it is preferred - in these scenarios:

There is less than 72 feet of trays or 24 flat tubs of mail

The mail within the container is NOT prepared according to a labeling list destination and there is at least 48 feet of letter trays or 16 flat tubs or more

The pallet is NOT flagged in your eDoc as participating in the eInduction program.

Periodicals, Standard Mail® and Bound Printed Matter Pallet preparation and placarding is required in these scenarios:

The mail is equal to or greater than 500 pounds of bundles/sacks or 72 feet of tray mail or 24 flat tubs of mail

The pallet is flagged in your eDoc as participating in the eInduction program.

OR

The pallet is prepared according to a labeling list destination and is:

Under 500 pounds of flats entered directly at a DDU

Between 100 and 249 pounds of bundles/sacks or 12 feet of trays entered at a destination NDC, ASF, ADC or SCF

Between 250 and 499 pounds of bundles/sacks or 36 feet of trays

Flagged in eDoc as participating in the eInduction program.

Pallet preparation and placarding is NOT required - although it is preferred - in these scenarios:

The mail is less than 500 pounds of bundles/sacks or 72 feet of trays or 24 flat tubs AND mail within the pallet is not prepared according to a labeling list destination

The pallet is NOT flagged in your eDoc as participating in the eInduction program.

One of the most common Mailer Scorecard errors for Full-Service validation is with the By/For information, which is the identification of the various entities involved in the mailing. The “For” part of this equation is the Mail Owner, or the entity responsible for the content of the mailpiece and who ultimately benefits from the mailing. The “By” part of the equation is the Mail Preparer (the entity physically preparing the mailing) and the eDoc Submitter (the entity submitting the Mail.dat files to PostalOne!).

All of these entities must be correctly identified in the Mail.dat files submitted to PostalOne! Typically, this identification is done using the Customer Registration ID (CRID) or Mailer Identification (MID). There is a variety of fields in the Mail.dat file where this data may be populated, so it is very critical that mailers understand where these fields are located, how to get them correctly populated, and to make sure there are no conflicts with this data.

This, of course, assumes that you even have the correct CRID and MID data to begin with. Luckily, the USPS offers search capability on the Business Customer Gateway, so that mailers may validate the CRID/MID information. This search capability is provided for both individual searches and bulk searches, where files containing CRID or MID information for multiple clients may be submitted at one time for validation.

Correcting Mailer Scorecard Errors Once you have analyzed the data available on your Mailer Scorecard, it is important to use this data to review your mailing process to determine where in your process these errors are occurring and make any necessary changes. The Mailer Scorecard includes a “drill down” function that allows users to drill down to the specific mailing jobs with errors and then to the specific errors. The Mailer Scorecard will provide error codes and a recommended solution. The error codes can also be looked up in the PostalOne! technical guides.

DAT-MAIL Software Updates

The installation of MS SQL is now required for DAT-MAIL.

We are now offering access to our AWAM (Advanced Workflow Automation Manager that has the ability to run multiple/simultaneous Mail.dat file imports for automated processing. Please contact Client Service at 800-524-0380 or [email protected] for more details.

We are now using 3 sets of Labeling List information in DAT-MAIL and the information about the lists being used can be viewed in Help/About/More About. If you are using our recommended Automatic Postal Data Updates to install these updates, please make sure you are using Window Book Automation Scheduler version 7.9.52.65 or higher.

We have added a new option in the Utilities menu named By/For Exchange. With this feature, you are now able to Import or Export your Client data.

We have added a new File Archive option named ‘P1 Released Files Only.’ This option allows you to only archive the Mail.dat files from the system that have been successfully submitted to PostalOne!.

Ingredients: 2 large zucchinis 16 oz. 96% lean ground beef 1/2 cup onion, chopped 3/4 cup tomatoes, roughly chopped 1/2 cup red bell pepper, finely chopped 2 TB Italian seasoning 1.5 tsp. garlic powder Salt and pepper, to taste 1 packet sweetener 1/3 cup low-fat shredded Parmesan cheese

Meatball Parm Stuffed Zucchini

Directions: 1. Preheat oven to 350 . Cover a baking sheet with aluminum

foil. Set aside.

2. Cut each zucchini in half lengthwise. Scoop out zucchini flesh, leaving ¼ in thick shells. Place the shells on the baking sheet and finely chop the zucchini that was scooped out.

3. Put shells in oven for 10 minutes to soften.

4. Coat a large skillet with non-stick cooking spray. Place skillet over medium-high heat & add ground beef, chopped zucchini flesh, onion, tomatoes, red pepper, Italian seasoning, garlic powder, salt, pepper, and sweetener. Sauté approximately 10 minutes until beef and veggies are browned. Stir and chop with the back of a spoon or spatula frequently in order to fully break up beef into fine crumbles. Remove from heat and set aside.

5. After you have removed the zucchini shells, increase oven temperature to broil. Place skillet contents evenly in zucchini shells and sprinkle 1.5 TB of shredded Parmesan over each half.

6. Return to oven and broil for approximately 5-7 minutes or until cheese is melted and tops are golden brown. Enjoy!

Hmm… Tell me more… I recently attended a great tradeshow (the National Postal Forum, Anaheim, CA) and had a lot of fun. But I also witnessed a lot of poor sales techniques. I listened to multiple sales people telling prospects every possible detail about their product or service… on and on… Do you do this? Do you talk too much when talking with a prospect? If you do… try this… simply say, “Hmm, tell me more (and then stop talking)”. And when they are done say to them, “ Interesting, what else can you tell me about that?” Initially, your prospect should be doing 70-90% of the talking when you engage them. You should have a scripted set of questions designed to get the prospect to open up and give you the opportunity to identify exactly what they need, want, would like to change or would like to improve. How did you end up in your current job?

What did you do before this? Both of these questions are designed to get the prospect to talk about his/her favorite subject… himself/herself. Also, these questions are open ended enough to learn a great deal about the prospect’s life. The first question lets them talk about what they are doing now and the second question opens up their entire past… and they will be only too happy to share it with you. Once you have established a rapport with the prospect (but not before…) then you can skillfully move the conversation in the direction of identifying the prospects real needs/wants. My All Time Favorite Closing Line Do you have your calendar handy? This line can be used to close any type of sale. This can be used as a test closing question or the final close.

If the prospect says yes then he is engaged… and you just need to completely assume the sale and move forward. “You do have your calendar handy… great… shall we deliver, install, invoice, or whatever Tuesday or Wednesday? Morning or Afternoon?” You can fill in the days and times with whatever is appropriate. If he/she says, No, I don’t have my calendar handy then simply say… “No problem, which will work better for you for the delivery, install, invoice or ?... Tuesday or Wednesday?” I will typically follow that line of conversation up with… “Great, all we need to do is get a little information and we can get this product name/service in your hands… Who will be scheduling the delivery, install with…? Who should we send the invoice to?” Discounted Pricing Typically, your weakest salesperson will give the biggest discounts. This should be tracked so you can identify team members who need additional training to keep the discounts to a minimum. Your weaker salespeople will just want to close the sale… they are afraid to sell from the top down... they are afraid of losing the deal. Selling from the top down is quoting your top price (and sometimes an inflated price…) just so you have room to come down in price to a place where your client feels as though they are getting a deal and you have enough margin to actually profit on the deal while delivering a great product/service. I am in no way saying that you should quote pricing that is out of line and unfair to your clients. I am saying that you should quote a price that is fair and gives you the profit you need to be able to hire a great support team, add new features to your product and stay in business so your clients continue to benefit from your product/service. My point is: Track your pricing discounts by Salesperson. You will find that month after month it is the same people selling the most discounts. Please take this info and prosper.

The U.S. Postal Service has been investigating making high priority deliveries using a drone for quite some time. USPS union work rules require these aircraft to be manned, however. On April 15, 2015 the first of the USPS’s new “manned drones” landed on the lawn of the U.S. Capital so that the letter carrier could deliver his important campaign finance document.

Even though the U.S. Postal Service mailed the flight plan to the FAA and the Department of Homeland Security, apparently the notice was not opened and read in time. U.S. news media reported this even as an act of civil disobedience or potential terrorism, when in fact it was just the U.S. Postal Service experimenting with a new delivery system. Like previous efforts to expedite delivery such as “Rocket Mail” in 1936 and

“Missile Mail” in 1958, it appears that “Gyro-Mail” may not get off the ground, though this time due to some misunderstandings, not a technological failure.
