Introduction Bicycles for Humanity® (B4H) is a global grassroots movement of local chapters in developed countries that aim to empower the people of Africa with mobility.

B4H has no paid staff or central organization. B4H’s founder maintains a web site that lists the chapters and provides the processes for chapters to be successful. The web site includes the B4H logos and related information that is used by the chapters and this manual.

The web site ( www.bicycles-for-humanity.org ) is a place for established chapters and new chapters to find each other so that they may exchange information about logistics and successes.

Individual chapters find their own African partners which are often those communities in which they already have an interest or have a desire to help. Existing chapters may have suggestions or require additional volume to help their partner communities. This is all done at the chapter level as there is no central organization.

The remainder of this manual, after the next chapter, provides the logistical information for chapters to be successful, from collecting bikes and packing containers, to shipping and customs clearance.

Background B4H was founded 12 years ago by Pat Montani of Whistler, British Columbia, Canada

In those 12 years B4H® has delivered over 125,000 bicycles to 11 African countries, while creating over 200 bicycle shops, called Bicycle Empowerment Centres® (BEC)

This was accomplished with no staff or overhead. Volunteers organized bike collections, raised funds to cover shipping and taxes and then, in partnership with local community leaders, implemented the BECs.

Bicycles provide mobility giving people better access to education, healthcare, fresh water, economic opportunity and community.

Bicycles impact every aspect of a community. Jobs are created servicing the bikes, those with bikes can sell their products in distant markets, kids have more time to go to school, healthcare workers can see more patients, people can develop new businesses or extend their current business.

B4H Chapter volunteers collect bicycles and ship them to community based organizations, in developing countries, in containers. Each container is stocked with 450-500 bicycles, tools, spare parts and training material on bicycle maintenance.

The containers are crafted into bicycle workshops (BECs) by the local people giving the communities the means to maintain the bicycles with the added benefit of employment

Starting a Chapter Visit the www.bicyles-for-humnity.org web site

The web site provides a list of chapters. You can contact these chapters or visit their web sites or Facebook pages to have discussions and ask for their experiences.

Once you have decided to set up a chapter you will need to set up your communications approach. You are responsible for your own web site and it is encouraged that you use a domain which reflects the B4H brand so that others can reach you; an example is www.B4H.groupname.com

You will also define your fund raising initiatives and bike collection strategy on the site.

For those who do not have the technical expertise to set up a web site, Facebook works well and a twitter account can provide reach. All of these in combination give you the maximum reach.

When you initiate your chapter, you may want to look to partner with organizations to help you fundraise and collect bikes. Today, many corporations have social responsible programs relative to the environment, healthcare, empowerment, education and women’s issue’s. Your electronic reach will be a major factor in gaining recognition.

A message to www.bicycles-for-humanity.org will result in your chapter being added to the central web site.

B4H Logo’s, Content Images and Process

Bicycles for Humanity follows themes of images and branding. The logos and branding are free to use, with the proviso that you acknowledge that these are registered trademarks of iEmpowerment Inc.. These, along with this process and Bicycle Empowerment Centre® model, make up the intellectual property and process of the Bicycles for Humanity movement, owned by iEmpowerment Inc.. As you look across the B4H movement, you will see many logo designs and images that reflect how each group views themselves and their work. We encourage you to use the B4H logos in combination with your groups identification.

Appendix 2 to this document are the Guidelines for Logo Use. Contact [email protected] for help with your logo.

Once you have set up your chapter and identified which group in the developing world you intend to help with the ‘gift of mobility’ the process of collecting and shipping bikes begins.

Media

As part of attracting volunteers, getting bike donations and fundraising you want media exposure.

The media loves B4H initiatives and radio, print and TV will give you time and space. It is a great story for them because it’s local, global, sustainable, environmentally friendly, grassroots and involves a lot of people showing compassion and caring in your community.

When you have formulated your program and identified dates, from collecting bikes to fundraising, you need to craft your message around it and contact the media.

Bikes The bikes don’t have to be in perfect shape, but, need to be workable. Very rusty bikes or bikes with bent frames are not desirable. The mechanics in Africa make repairs but can’t perform miracles on bikes we couldn’t clean up here in Canada. A small portion of the bikes can be for children but an adult bike serves a family , health care workers and the economy in a much more significant way.

Dollars and Cents As explained above, IEmpowerment has no center, it is a movement. Individual chapters or chapters working in unison take on projects. The chapters fund their own projects.

Containers

It is best to ship 40 foot high cube containers, the extra 18 inches over a normal container allows for about an extra 75 bikes to be loaded. A container costs around $US 3000-3500.

Shipping

Shipping to a port in Africa costs Approximately $US 5 to $7,000 depending on where you are shipping from. See Appendix 1 , ‘Detailed Procedure Manual’ for more information and contacts.

Import Taxes, Customs and brokerage

There are trucking charges, that depend on the distance from the port

There is usually a tax to be paid for the bikes to enter the respective country.

Some chapters fund all the way to their final destination, but some find partners in Africa to raise the monies locally to cover in country costs and applicable taxes.

Tax Receipting

As B4H is a movement it does not have charitable tax status. There are chapters in multiple countries and each country has their own tax regulations.

In the United States it is easy to get 501-C or charitable tax status and every chapter in the United States has it. We believe that, in most countries, every church has charitable tax status as do Rotary, Kiwanis and other civic groups. Bringing them on board is a way to gain charitable tax status and garner partners to help you grow your chapter. More details in Appendix 1, ‘Detailed Procedure Manual’

Fund Raising

This is where you and your group use your imaginations and research to determine the best ways for you to raise funds and there are many ideas.

Corporations are looking for ways to show they care, that they are involved in sustainable, humanitarian and environmentally friendly projects. They need this for their image and to help market their products and services.

Some clubs organize community bike rides or longer distance rides (see cycle4humanity.com) to get an idea), others seek a small donation of $10 with each donated bike. Obtaining this contribution is easy, if publicity has clearly mentioned the requested donation and explained B4H’s program and requesting a donation cuts down on delivery of "junk" bikes. Other chapters others combine their fund raiser with other events (see B4H-calgary.org), do wine and cheese parties, tacky bingo events, some create t-shirts for sale and others use their imagination to fill the gap.

Once you know what you want to do contact the local media with your plans as they will be supportive.

Bicycle Collection As you are probably aware it is estimated that 10 million bikes a year are thrown into land fill in the developed world. Many of these bikes can meet the mobility needs of the developing world, so simply collecting the bikes from the garages of your community, can probably fill a container.

So now all you have to do is collect them, load a container and ship them off. www.b4h-calagary web site shows much of how a mature chapter does it.

This is simply an overview, the appendix entitled ‘Detailed Procedure Manual’ goes thru all of the details from advertising to collections to loading containers and shipping and the myriad of details that are involved.

Summary From experience we know that a B4H bicycle collection is fun. Your community will get behind it and that makes it a great way to meet people and build community pride knowing that everyone who helped, donated a bike or donated funds made a difference in the world. They will feel proud of what they have accomplished.

One great way to learn about the process, the success and the heart-warming responses is to visit the chapter sites and link to their Facebook and Twitter accounts. That are all listed on the www.bicycles-for-humanity.org central site.

As you gain experience, you will then help others as the movement grows.

Introduction

The used bike collection is the principal means by which B4H® sources bicycles to help people in developing countries. A bike collection can also raise a significant share of the money needed to ship the bicycles and parts. The bike collection educates and involves greater numbers of the public (and recruits volunteers and collection sponsors) and its success in collecting bikes and raising funds builds credibility with corporate, foundation, and other potential program partners. Some chapters organize individual collections, while others work with partner groups like Church’s, Rotary Clubs and other Civic Clubs.

This manual provides guidance on organizing a collection and shipping the bikes.

As a B4H Chapter gains experience, the approach will surely evolve and suggestions are appreciated to other chapters are appreciated..

A Used Bike Collection?

A bike collection is typically a one-time, three-hour event, held on a spring or fall weekend, to which the public is invited to bring unwanted bicycles and donate $10 per bike towards shipping. At the event, a chapter’s volunteers—minimum four to six at any one time— prep the bicycles for storage and shipment and provide receipts, if the chapter has charitable tax status. Typical times are 9am–12 noon Saturdays or 12-3 pm on Sundays. In general, B4H recommends avoiding the summer and winter months when working conditions are less comfortable and more distractions discourages attendance.

Marketing Strategy

The appropriate marketing strategy for a collection will depend on local factors: the identity of institutional sponsors, the ease of alternatives for disposal of bikes, demographics and income, local familiarity with the concept of a used bike collection, etc.. The following, based on B4H experience in other communities, is to

provide suggestions, but not to limit your approach or imagination.

Who should Host a Collection

B4H calls the organization where the collection is to take place as ‘the sponsor’.

Basic criteria for a good sponsor and collection site include: local identity and credibility, central and accessible location and availability of volunteers. B4H experience suggests that a local cycling club, bike retailer, church, synagogue, school or established civic organization with a large volunteer base is best suited to sponsor a collection. Word-of-mouth is still the best form of publicity, even in the age of mass media. The location of the collection does not have to be that of the sponsoring group. For example, the parking lot of a large shopping center may be a better site than that of a church on a residential street.

Publicity

Publicity is key! The number of bikes received will depend on the strategy and effort employed in publicizing a collection. Using the local sponsor’s credibility is the first step in publicity. Beyond the sponsor’s network, other publicity channels include:

(1) The media. Let a local reporter know what you are doing. An article in the local paper will find you bikes. In large metropolitan areas, the local (i.e., suburban) paper often has a calendar and news space and therefore gets people's attention (and their bikes). Failing an article, make sure you get the collection into the calendar feature appearing on the Thursday or Friday preceding the weekend (and which generally have two-week deadlines). Don’t forget throw-away Shopper

newspapers; they have calendars in them and also publish articles. If possible, submit a press release in electronic format as this is a more convenient format for the newspaper to use. Of course, contact local TV and radio stations as well as they also have community calendars. B4H makes a good feature story for a local newscast.

(2) Churches, temples, etc. Faith communities will generally place notices in parishioner bulletins announcing non-profit events such as B4H bike collections. Such congregations are frequently the best source of bikes. Obtain a list from a local council of churches that also includes the names of pastors so that you can send an announcement to the pastor directly. If you can get a group of churches to sponsor the event jointly, this is even better.

Often a church will have a social action committee with an interest in overseas development; ask at the office when leaving a flyer and other publicity material, for later follow-up. Along with a flyer, send the church an that they can paste into their weekly bulletin. You can also print this item on a post card to be sent as a follow up about two weeks before the event. In a cover letter, tell them that this announcement is available also via e-mail (with address given) so they can request it in electronic format.

(3) Service Clubs. Be sure to contact Rotary Clubs, Lions Clubs, Jaycees, etc., to have the event announced at their meetings. If they will entertain a visit from you (even for a short announcement), take the opportunity.

(4) Bicycle Clubs. Send notice to local bicycle clubs. If you need help identifying such groups, do a search on the web.

(5) Bicycle Shops. In addition to placing a flyer in such shops, talk directly with the owner about how the shop can cooperate with you to promote the collection. Bike shop owners are often sympathetic and in a position to provide volunteers, publicity and even old bikes. Bike shops can often "seed" your event, providing an initial drop-off of bikes to establish visibility at the site and to provide volunteers the opportunity to hone their processing skills. Some shops offer customers a credit towards the purchase of a new bike, if they donate an old bike and $10 to B4H.

(6) Flyers. You can make flyers, using the B4H logos, for posting in supermarkets, libraries, health clubs, gyms, schools, clubs and civic organizations, churches, etc.. Usually, it is best to post them at least two and preferably three weeks before the event. Make sure you list a local contact phone number. For schools, see if you can get the flyer distributed directly to students to take home to their parents. If you have a good supply of volunteer labor, you can put flyers (in full or reduced size) on windshields at football games, malls, or other places with large parking lots.

Before the Collection

1. At least six weeks prior to the event, make sure your team is aware of the specific date, time, site address, public contact number and that they have reviewed this manual

2. Get tools and supplies: pedal wrench(s), Allen (hex) wrench(s), zip ties (or heavy twine, for pedals), adjustable wrenches, screwdrivers (slotted and Phillips), and lubricant. Additional tools, such as a vise-grips, and items such as a table, chair, donation envelope, boxes (for parts, trash, etc.), tape (electrical or similar), and rags, are also handy.

4. Post the bike collection banner, if possible, the weekend before the collection, in an area easily visible from the street.

5. Encourage bike donors to come early. Stack your volunteers towards the end to finish strongly. A common tendency is for the volunteers to be there early, the bikes to be later, the volunteers leave, and a few tired “draftees” must finish compacting and loading the bikes.

6. Should you pick up bikes? Often, people will call requesting that you pick up a bike. Be careful, time is limited. As a rule, we recommend not picking-up individual bikes, however, if a caller is willing to donate $10 and has a desirable bike, is relatively close by, and really can't get it to the collection, consider making an exception, time permitting.

7. Should you allow people to drop off bikes before or after the collection? If the organization sponsoring the event can store bikes dropped off early or somehow get bikes dropped off later to B4H, this may be possible, but don’t allow bikes to be dropped off early or late without an accompanying contribution.

At the Collection

Set-up. Be sure to get to your site at least a half-hour early, to post additional signs directing the public to the site, as well as to set-up and orient volunteers. Late arrival combined with an early influx of bikes can disrupt organization, cost time and energy, and fray relationships with volunteers and the public. Make sure the volunteers have a secure working area (away from moving cars). Seed the site with a few bikes collected beforehand to establish a site presence, facilitate work flow, and permit new volunteers to practice their skills. Have a table to display B4H literature and t-shirts, with two chairs for volunteers to take donations and write out receipts if you are providing those.

Staffing. (1) assist donors in getting bikes out of vehicles, (2) offer receipts, literature, and t-shirts on sale, and (3) compact bikes for shipping. Training can be done before the event—or at the start, demonstrating ‘live’. For a typical collection, we recommend four to six volunteers at any one time.

Training Volunteers (see below for detailed instructions) 1. Review bike processing instructions while demonstrating how it is done. 2. Encourage volunteers to gravitate toward the type of activity with which each is comfortable.

Normally, each volunteer can process an entire bike, taking off pedals, lubricating the chain (if necessary), turning handlebars, lowering seats (if necessary), etc. However, if you encounter a heavy flow of bikes, consider task/tool specialization.

3. If the work drags on, be prepared to treat volunteers to juice or food. Financial management. An assertive, mature, and responsible volunteer should assume this key task. B4Hchapters generally request a $10 donation per bike to defray costs. Normally, the person who writes the receipts also diplomatically requests the cash donation and should say something like:

“As you may already know, we request a donation towards shipping costs with each bike. It costs over $25, on average, to collect, ship, accessorize, recondition, and distribute a bicycle overseas through a qualified charity. If this is the case ̶ We will be giving a tax-deductible receipt for the value of your bike, as well as for the cash donation. The suggested donation is $10 per bike.”

If you are tax receipting; here is a guideline, but, you must follow your local rules.

1. Show the number of bikes donated and their description, their estimated combined dollar value the cash donation, and the dollar total.

2. Each receipt needs a date and tax receipting organization (B4H chapter, church, etc.) representative signature at the bottom.

3. If donors want to receive mailings, have them put their address on the receipt. [B4H does not mail incessant requests for money nor sell or exchange its mailing list.]

4. Donors get the white (top) copy, along with a hearty “THANK YOU”. Retain yellow copy. REMEMBER To insert a something between sets of receipts, or pull the receipt away from the stack, in order to avoid pressing through on the yellow copy of the receipt below.

The Bikes

Condition The bikes don’t have to be in perfect shape, but, need to be workable. Very rusty bikes or bikes with bent frames are not desirable. The mechanics in Africa make repairs but can’t perform miracles on bikes we couldn’t clean up here in Canada. A small portion of the bikes can be for children but an adult bike serves a family , health care workers and the economy in a much more significant way.

All bicycles received should be in repairable condition and generally rust-free (a little superficial rust on chrome is OK). Reject bikes with heavily-rusted frames or chains!

Give greater leniency with respect to rust/acceptable condition to one- and three-speed bikes.

Reject frames (i.e., a bike with no wheels or components), or bikes with broken frames.

When a bike is in such poor condition that it is not worth shipping, thank the person for his or her interest in B4H and for taking the trouble of bringing it, but, reject the bike or arrange for disposal.

Types For general use fatter tire bikes work best in rural Africa. Now that B4H is also supporting cycling teams, road bikes and related equipment, such as helmets, clothing and shoes are also desirable.

Parts Any bike parts that a bike mechanic could use in Africa are most welcome as long as it’s not junk. Bike frames, chains, sprockets, seats, etc. are all valuable there. Remember they all have to be documented for importation into Africa.

Tires and Tubes All tires and tubes are valuable in Africa. Even if they are an irregular size they can be used for patching. Bike shops often throw out their old tubes and tires after one puncture, so bike stores are a great source for tires, tub tubes and parts . Don’t forget to mention in your bike collection media coverage that these are needed and welcome.

Accessories Things like back packs, bike racks headlights etc. make bikes more effective.

Tools Any bike tools, patch kits, glues etc. will be well used.

Volunteers assisting in taking bikes out of the car should inform the person preparing receipts of the number of bikes donated.

When the bike arrives: Turn bike upside down, unscrew pedals using pedal wrench.

Stand bike upright, tie pedals to crossbar (using twine or plastic ties).

Take front wheel off

lower seat to minimum extension and re-tighten.

Remove baskets and child seats which would prevent maximum compaction, and ensure that shifters do not protrude above handlebars (where they could be broken).

Spray chains and sprockets with lubricant (NOT penetrant like WD-40) to prevent rust.

Optional: If you have the time, wire-brush and lube rusty chains, pump tires half-way to protect rims, and, on three-speeds, disconnect the shifting cable from the rear hub and tape it to the frame (the rocking motion of shipping can damage the hub if it is connected).

Operational suggestions: As bikes are processed, place them by category (adult multi-speed, adult one- and three-speed,

and children’s) against a wall, tree, etc.

Tasks can be rotated to avoid fatigue.

Remind those processing bikes to re-tighten all loosened bolts. A loose handlebar or seat can come off and subsequently injure the unwary when the bike is handled.

For a stuck handlebar or pedal, lubricate thoroughly with WD-40 or other penetrant, tap with a hammer, wait 20 minutes, and try again. Don’t worry if once in a while one doesn’t come loose! You can work around one or two pedals, but not 100.

Periodically check to see that bikes are properly processed (an improperly-turned handlebar means lost shipping space) and bring them back to volunteers for proper processing.

Make sure you have enough volunteers at the end, to work on a late surge in bike arrivals, deal with problem bikes, load the truck, and take down banners.

How to Load a Container.

This section concentrates on the loading a container. The next section will provide methods of obtaining the containers, contacts for containers and shipping and the paperwork requirements for international; shipping

Most chapters make this a big event and have a party at the end.

It takes a team working together to get the job done. One group retrieves the bikes from your storage area and carries them to the container where others pick the bikes up and pass them to volunteers inside the container who wheel them back and hand them to another team, who are building the rows

of bikes to the roof and then starting another row.

A person must be by the door counting the number of bikes and other items going into the container, as accurate numbers must be put on all the related shipping paperwork.

It is very important to get the first row tight and straight as all other rows follow this row. As each row builds, fewer people are needed inside the container, as the distance to walk the bikes becomes shorter.

When loaded every chapter takes a picture of the team just before the doors are closed. This is a fun event so

Chapters have a party after the container leaves to celebrate the achievement of sending another container of bikes to Africa.

Final inspection Just before the driver leaves, it is very important to inspect the container to make sure the serial numbers on all sides and the top match and are the same. The driver will bring a seal, that is secured onto the door. We always take a picture of the registration plate on the Container and of the seal, just to make sure everything matches the paperwork that will accompany this container to Africa

Containers

There are 3 ways to acquire a container:

1. If you have storage space for 500 bikes o Once you have collected the bikes you have a truck bring in the container and you load it. With

15 people it takes about 2 hours to load and then the truck and container are sent on their way

2. You can purchase a container and have a crane drop it on your site. A 40 foot `high cube`, is a container 18 inches higher than normal. This enables you to pack an extra 75 bikes, but, it ships for the same rate as a normal container.

o When it is loaded and ready, you have a crane pick it up and drop it on a truck for transport.

This usually adds about $1000 to the project, $500 to pick up and $500 to drop off A container in good shape costs approximately $2500 U.S.

3. You can order a shipping line container o The port will provide this for free one week prior to vessel departure o With 15 people it takes about 2 hours to load and then the truck and container are on their way

General

Trucking to the port is a per mileage rate o If you are far inland, the container may go by rail (truck to rail)

Every container must be certified for one last shipment.

MRA can source containers in many cities and has contacts for trucking them to the chosen locations. Containers must be certified for export. Not all cities have someone who is qualified to export certify so the container might have to be sourced elsewhere and re-positioned. In some cases it may be easier MRA to provide contacts that can help directly.

Shipping Lines

Once you know where you want to send the container you need get a quote to determine what the ocean shipping charges will be. There are numerous shipping lines that go to almost every major port in Africa from many locations in North America. if you are not near a port, then the container will likely be put on rail and sent to a major port such as Vancouver, New York or Houston.

Note:

Please Remember, it is very important to count what you are putting in the container, the number of bikes, tires, tubes, etc as there is a tax to be paid associated with every item. Chapters generally place a value on the used bikes being shipped at around $7 US per bike and tax’s are paid are on that number and the rate varies depending on the country you are going to. This can be determined in advance.

Bicycle Empowerment Centre

Providing a BEC, If that is part of your project, means leaving the container in Africa, so it must be a purchased container.

There are no guidelines for turning a container into a BEC. Most groups paint the container and add B4H logos to the sides. Many add an awning as the mechanics can work outside and lock all tools, etc., in the container. Some cut windows and doors, other add a false roof and fill the space between it and the top of the container with sand to keep the interior cooler.

The approach is at local discretion.
