Duties and Responsibilities
Sort all Work Comp. Claims Mail by Medical, Non-Medical
Mail that is from California is first priority when done sorting mail
All law firms, auto documents, etc. go to Non-Medical
Work in a fast paced, timely manner
All mail needs to be completed in one day
Communicate with supervisors/employees at all times
Mail Drop Times
At 5:45am and 8:30am Monday-Friday, all BP,CP Claims mail comes in buckets and trays
Business Reply mail arrives at 10:30am and 12:30pm(Richmond, Salem, Irvine, Davenport, Scottsdale)
At 10am, 11:30am, 12:30pm, 3:00pm and 4:30pm, smaller interoffice maildrops dropped off by Sentry truck.
During each drop, employees sort, prep, scan all mail to make the process quicker and more efficient

Able to work in a fast-paced environment with mail arriving in mailroom continuously
Communicate with my supervisors/employees Sort and prep mail effectively with minimal errors Ask questions when necessary to come up with best
possible decision
BP Claims Goes Paperless!!!
Before All worker’s compensation
documents were assigned file handler number
Three digit number that was on document went to specified person
All documents(Medical, Non-Med, Miscellaneous) were put into file folders with three digit number; specified to a specific claims rep.
Documents were passed around from building to building; increasing risk of fraud/identity theft
After No longer have file folders for
workman’s compensation documents
All documents are sent through OPEX scanners; claims reps. receive documents within minutes rather than 1-2 days
By going paperless, makes process more fluent, efficient, and quicker with minimal errors
Eliminates the identity theft by having all documents in one location, decreases risk of lost mail
Average Parcel Opened: 0.66/minuteAverage Envelopes Opened: 1.53/minute

Challenges
Did not realize there was mail coming in throughout the day Adapt to different rules and regulations about various documents
and where they go Difference between mail that was from an attorney with a bill and
attorney with medical records Knowing how to process mail according to time zones(ex. East
Coast mail first priority to West Coast; last priority) Different areas within Sentry(pensions, consumer products
claims, business product claims); for sorting purposes
Things I Learned about EDM(Enterprise Digital Mailroom)
Able to keep up with constant mail coming into mailroom throughout the day
Rules for all pieces of mail(BP, CP, Business Reply) Different P.O.Box number were assigned to specific
region in United States(8044, 8038, 8039, 8040, etc.) As time went on, was able to prep mail faster with
minimal mistakes Know difference between a black and red medical
document and read the claim
