The following procedures shall be followed when placing portable radios in/out of service. Radios, cases, straps and batteries will only be exchanged on a one for one basis. 2. PLACING HTs IN/OUT OF SERVICE 2.1 Officer on duty: 2.1.1 Immediately notify administrative Division of the need for a spare radio. 2.1.2 Advise the Division of the unit and position of the radio being placed OOS. 2.1.3 Prepare an RT-2 with complete description of defect of radio as well as unit and position of the radio being placed OOS. 2.1.4 Prepare all required reports, i.e. for missing parts. An Unusual Occurrence Report is required for excessive damage to the radio. 2.1.5 Upon receipt of spare radio, ensure proper ID has been placed in HT by transmitting from spare HT to another unit HT. The following channels MUST be checked for proper ID: HT-1/Tac 1, HT-2/CMD-1, and HT-9/Tac SEC. 2.1.6 When proper ID has been confirmed, take mark in Company Journal attesting to proper ID entered in HT. 2.1.7 Forward defective radio, with battery, antenna and remote speaker mic to Division. 2.1.8 Verify time of day clock is correct (see Addendum 5). 2.2 Radio Depot: 2.2.1 Upon notification from unit of need for spare HT; verify unit and position of HT being placed OOS. 2.2.2 Change ID of Spare radio as per instructions in section 2.1 2.2.3 Check that proper ID has been entered in spare radio by using another radio to check ID. 2.2.4 When assigned unit’s radio is repaired and returned to the Division, return HT to Unit, and return spare HT to Division Depot, and change Spare HT ID to its original 7 digit ID. 2.2.5 Shall track status of spare, loaner and missing radios.

1. SPARE RADIOS

2. PLACING HTs IN/OUT OF SERVICE

Note: It is critical to life safety that no two radios are on the fireground with the same ID. Division Depot shall ensure that the spare radio is returned to its original 7 digit ID.

Radios receiving transmissions from spare radios may display only numeric IDs due to programming limitations.

3.1 Care must be taken to ensure proper 7 digit ID is entered on all 4 channels (1, 2, 9, and 14). Use ID chart below to ensure proper ID is programmed.

4. LOANING SPARE RADIOS TO OTHER THAN FIELD UNITS

4.1 When Radio Depots are required to loan Spare Radios to other than regularly assigned Field units, Radio Depot shall continue to utilize the Spare Radio application on the Intranet http://www.fdny.org/handietalkie/shd_login.cfm. This will ensure that any radio assigned to a special unit or detail will be able to be recognized by EFAS. Radios receiving transmissions from these radios will display a 7 digit ID.
