G E N E R A L I N F O R M A T I O NBuffets and Plated functions
All buffets must meet a 25 guest guarantee. Please note that the price quotes do not include the 21% service charge or the
Florida State Tax which are both applicable to all events. No more than a selection of two entrees for Plated Dinners. If 2
choices are chosen it is the contacts responsibility to provide us the name and choice of each attendee on individual place
cards.
Price Guarantee
All quoted prices are subject to change. Due to the fluctuations of prices, the hotel will not make a firm commitment until
contract is signed to a function.
Number Guarantee
For all food functions the final attendance must be given to our Catering Office no later than 7 days prior to your function date.
However, should your number drastically increase or decrease, please let us know as soon as possible. In the event fewer
people attend, you will be charged for your guaranteed number and if more people attend your event you will be charged for the
overage of the set guaranteed. The maximum number of individuals attending any portion of a function will be considered the
amount subject to a service charge and tax.
Food and Beverage
No food or beverage, alcoholic or otherwise, shall be brought into the hotel by the Patron or Attendees from outside
sources. The hotel reserves the right to prohibit the Patron from removing from the premises any food or beverages provided
under this agreement. Due to cross contamination and safety issues all food or alcohol prepared by our catering department
must be consumed in the meeting/banquet areas at the time of the function.
Audio Visual Equipment
We will be happy to arrange for all audio-visual requirements for your function and request that you notify the sales department
of your needs at least 72 hours in advance. As a courtesy, we will provide one microphone and podium. Easels with flip charts
will be available for a minimal charge.
The decision to move an outdoor function will be made after a consultation between your banquet coordinator and your group’s
meeting planner 5 hours prior to your function start time. Should the weather report indicate a 50% chance or greater probability
of inclement weather, all outdoor functions will automatically be moved to the assigned alternative location. We occasionally
take pictures of your function before it begins and reserve the right to use as media advertising.
Property Damage
Your organization will be held responsible for any action or damage caused to the property by any guest or employee of your
group.
Noise Ordinance
To comply with the local noise ordinance and to consider our other guests we ask that all music or any other excessive noise
end no later than 12:00 am. This applies to all areas of the hotel, especially to those functions being held outdoors.
Security
It is the group contact’s responsibility to make arrangements to secure exhibits, merchandise, or articles set up for display. The
Hilton Garden Inn will not be responsible for any missing or damaged articles. The Hilton Garden Inn strongly recommends
arranging security. We are not responsible for equipment or personal property left in rooms before, during or after functions. It is
the groups responsibility to have the front desk lock up the room any time it will be unattended.
Deposit / Payment
A deposit of half the room rental is required at the time of your confirmed reservation to hold the meeting space. NO EVENT IS
GUARANTEED WITHOUT A SIGNED CONTRACT. Payment for the remainder of your invoice will be required a minimum of
7 days prior to the event unless other arrangements have been made through the sales department.
Tax Exemption
Tax Exempt groups will need to provide the hotel with their tax exemption certificate no later than 2 weeks prior to the function
or the group will be charged tax. Once tax is collected it will not be refunded.

As the issuance of an alcoholic beverage license places great liability and responsibility upon the licensee, it is of the utmost importance that policies be set forth when
alcoholic beverages are sold, served, and/or consumed on the licensed premises.
Therefore, in the interest of the health, safety, and general welfare of the guests of this establishment, which is licensed as a retail alcoholic beverage licensee with the
Florida Division of Alcoholic Beverages and Tobacco (herein known as LICENSEE), all functions held on these licensed premises that involve the sale, service, and/or
consumption of alcoholic beverages will be subject to the laws of the State of Florida and the policies of this establishment as described herein.
This policy acknowledgment will serve as a legally binding agreement between LICENSEE and any entity (herein known as HOST) that engages LICENSEE to provide space for
any function that HOST holds on the premises of LICENSEE. The word "function" found within this acknowledgment means any party, event, reception, banquet, or other
engagement with LICENSEE that involves the sale, service, and/or consumption of alcoholic beverages on the licensed premises of LICENSEE.
By execution of this Policy Acknowledgment, HOST hereby agrees that:
1. Alcoholic beverages will not be permitted to be sold or served to any person under the age of 21. Any person in violation of this law, including Host, will be subject to
arrest and, if found guilty, up to a $500 fine and 60 days in jail. (F.S. 562.11(1)(a), 562.111)
2.HOST will notify LICENSEE both prior to, and during, the function of any persons in attendance under the age of 21.
3. Any person attending this function, including HOST, who appears to be under the age of thirty (30), must provide one of the following four forms of identification if that
person is to purchase, possess, or consume alcoholic beverages at the function:
Military ID
Drivers License
Passport
State-issued ID
All ID's must contain a photograph, date of birth, and expiration date and must be in reasonably good condition. (F.S. 562.11(1)(b), F.A.C. 61A-3.052)
4.It is unlawful for any person, including HOST, to misrepresent or misstate his or her age, or the age of any other person, for the purpose of inducing
LICENSEE or its agents or employees are prohibited to sell, give, serve, or deliver any alcoholic beverages to a person under 21 years of age. Anyone convicted of a violation
of this law is guilty of a second-degree misdemeanor punishable by up to a $500 fine and 60 days in jail. (F.S. 562.11(2)(a)
5.LICENSEE shall not become liable for injury or damage caused by the intoxication of any person of legal drinking age. (F.S. 768.125)
6.LICENSEE is a private enterprise licensed as an alcoholic beverage retailer by the State of Florida and may refuse service of alcoholic beverages to any person who is
objectionable or undesirable to Licensee but such refusal of service shall not be on the basis of race, creed, color, religion, sex, national origin, marital status, or physical
handicap. (F.S. 5621.51)
HOST recognizes this policy acknowledgment as a legally binding agreement between HOST and LICENSEE. HOST further recognizes that any violation by HOST, or any person in attendance of the function, of any laws of the state of Florida or policies of LICENSEE while on the licensed premise, will result in the immediate cancellation by LICENSEE of all alcoholic beverage sales, service, and/or consumption for the duration of the function.
Cancellation due to just cause by LICENSEE of alcoholic beverage sales, service, and/or consumption does not excuse HOST from any financial obligations to LICENSEE
concerning balance(s) due LICENSEE from HOST for payment of the function.
