Possible suggestion to use Ont Reign relationship for a 'Wave' ice

* Ontario Ice; request to change ice sheet painted logo to Wave. Ont

mgrs noted a detailed ice resurfacing is needed and would help

families with brand identity to Wave organization.

* Mgs suggest next season have an "All In" fee at sign up which

covers cost of all/most of the supplemental items (e.g. Polo's, ties,

helmet stickers, etc.). Always challenges with asking families to pay

for anything extra after sign ups. Mgrs noted that Wave jersey fee's

and other fee's collected at sign up are very reasonable giving

impression that by increasing fee's to be more inclusive would be well

received by families.

* Mgrs asked if there was a better way to handle all of the paperwork

at signing or LOI (e.g. code of conduct, concussion, etc.)

* Mgr question regarding policy around 'stick time' for locker rooms for

males/females.

○ Uniforms running slightly behind but no issues with

being at rink prior to Labor Day tournaments

○ Polo Shirts were a challenge with vendor. Finally

found one who is making sizing shirts available next

week. These sizing shirts and an order sheet will be

made available to managers. Cost of 2 polo shirts are

included in new jersey orders. Players who didn't order

new jersey's will need to order/pay $50 which includes

two. Pant color is noted as Kaki for players, Black for

coaches. - Noted by Jeremy and Quinn

Team Web Site: Process being worked to submit team supplemental web site info to be tied into main CHC web site. CHC planning to develop an administrator section to post

documents as needed.

Tournament Fees: Discussion on how managers handle tournament fees and expectations to both coach and players. Recommendation to all managers to comply with CHC

Team Manager Responsibilities, Coaches per Diem and Expenses section as main guideline.

• Additional discussion if team head coach is also assistant coach for another team at same tournament. Advised that manager should still use same guideline to help manage

team expectations. Team should have expectation that coaches will not 'double dip' and that extra funds will go to team funds and used in other expenses.

• Additional discussion if coach also has player on team. Advised to use same guideline which would count player as part of tournament fee's. Again, any extra funds to go back

to team with understanding that coaches will not 'double dip'.

Discussion on Cal Select: Only 19U is staying. Team name TBD

Jerseys / Helmets: Reminder all players will be getting new jersey's. Sizing jersey's are currently with Quinn now but official sizing is at first practice. If players are not available,

suggest to parents to submit jersey order with payment information by 8/3 with their estimate of size and player height/weight.

• Helmets: Club will accept Black, Navy or White for this season. Starting in '08-'09 season, Tier teams will require Navy and Non-Tier team will require White. Suggest

managers to advise players considering purchasing new helmets to comply with next years policy.

Team Bank Account: Note that banks will not issue an account in team name only without a Tax ID# which can not be supplied to CHC. Suggestion by Shelly to use personal

account with two names. Example; Shelly Wada, Cal Wave 18AA which allows parents to write check to Cal Wave 18AA. (Thanks Shelly!)

○ Request to have Kaz request from Board to check with East West Bank for a non-fee or reduced fee bank account for teams.

Fund Raising: Detailed conversations around use of team fund and non-profit funds. Emphasis on use of non-profit funding and expectation to managers to clearly communicate

that any funds given to non-profit are at the use of the CHC and not to be allocated to any individual player or even team. If person donating funds insists that the funds must be

tied to a player or team, manager must refuse donation. Spirit of fund allocation discussed. Other team fund raising to team fund (not using non profit), can be used for any

purpose. Manager, treasurer or fund raising chair expectation to produce monthly statements for their team review as required.

Team Practice Slots: Jeremy advised CHC is revising slots due to Cal Select 14U departure. Will have done shortly.

Logo's / Cafepress.com: Discussion to utilize cafepress.com for items which are not carried by pro-shop. Managers understood requirement to notify CHC Board when ever

their team or CHC logo is used (e.g. separate web site, cafepress.com, etc.) Quinn agreed to review cafepress.com concept and reply back to CHC Board with suggestion. Kaz

will continue to work process with CHC Board for approval.

Conflicts with Player Numbers: Suggestion to give preference to returning player. If both returning players, flip coin.

USA Hockey Registration: If late, player's parent should be asked to complete in office right then. Email Stephanie ([email protected]) with number ASAP. Players deadline is

officially 9/1 but our manager communication and expectation to our players is 8/1 to support Registrar's time line.

Managers Book Player Required Sheets: Waiver of Liability is part of USA Hockey official roster, no additional paperwork. Consent to treat, medial history, code of conduct

forms will be out shortly and sent to us. Manager needs to get copies of players birth certificates and coach's card (both sides)
