Executive Summary

The Mayan Agency, LLC is an independent insurance agency that is partnered with and represents multiple insurance companies and provides all forms of insurance to our clients. The Mayan Agency has been providing customers with protection and financial security since 1915 in Merrill, Michigan and is looking to expand its professional services across the state in Ada, Michigan

The Mayan Agency, LLC separates itself from competitors because we are an independent agency. We are able to represent multiple insurance companies instead of only one like a traditional captive agency. This allows for flexibility in purchasing insurance and allows potential clients to choose from multiple companies through the same agency and pick the company that best fits their needs. Clients are able to have their home protected through one company, and their automobiles through another.

Our independent insurance agency is committed to provide compile comprehensive protection with financial security, at competitive and reasonable costs, through financially secure companies, with professional, courteous and personal service.

Our targeted audience consists of any individual with good credit and claim history. When it comes to targeting commercial accounts, we target contractors and small businesses. Along with advertisement and consistent door-to-door marketing and telemarketing the new Mayan Agency will rely heavily on referrals from other customers our current agency insures in hope that our strong reputation will bring us new business.

The Mayan Agency will also be heavily involved in the community of Ada, Michigan and surrounding locations, just like the current agency is in Merrill, Michigan today. We will be joining organizations such as fireboards, lions club, churches, and business associations in order to expand our name to the west side of the state and inform potential clients of the kind of business standards we hold ourselves accountable for.

The success of the Mayan Agency relies on how well we can establish ourselves during the first year of business so all loans can be paid at the end of year one and a net gain can be recorded. This may require a potential customer base prior to starting the business through referrals from current customers and extensive marketing before the new agency is up and running. I am confident that the new agency will be a success because of the knowledge and help that will be provided from my family, and the dedication that our staff will put towards the agency. The history and reputation the Mayan family has for providing professional insurance coverage to clients all across the state of Michigan will allow potential clients to put their trust in our business.

The Mayan Agency is an independent insurance agency that provides all forms of insurance needs for customers through multiple partnerships, which essentially gives our clients multiple policies to choose from through many insurance companies depending on the type of insurance coverage our clients need.

Mission Statement

Our independent insurance agency is committed to provide compile comprehensive protection with financial security, at competitive and reasonable costs, through financially secure companies, with professional, courteous and personal service.

Company Goals and Objectives

Our agency’s goal is to provide adequate insurance coverage to each and every customer at competitive costs and cover each loss when in need but at the same time strive to reach the goals given from the insurance companies, which results in pay increase and rewards to the agency. Less losses = agency benefits. Certain objectives will be set to accomplish these goals, but by no means will the reaching for rewards interrupt with the needed coverage when a loss occurs. The customer always comes first.

Marketing Strategy Statement

Our goal as an independent insurance agency is to provide the best service possible to customers who are looking for a more personal experience in a small agency atmosphere. It is beneficial to purchase insurance through an independent agency, because you can choose the best fitting policies from multiple partners, who we represent to satisfy individual insurance needs. Partnering with multiple insurance companies allows customers to choose from many different quote ranges and coverage’s to insure they are receiving the proper insurance though a personal agent to protect their most important assets. Background

Our agency has a strong and loyal cliental base, which has trusted our agency with their insurance coverage since 1915, which we take much pride in, which is why we will be celebrating our 100th anniversary next year. Our agency has been in the same location since the start in the small town of Merrill, Michigan. Our customers are pleased with the small agency atmosphere and enjoy the personal care we provide which is why we have had success over the last 99 years.

The Customer Need and the Target Customer

My plan is to essentially duplicate our current agency, but place it in a larger wealthier urban environment such as Ada, Michigan. By doing this it will provide the small town agency atmosphere in a larger city, and allow customers to obtain insurance in a more personal manner than they are used to, rather than dealing directly with the insurance companies or a captive agency who only represent one company.

The ideal target customer is a higher income customer with solid credit and claim history. When targeting commercial accounts we target contractors and small businesses. The Mayan Agency will rely heavily on referrals from current customers because of how long we have been around. Community involvement will also be essential, as in joining groups such as lions club, churches, and various business associations.

Product Description

Our product as an independent insurance agency is insurance coverage to clients and their assets. Our agency partners with multiple insurance companies and can quote clients through each company depending on the type of insurance that is needed. We can display price ranges and coverage descriptions so the customer can choose the coverage that best suits them and their needs. Our agency provides every type of insurance, from health insurance to commercial insurance through a personal agent.

Our agency writes policies that generate premium for our partnered insurance companies, and then our agency is paid commission for selling the policies, which is how the agency profits. Companies rely on the agency to get customers to pay premiums and in return reward the agency with commission.

The Mayan Agency, LLC will provide customers with a way to purchase insurance through an independent insurance agency. The fact that we are an independent agency allows us to represent multiple insurance companies instead of representing only one like a captive agency does. This allows customers to choose from multiple different companies. The fact that we have been trusted for insurance purposes since 1915 also gives The Mayan Agency leverage over other agencies. Being around for almost 100 years is an unbelievable accomplishment and shows a great deal of success.

Constraint:

Starting a small agency in a new location with only three employees and writing 402 accounts for the first year to net a gain is a difficult task. It is a difficult goal, but is obtainable. Also, locating in a high income location means that a large portion of our potential clients already have insurance coverage, it may be difficult to get them to switch to our agency.

Vulnerability:

The Mayan Agency, LLC is vulnerable to the already established captive insurance agency in the Grand Rapids, Michigan area. It is going to take patience and consistency to become an established insurance agency in an area where there are many of them.

We will have to gain clients through extensive and consistent marketing and emphasize to potential clients the successful history The Mayan Agency has in selling insurance.

Advertising

Advertising will be done through billboards, restaurant bulletins, church bulletins, school year books, and WSGW radio station. I am going to advertise the new agency just like my family advertises the current one. This has generated success in the past, so I am going to take the same route.

BillboardsThe current agency has two billboards near our location in Merrill, Michigan. I am definitely going to be placing billboards near the location of the new agency, which will either be in Ada, Michigan. There will definitely be one along US 131 because of the large amount of passing traffic. They will most likely represent Auto Owners because we co-op with them to split advertising costs when we have their logo on our advertisements.

Church BulletinsThe current agency advertises local and surrounding towns church bulletins. For the new agency I am going to do the same. My grandfather has done that for years, and I am going to do the same.

Restaurant Bulletins/Tack Boards/White-BoardsThe current agency advertises in local restaurants. The advertisement is on paper placemats on the tables and also on tack boards and white boards. I am going to do the same with the new agency and being that there are a lot more restaurants near the new agency’s location there will be more of this type of advertisement.

School YearbooksThe new Agency will advertise in local high school yearbooks being that there are a lot of high schools in the Grand Rapids, Michigan area.

WSGW RadioThe current agency advertises on WSGW radio, which is also your radio for the Detroit Tigers. This is a good advertisement because many people listen to the Tigers on the radio while in their car and WSGW constantly says the name of the Agency throughout commercial breaks during the ball game. This advertisement is also a co-op with Auto Owners in order to split the costs. Baseball is a good sport to listen to on the radio because of the slow pace and it can be followed easily without a visual reference, which makes it a solid radio station for my agency to advertise in. Advertising Expenses = $100 per month/$1,200 for the first year

Operation of the Business

Summary of Operation

The independent insurance agency being established will essentially be a duplicate of my family’s current agency. It is a small agency consisting of two or three agents who represent multiple insurance companies. Our agencies task is to sell policies that generate premium for the companies, and return are paid in commission. This commission provides enough income to pay all expenses for operating needs such as; payroll, supplies, utilities, accounting, computer technicians, and insurance for our own business. According to my financial plan, after the first year the agency’s overall annual net income will be $260 after all expenses are paid off. If my desired goal is not reached, some expenses might have to be paid with current agency funds until all expenses or debts are paid off.

The Mayan Agency’s business type will be a Limited Liability Company (LLC). This business type is essential because being an LLC separates your personal assets from your business. It provides protection incase the business is sued and protects the family and members from acquiring a loss as well. It also protects your trade name, which means other companies cannot copy the name of your business. Forming an LLC also avoids ‘double taxation’ because income passes through member’s personal tax returns and the income is tasked only once. Being established as an LLC means that the business is perpetual and transferring ownership is relatively easy. If a member passes away or leaves the company the business can continue without having to be reorganized. This is important in a family business so ownership can be passed easily from one family member to the next when the time comes.

The building will be located in Ada, Michigan.

The building that will be used to operate the Mayan Agency will need to be remodeled to an office environment to support a reception area, an equipment/storage room, rest room, a file room, and a private office. The remodeling will cost $10,000. The building will be rented monthly at $800 per month. Operating costs for utilities will be $125 per month.

The Owner (myself) will be operating out of the private office. The two Customer Service/Sales Representatives will be operating out of the reception area, which will consist of two separate cubical office areas (one for each employee). Each office area will include a desk, chair, computer, and telephone. Furniture expenses = $10,000

The file room will hold all customer files, and will be organized alphabetically by last name for personal accounts, and by company name for commercial accounts.

Processes

To meet the desired financial plan, the Mayan Agency will need to write and develop 402 accounts during the first year of business to pay off startup expenses and to provide an annual net income of $260 after the first year. This is a very ambitious number and would average out to 8 accounts per week. This goal will require hard work by the agency but is definitely reachable.

Each customer account will generate $3,000 in premium to the insurance companies, which will provide $400 net income to the Mayan Agency per customer account. This generates a 13.33% commission rate from the company to the agency.

My employees and myself must constantly reach out to potential clients on a day-to-day basis with a strong door-to-door sales pitch in order to inform them of the benefit of our services. Potential clients will also be handed a detailed informational pamphlet describing our history and insurance services. This will also inform potential clients of our friendly small town business personality. I’m hoping that the solid background of my family’s current agency will lure in clients to the new agency based on our previous success. Cold calling or telemarketing will also be a market strategy the Mayan Agency will use to reach out to potential clients. It is crucial that we remain consistent on reaching out to our potential target market in order to obtain the 402 accounts needed to reach success during our first year.

To keep current clients satisfied with our service it’s important to reach out to them with open arms to review their current accounts to make sure that they are still satisfied with their current coverage. Policy reviews will be encouraged to clients before their account is even purchased to let them know that they are able to review their accounts with an agent at anytime.

Three-Year Projection Plan

After three years, I anticipate the Mayan Agency to have a total income of $1,912,500 and a net income of $79,689. This includes the agency holding a total of 638 accounts, which is a 58.5% sales increase from year one to year three. ($1,912,000-$1,206,000/$1,206,000=58.5%)

In order to reach this goal, it is essential that all agents work hard to add additional customers and retain current ones through the door-to-door and telemarketing marketing strategies and current client account/policy reviews. It is extremely important that our current clients renew their accounts annually so we can continue to grow our clientele base from year to year with additional new accounts to reach success for the agency. If accounts are not being renewed it is impossible for our clientele base to grow and produce an increasing net income from year to year.

At this point in the new Mayan Agency’s life there will still be one owner (myself) and the two Customer Sales/Service Representatives through the first three years. Expansion in staff will not occur until the fourth year. With a growing clientele base it will be important to get ready to expand and hire additional Customer Sales/Service Representatives and a co-owner. It will be important to hire additional employees in relation to our growing clientele base in order to satisfy our customers and provide adequate services to provide solid client retention for our agency. The number of additional employees to be hired will depend on the growing rate of our clientele base after the third year is complete

Management/Staffing

Description of Positions (First-Year)

Owner: The owner (myself) will be responsible for the overall operation of the Mayan Agency and the decision-making that goes along with the operations. The owner will be responsible for hiring two responsible Insurance Licensed Customer Sales/Service Representatives who are qualified to work at the Mayan Agency. The owner will market, sell, and write insurance policies for the insurance companies our agency represents. The owner will be responsible for the heaviest load of personal insurance accounts and ALL of commercial accounts.

Customer Sales/Service Representatives (2) (Full-Time): The Customer Sales/Service Representatives will be licensed insurance agents who are qualified to sell insurance. They will market, sell, and write insurance policies for the companies our agency represents. They will do more marketing than the owner and will handle only personal accounts (home, auto, life, etc.). They must have a bachelor’s degree in the

field of business, along with experience in the insurance industry either through a previous internship or a previous job as an insurance agent.

Attorney (Contractor): The agency’s attorney is Don Gilbert who works out of the Mahlberg Brandt Gilbert & Thompson law firm. He will be hired to help ensure that the agency’s insurance licenses are up to date, legal fees are paid, and various permits are up to date in order to ensure that the Mayan Agency remains a completely legitimate business. He is the attorney our current Agency hires and has a solid background in the business law field.

Accountant (Contractor): The agency’s accountant is George Snyder who works out of McDonald & Associates. He will be responsible for preparing financial statements and tax returns for the new Mayan Agency. My family has trusted him for many years now with their accounting needs and he will be hired for the new agency as well.

Computer Technicians (Contractor): The computer technicians that will be hired for the new Mayan agency are Mainstream Computers who are located in Alma, Michigan. They will help with any computer technology difficulties and software downloads. They well ensure all software is up to date and ready to go. My family has developed a strong friendship with Mainstream Computers, so I am going to hire them for the new agency as well.

Key Members

Kyle T. Mayan

Kyle will act as owner of The Mayan Agency, LLC. Kyle is also the author of this business plan. As a single owner/entrepreneur, Kyle is responsible for all operating duties as mentioned in the owner job description. As a family member of a family who has owned and operated an Independent Insurance Agency since 1915, Kyle has much knowledge in the insurance industry. Kyle is a motivated and ambitious student who is looking to expand the family name and business for further success for The Mayan Agency.

Kyle is currently enrolled at Aquinas College in Grand Rapids, Michigan and is pursuing a Bachelor’s degree in Business Administration with an emphasis in Sport Management. He is currently employed part time at The Mayan Agency in Merrill, Michigan during the summer. His job duties consist of sorting mail and distributing it to other employees. He also puts away and organizes files and policy expirations for all types of accounts.

Kyle also brings years of experience in leadership to the table from being a three-sport athlete/team captain. Kyle also had the opportunity to play both football and basketball at the collegiate level, so hard work and determination are not new to him. These experiences have allowed him to gain both strong leadership and communication skills both on and off the field.

Through the years he has observed and studied the way his Grandfather, Father, and Uncle have sold insurance to their clients, these observations have sparked an interest in Kyle, and have made it clear to him that The Mayan Agency is where his future lies.

Thomas J. Mayan, P.E.

Thomas J. Mayan, P.E., Grandfather of Kyle Mayan, will be the go to man for advice and direction in helping Kyle start the new agency. His extensive knowledge in the insurance field and great success over the years will help Kyle get started in the right direction. Thomas J Mayan, P.E., attended Aquinas College for two years in their pre-engineering curriculum and then went on to attend Marquette University and graduated with a B.S. in Civil Engineering in 1950. He then went on to become the Gratiot County road commissioner, where he built and constructed many roads in Gratiot County, Michigan. He also worked as a Civil Engineer for a private construction company called Pickett & Schurer Construction where he contributed to the design and cost estimate of various bridges and roadwork construction projects. In 1977 he joined The Mayan Agency to become an insurance agent. During this same year he developed a company called Central Michigan Engineering Services where he served as an engineering consultant for multiple counties in central Michigan. This allowed him to continue his engineering practice in conjunction with the Agency operations, which allowed him to

utilize the many skills he has to offer in multiple areas of work. Thomas J. Mayan retired from engineering in 2011, while also becoming semi-retired from The Mayan Agency

Rudy C. Mayan

Rudy C. Mayan, Uncle of Kyle, graduated from Central Michigan University in 1986 with a B.A. in Business Administration with a Finance Major. Rudy joined the agency in 1988 and is still working for the agency today as a Co-Owner and manages all personal lines for the agency.

Thomas J. Mayan II

Thomas J. Mayan II, father of Kyle, graduated from Delta College in 1984 with an Associates Degree in Business. He then went on to graduate from Aquinas College in 1986 with a B.A. in Business Administration with an emphasis in Finance and Marketing. Thomas joined The Mayan Agency in 1996 and is till working for the agency today as a Co-Owner and manages all commercial lines for the agency.

Co-owner: The co-owner will be entitled to the same duties as the intial owner as described in the first year positioning’s. The Co-owner is also entitled to the same authority as the initial owner. Organizational Structure

The Mayan Agency will operate using a functional organization. Each agent will be responsible for certain types insurance accounts. For example, I the owner will be responsible for commercial accounts. Together we will function as an agency that provides clients with every type of insurance coverage in the market.

Start-Up Funding

The investment expense to build the new Mayan Agency will be $77,250. The owner will provide these funds through a $25,000 investment from his own funds. My father, Thomas Mayan Jr. will provide an additional investment of $40,000. A bank loan of $12,250 will also be needed to get the agency up and running.

Having the bank loan be the smallest source of funding for investing is a major stress reliever. If things don’t go as planned during the first year of sales I can at least pay off the bank immediately and my debt will be strictly within the family, not with any outside funding sources.

Accounting System

George Snyder, our accountant, has been doing the current Mayan Agency’s accounting work for years. He prepares all financial statements, and provides help with tax returns. The accounting expenses will range from $100-$120 per month for the first few years until the new agency becomes well established and starts to grow

Financial Analysis

The Mayan Agency, LLC is showing a net gain of $260 at the end of year one. To reach that goal the agency will need to sell 402 accounts and obtain a total income of $1,206,000. At the end of the second year The Mayan Agency is expected to have a net income of $42,063. To reach that goal the agency will need to have sold 510 accounts and obtain a total income of $1,530,000. This is a 26.8% increase in sales from year one to year two. At the end of the third year The Mayan Agency is expected to have a net income of $79,689. To reach this goal the agency will need to have sold 638 and obtain a total income of $1,912,500. This is a 25% increase in sales from year two to year three.

If The Mayan Agency is showing a loss after the first year, the following adjustments must be made in order to pay off external debt expenses outside of the family while at the same time keeping The Mayan Agency running.

1.) Investing Personal Funds: in order to keep the business running and develop establishment, additional personal funds may need to be invested in order to pay off bank loans.

2.) Find Co-Partner: another course of action that may need to be taken is to find a co-owner who is willing to join the agency to increase networking and marketing in order to get the agency on track to record gains.

3.) Private Investor: a private investor may need to be found, in which the investor will invest a lump some of money into the agency and in return receive interest on his/her investment when the agency becomes well established

We are not selling enough accounts

If the Mayan Agency is not selling enough accounts for our represented insurance companies there will need to be an increase in our marketing strategies.

Increase in door-to-door marketing Extensive “cold-calling” or telemarketing Visitation to various companies to obtain commercial accounts which consist of

multiple policies which will generate more commission for the agency

Inexperienced Staff

Being a young entrepreneur means dealing with inexperience in the field of entrepreneurship. If I become overwhelmed with the duties of being a business owner I will have to sit down and consult with my family and discuss different ways to get me back on track and heading in the right direction. Patience is going to be key, along with consistency. The Mayan Agency is already a well-established insurance agency, so if business begins to spiral downward for the new agency, my family will be able to get my business back on track.
