1 Introduction > The purpose of this guide is to provide equipment-specific information to assist users in managing their AVCS ENC holdings.

> This guide should be used in conjunction with the AVCS User Guide, as well as the ECDIS Operators Manual or other documentation as supplied by the equipment manufacturer.

> The actual instructions and screenshots in this guide are based on the version of the JRC 701B/901B 2009 Version 02.02 ECDIS installed in the UKHO as detailed on the front cover. There may be minor differences between certain models (i.e. screen layouts may vary).

2 Data Management The JRC system makes a clear distinction between ‘Data Management and Navigation and Planning’. All data is managed from within the ‘ChartPortfolio’ module.

This module is accessed from the applications window which is displayed automatically when the ECDIS is turned on. Click on the ‘ChartPortfolio’ button to activate.

It is recommended that there is no AVCS CD in the drive before clicking on the ‘ChartPortfolio’ option otherwise the application will immediately start reading the disc. To successfully install all AVCS Permits and ENC Data, users first need to make sure that they have correctly selected the S-57 Option from the “Sort” Tab within the ‘ChartPortfolio’ screen.

Note: if the ECDIS is already running in “Navigation & Planning” or ‘Playback/Data Recording’ modes, activate the menu by moving the cursor to the top of the display and when it is active select (0) Exit and then Yes on the subsequent confirmation box

3 The Us er P ermit Number (UP N) The User ‘Permit Number’ is a 28 character alphanumeric string that is unique to each ECDIS installation or group of ECDIS, e.g. multiple bridge installations. The ‘User Permit Number’ should have been supplied at the time of delivery and must be used when ordering an AVCS licence.

To check the User Permit Number:

ChartPortfolio: Tool → Option → S-63/AVCS Tab

1. In the Menu bar, select ‘Tool’

2. Select ‘Option’

3. Select ‘S-63/AVCS’ Tab

4. The ‘User Permit Number’ is then displayed in the ‘User Permit’ message box

4 Deleting E NC Data New AVCS customers who had previously subscribed to other ENC services are strongly recommended to remove (purge) all ENC Permits and ENCs from the system before installing AVCS. For more information, please refer to the ‘Data Cleansing’ section in the AVCS User Guide.

To delete ENC data from the system:

ChartPortfolio: ‘S-57 System Chart’ → Select all required charts → Edit → Delete → OK

1. In ‘ChartPortfolio’, select ‘S-57 Systems Chart’ Tab

2. Select a sub-folder from the list. It is not possible in this JRC ECDIS Model to select several sub-folders for deletion. They can only be deleted individually by deleting the ENCs within each sub-folder

3. Select each ENC individually or select several ENCs by holding the Shift button

4. Select ‘Edit’

5. Select ‘Delete’

6. A ‘System Chart’ window will then appear to confirm the deletion, click ‘OK’ to delete all selected ENC cells. Repeat for all country sub-folders to be deleted.

5 Deleting E NC P ermits If the user has previously subscribed to another ENC service, it is advised to remove these ENC Permits from the ECDIS system before use. The user must select the cells for which permits are to be deleted. In most instances this will simply involve selecting all cells. In certain circumstances it may be required to remove Permits for individual cells, in this case simply select the cells for which Permits need to be deleted.

To delete ENC Permits:

ChartPortfolio: Tool → Option → S-63/AVCS Tab → Delete Cell Permits

1. In the Menu Bar, go to ‘Tools’ and select ‘Option’

2. Select the “S-63/AVCS” Tab

3. Click on ‘Delete Cell Permit’

4. Click ‘OK’

5. Select ‘Yes’ to confirm deletion

6 The P ublic K ey

The Admiralty Vector Chart Service currently uses the IHO.CRT, issued by the International Hydrographic Organisation, to authenticate its AVCS ENCs. The IHO Public Key is included in all AVCS media. To install the IHO Public Key:

ChartPortfolio: Tool → Option → S-63/AVCS Tab → Import of Certificate → Find File → Select IHO.CRT file → IHO.CRT in ‘File Name’ box → OK → ‘Import of SA Certificate’ window → OK → OK to confirm installation → Tools → Option → Select of Certificate → ‘Select of SA Certificate’ window → Select ‘IHO.CRT’ file → OK → OK to confirm selection

1. In the Menu Bar, go to ‘Tools’ and select ‘Option’

2. Select the ‘S-63/AVCS’ Tab

3. Click on ‘Import of Certificate’

4. This will then take you to the ‘Find file’ window

5. Select the down arrow located near the Drive box and select the location where the IHO.CRT file is stored (i.e. D/E Drive) and select “IHO.CRT”

6. Double click on the “IHO.CRT” now displaying on left hand side

7. The ‘IHO.CRT’ file is now displayed in the ‘File Name’ window

8. Click ‘OK’ to install the Certificate

9. The “Import of SA Certificate” window will then appear. Once the selected Certificate (i.e. IHO.CRT) appears in the top box

in the “Import of SA Certificate” window

10. Click “OK”

11. A message box will then display confirming the successful installation stating that the “SA Certificate is saved in the system as [2:IHO.CRT]”. Click “OK” (noting the number assigned)

The new Certificate has only been installed in the ECDIS but not automatically selected as the primary Certificate to be used to install AVCS. You now need to make sure that it is correctly selected before proceeding to the installation of AVCS.

12. From ‘Tools’, ‘Option’, select ‘Select of Certificate’

13. The “Select of SA Certificate” window will then appear. Once the selected Certificate (i.e. IHO.CRT) appears in the top box in the “Select of SA Certificate” window (making sure the number assigned matches the previously selected number assigned)

14. Click ‘OK’

15. A window will then appear on the screen confirming that the required Certificate has been successfully selected, click ‘OK’

7 Ins talling E NC P ermits To install AVCS ENC Permits:

ChartPortfolio: Tool → Option → S-63/AVCS Tab → Import Cell Permit → Find file → Select PERMIT.TXT file → PERMIT.TXT in “File name” box → OK

1. In ‘ChartPortfolio’, go to ‘Tool’ and select ‘Option’

2. Select the ‘S-63/AVCS’ Tab

3. Select ‘Import Cell Permit’

4. The ‘Find file’ window will then be displayed to find and install the ‘PERMIT.TXT’ file

5. Select the down arrow located near the Drive box and select the location where the ‘PERMIT.TXT’ file is stored (i.e. A/D Drive)

6. Double click on ‘PERMIT.TXT’ now displaying on the left hand side

7. The ‘PERMIT.TXT’ file is now displayed in the ‘File name’ window

8. Click ‘OK’ to install the Permits

9. A message box will be displayed when the process has been completed. Click ‘OK’

8 Ins talling AVC S B as e C Ds There are currently 9 AVCS Base CDs but this number will grow as more ENCs become available for distribution within AVCS. It is unlikely that users will need to install all of the CDs in order to load all licensed ENCs. Reference to the Schedule A can avoid the unnecessary loading of some CDs and save the user time.

The process described here should be used in almost all circumstances as it will automatically select data to be loaded according to the permit file installed by the user.

Note: Ensure the latest permits have been installed before attempting to install any data

ChartPortfolio: Auto Detect → S-57 Source Chart → Import/Update → S-57/S-63 Import Update window → OK → Completed

1. Insert the first AVCS Base CD identified in the Schedule A into the appropriate drive (i.e. D/Q) and click on ‘Auto Detect’

2. When all licensed ENCs are displayed and highlighted for import in the ‘S-63 Source Chart’, click ‘Import/Update’

3. When the ‘S-57/S-63 Import/Update’ window is displayed (with pre-selected option to import all Chart Updates), click ‘OK’

4. A message will then be displayed on the right hand side when the process has been completed

This process should be repeated until all required Base CDs have been installed.

Note: Make sure that all the required AVCS Base CDs have been inserted and the import operations completed before installing the latest Update CD. Updates cannot be applied unless the ENC base file is present in the system database

9 Ins talling AVC S Update C D The Weekly AVCS Update CD must only be inserted into the CD Drive after having installed the latest required Base CD(s).

ChartPortfolio: Auto Detect → S-57 Source Chart → Import/Update → ‘S-57/S-63 Import Update’ window → OK → Completed

1. Insert the AVCS Update CD identified in the Schedule A into the appropriate Drive (i.e. D/Q) and click ‘Auto Detect’

Note: Base CDs are re-issued about every 6 to 8 weeks. The AVCS update disc will indicate which Base disc week must have been installed. It is important that users do not attempt to load an Update CD that is not consistent with the Base CDs

2. When all licensed ENCs are displayed and highlighted for import in the ‘S-63 Source Chart’, click ‘Import/Update’

3. When the ‘S-57/S-63 Import/Update’ window is displayed (with pre-selected option to import all Chart Updates), click ‘OK’

4. A message box will then be displayed on the right hand side when the process has been completed

A Log file will then appear on the right hand side when the process has been completed informing the user of the total number of failures due to errors

When using the AVCS DVD Service only one disc needs to be installed because it contains all the Base ENCs and updates up to the date of its issue.

Note: The loading process within the ECDIS will be identical to that required for the AVCS CD service

ChartPortfolio: Auto Detect → S-57 Source Chart → Import/Update → S-57/S-63 Import Update window → OK → Completed

1. Insert the AVCS DVD identified in the Schedule A into the appropriate Drive (i.e. D/Q) and click ‘Auto Detect’

2. When all licensed ENCs are displayed and highlighted for import in the ‘S-63 Source Chart’, click ‘Import/Update’

11 S ys tems C hecks The user has the option to review the status of all installed ENCs from within the ECDIS Chart Portfolio dialog as follows:

ChartPortfolio: S-57 Systems Chart → Highlight ENC → Information

1. Select the ‘S-57 System Chart’ Tab

2. Highlight the ENC required for further checking

3. Click on the ‘Information’ button

An ‘S-57 System Chart Information’ window will then be displayed which provides users with information about the chart and update history.

11 Troubles hooting Many of the difficulties that could be experienced when using the Admiralty Vector Chart Service with this system can be avoided by carefully following the instructions in this guide. You will receive the most effective support if you address your initial query to either the Manufacturer of your ECDIS equipment or the Chart Agent you obtain your AVCS charts from, but in certain circumstances you may need to contact the UKHO Customer Services.

Problem Contact

Hardware problems: difficulties with the keyboard, mouse, display or main system console, failure of a floppy disk or CD drive.

ECDIS Manufacturer

Software problems: difficulties with configuring or using the ECDIS system software, interfacing problems.

E mergency C hart Permit G eneration

In certain circumstances it may be necessary for a vessel to get access to an AVCS chart at very short notice, for instance if a route needs to be diverted due to a medical or safety emergency.

In these emergency circumstances only, individual AVCS ENC Permits can be obtained from the UKHO 24 hours a day, 365 days a year.

To obtain an AVCS emergency permit please quote:

These permits can be transmitted direct to the vessel by email wherever possible, by fax, or simply by reading the characters out over the telephone or radio.
