Keys to Successfully Adopting Aloha TakeOut & Delivery into Your Product Mix Adopting a new product into your existing product mix has an impact on various elements of your business processes - from sales and implementation to support. It's important to understand how Aloha TakeOut & Delivery will affect different parts of your operations and how to successfully ensure a smooth adoption for your company, your existing customer base and your prospects. Below are the six keys to successfully adopt Aloha TakeOut & Delivery into your product mix. If you have any additional questions on selling Aloha TakeOut & Delivery, please contact your RSM or GM. If you have questions on the ordering process, please contact your Regional Operations Team. #1. Make sure sales reps qualify your prospects as the right fit for Aloha TakeOut & Delivery.

• The target prospects for this product are sites with quick-casual operations, such as Sandwich and Chinese concepts.

• The current version of Aloha TakeOut & Delivery is not recommended for complex pizza operations. The features and optimizations required for these types of restaurants are currently being studied by the Aloha TakeOut and Aloha POS product teams. Expect to hear more about this from us soon.

#2: Develop a plan for selling and implementing Aloha TakeOut & Delivery to your existing sites.

• Aloha TakeOut & Delivery is the maintenance upgrade for existing Aloha Delivery/Frequent Buyer customers who are current on software membership and have Radiant Hardware (considered part of the maintenance price, and no additional charge). Software membership will be charged for TakeOut & Delivery going forward in Year 2 off the standard $1,255 price.

• For existing Aloha Delivery/Frequent Buyer customers who are current on software membership, but do not have Radiant hardware, the reseller cost is $299 and suggested MSRP is $500. Software membership will be charged for TakeOut & Delivery going forward in Year 2 off the standard $1,255 price.

#3: Understand how implementing this product affects your sales proposals.

• Your project managers and sales staff will need to spend 2+ days onsite for initial installs. Subsequent installations may have a reduced time frame once your staff is familiar with the implementation.

• Be sure to train your sales reps on how to accurately quote the programming, installation and training for a product of this complexity.

#4: Be prepared for the complexity of your initial install of this product.

• Ensure that your technicians and support staff get the appropriate training needed through the Radiant Learning Center or Live Webinars.

• Aloha TakeOut & Delivery is a completely new software product and your technicians may experience a steeper learning curve for initial implementations.

#5: Fully stage and test the system in lab prior to deploying to a live site.

• Fully testing the system is critical with any new product. Testing should include kitchen printing, checkouts and end of day. Negative testing to address any potential user mistakes is also recommended. Live day changes are invasive and increase frustration in a busy environment that is focusing on training and customer satisfaction.

• Allow opportunity for customer sign off on the flow and functionality of the solution before installing at a site.

#6: Implement Backup Procedures • With the addition of future orders, backing up the database becomes more critical. Implement recommended

data backup and offsite storage processes to protect your accounts in the event of file server failure or corruption.

What is Aloha TakeOut & Delivery? Aloha Takeout & Delivery (ATO) efficiently manages the realities of take-out and delivery operations, quickly improves speed of service and gives our customers the opportunity to grow their businesses outside their four walls. Aloha Takeout provides an innovative solution to streamline take-away and curbside operations. The addition of Aloha Delivery incorporates the tools needed to manage deliveries to remote locations. Using Aloha Takeout & Delivery, order entry, order management production and delivery is synchronized in one tightly integrated solution. Why is ATO important? Restaurant operators are continually looking for new ways to generate revenue. ATO provides way for operators to extend their reach beyond their dining room. Recent NRA articles indicate the takeaway trend continues to increase. ATO is designed to meet this growing need and streamline operations. ATO is a best suited for moderate to busy takeaway operations or for slower operations that require additional guest information than is provided by the POS. How do I demo ATO to my customers? ATO may be installed on demo systems and laptops along with Aloha QuickService or TableService. Depending on the configuration of the demo database, ATO may be included in the demo or bypassed to highlight non-takeaway operations. Is ATO offered as a stand-alone solution? ATO requires the installation and interaction with Aloha TableService or QuickService to provide order entry capability. ATO does not provide marketable functionality in itself and is not integrated into other POS solutions at this time. ATO may be installed on a single FOH\BOH computer provided the hardware and software requirements are at or above the recommended specifications. Are training classes available to my technicians? Yes, training classes are available through the Learning Solutions Group. With the proper training and processes, ATO can be truly simple to use. However, the corporate user and reseller technician supporting ATO must have the proper training, both on the Aloha POS and on the ATO. Matching the POS and ATO configuration to meet the customer needs is critical to a successful installation.

How is ATO licensed? ATO is licensed on the HASP security key similar to other Aloha modules. The foundation for all ATO licensing is Takeout. Sites running Radiant hardware are provided pricing concessions. Sites running non-Radiant hardware must license Takeout this way in order for Takeout to operate on these terminals. Delivery may be added to a Takeout license to support driver operations. Mapping may be added to a Takeout and Delivery license to support mapping and routing functions. Mapping requires both Takeout and Delivery to be licensed. I have a customer that wants ATO. What do I do? You should ensure that your customer understands the perquisites involved with using ATO. After the customer is “ATO ready,” you should give the customer a New Software License Order Form from Aloha’s accounting department and request the applicable security key updates. The “Getting Started Guide” is a good reference to insure the customer has the necessary understanding of ATO and minimum hardware and memory requirements to support ATO. What are the system requirements for ATO ATO requires 512 MB of memory on both the file server and terminals for Takeout and Delivery installations. Customers adding mapping to the system should increase the memory on the file server to at least 1 GB. The Radiant P1220, P1510, P1520, and P1550 terminal platforms exceed the minimum processor and sub-system requirements to run ATO. Other hardware platforms should have similar specifications. uDOC terminals are supported, provided they have a 1GB or greater uDOC drive. Note: Radiant images including .NET 3.0 should be used on 1GB uDOC terminals. .NET 3.0 cannot be added to an existing image due to the size of the installation files. uDOC’s larger than 1GB should not have this restriction provided they have enough free space to support the .NET 3.0 installation. ATO requires Windows XP or higher operating systems. ATO is not recommended or supported on earlier operating systems such as Windows 2000, Windows ME, Windows CE, Windows 98, or Windows 95 due to its .NET 3.0 architecture.

How do I install ATO? Refer to the ATOD Implementation Guide on the documentation portal for installation of ATO pre-requisites, POS database configuration and installation of the ATO. The following steps are recommended: 1. Install .NET 3.0 on all ATO nodes if not already

installed. 2. Install SQL Express on the file server 3. Configure the POS database to with the necessary

ATO settings. 4. Refresh 5. Install ATO on the file server 6. Install ATO on the terminals Failure to follow this order may result in duplication of steps or synchronization issues. Do I need an Aloha Connect license with ATO? No, a new option in Aloha versions 6.2.15 and higher allows the use of ‘Radiant Interface Terminals” or RIT’s. RIT’s allow Radiant applications to communicate using the Aloha Connect interface. External Interface Terminals (EIT’s) are still required to support Aloha Connect communication. Unlike EITs, RITs do not require a HASP license for each RIT used on the system. How are Radiant Interface Terminals used with ATO? RITs are used to perform functions ‘behind the scenes’. Functions like releasing future orders and assigning orders to drivers are performed by the RITs. This is done using a terminal—>RIT—>virtual employee relationship. Virtual employees are clocked and logged in automatically by ATO using their associated Job Code. Each virtual employee is associated to a RIT, which in turn is associated to a ‘physical’ terminal. Each terminal running ATO should have a unique virtual employee and RIT. How does ATO handle future orders? ATO orders may be started as a future order, converted to a future order or have the promise time adjusted on the confirmation screen. When a future order is started, ATO creates a check in the POS. The POS is used to add items to the future order. Modifier and special message information is associated with check items using POS business rules. When the order is finalized, ATO records and stores the item, modifier and special message information on the check, then clears the items off the check and closes it.

There is not increase in sales since the items were not ordered. If a future order is edited, a similar process takes place. ATO creates a check in the POS; ATO adds the stored items to the check; when finalized, the order details are recaptured and the items deleted from the check and the check closed. ATO uses a mapped void reason to clear the items off the check. This is required in order for Aloha Connect to perform this function. WARNING: Any action performed while the check is in the POS that forces items to be ordered compromises the future order functionality. If the check is printed or tendered (payment, comp, promo) or auto-order functionality is called (Done button, WWT button), the items are sent to the kitchen in line with Aloha’s loss prevention business rules. In most cases, the future order continues to be stored and released automatically by ATO. This results in duplicate checks in the system. How are driver assignments performed in ATO? Orders are assigned to drivers by touching an order from the list, then touching a driver. Subsequent orders may be assigned to the driver using the same steps. Orders may be unassigned from a driver by touching the order in the driver panel and then touching the Un-assign Order button. The selected driver may be dispatched by touching the dispatch driver button. Drivers dispatched in error may be un-dispatched by touching the Recall Driver button. All orders assigned to the driver are unassigned for assignment back to the same driver or a different one. How does driver accounting work in ATO? Accountability for the order is transferred to the driver when the order is closed. Until then the accountability rests with the last person assigned to the delivery queue. In TableService, this is employees clocked in with the “Delivery Order Taker” option enabled in Job Codes. As drivers orders are closed to cash, the “Cash Carrying” total on the driver panel is increased. Drivers may reduce their cash carrying amount by doing a cash to store.

How does ATO look-up and add new guests to the database? There are several configuration options in ATO to mold the guest search and add feature to meet the customer needs. New guest records may be configured to only require the employee to enter the first name or they can force the employee to enter a last and\or phone number for each new guest record. Requiring only the first name improves speed of service, but does not provide a good database for marketing. Requiring other information, like the last name and phone number, can provide more information to market against, but takes longer to enter customer information and may meet with customer resistance. When a search is entered in the search bar, ATO searches the database for first name, last name and company if alpha characters are entered. ATO searches for home, cell and work phone numbers if a numeric search is entered. Searches can be combined to find either the first or second search. Using phone number searches is the recommended method to get the least number of matches in the database. Customer names can often be misspelled or have many matches the employee has to search through to find the correct match. This typically leads to duplicate records if the employee misses a letter or gets frustrated when looking through multiple pages of matches. Although phone searches tend to be more impersonal, it is the best search method. ATO automatically initiates a search after a one second timeout. The inactivity timeout is configurable if a longer period is needed. The Enter key can be touched to initiate the search prior to the timeout. The results list displays the first 100 matches for the search entered. If there are more than 100 matches, the search should be refined by adding additional information. Search information is organized alphabetically based on configuration option that displays either the first or last name first. If the Add Guest button is touched, the information in the search field logically populate the Customer Data fields. 7 or 10-digit numeric searches prompt for the phone number type. ATO capitalizes the first letter of the first name, last name, street, city and state entries for better database consistency.

How does the Express Customer Entry screen work? The Express Entry option is designed to improve how the entry of new customer information. In most cases, limited guest information is needed to create an order. Call-In's require a phone number, Delivery orders require an address, and curbside orders require vehicle information. Enabling the Express Customer Entry option maintains these business rules. Default phone and address types help populate the appropriate fields. This helps if the store is located in a primarily residential or commercial area as to the type of phone and address types are common for most of their guests. Based on the defaults, phone and address information Order modes buttons are displayed on the screen to immediately save the customer data and start the order. The goal of this option is to minimize screen touches and guide the employee through adding the guest. Can I import an existing customer database? ATO supports importing the Delivery / FB database. Using a similar schema, other databases can be imported using the same function. Does eFrequency work with ATO? ATO supports the entry of the guest eFrequency number with their profile. When a check is started in ATO for a customer with an associated eFrequency number, the eFrequency member is automatically assigned to the check by ATO when the order is finalized. eFrequency information is transmitted to the data center as if it had been manually assigned by and employee. Reward information and real-time discounts will be applied to the check. If additional items or changes are made of the check, the eFrequency member will need to be manually unassigned, then reassigned once the changes have been completed. Typical ATO orders that do not change will be tendered and closed as normal.

How do I change the order mode in ATO? Normal POS functionality is used the change the order mode. In QuickService, create a panel with order type buttons corresponding the order modes that can possibly be changed. For example, Call In to Delivery, Call In to Curbside, etc. For the order modes that are available to change, set the “Include Ordered Items” in Order Mode maintenance. In TableService, use the order mode buttons on the top right of the screen. For TableService, an unordered item must be added to the check in order for the order mode to change. This may be a water or an item called “Change Order Mode” especially for this purpose. When a customer calls in and would like to change the method how they will receive the order: 1. Find the order on the ATO Orders screen. 2. Touch the order to select. 3. Touch the Tender/Modify button to recall the order in

the POS. 4. Touch the new order mode to which the customer

would like to receive the order. 5. Finalize the ATO order as normal. Note: there is no printed notification to the kitchen to indicate the order mode has been changed. Most KVS systems that work with Aloha should update the order with the new order mode. Does ATO work with Cash-n-Carry environments? The initial release of ATO is designed for driver banking environments only. Cash-n-Carry operations that require their drivers to pay for their orders before being dispatched is not currently handled efficiently in ATO. The ATO team will prioritize and address this operational scenario as part of its roadmap. Do ATO House Accounts work with POS House Accounts? No, ATO House Account functionality was designed to meet a specific customer need. In this case the generation, maintenance, billing and posting of payments to house accounts is centrally managed by the corporate Great Plains accounting system. ATO has a nightly import process from a Great Plains generated text file that imports new and update house account profiles. Once imported, house account profiles may be associated with 1 or more ATO customer profiles. When an order is started

for a house account guest, ATO can optionally generate a unique P.O. number for tracking. A mapped tender within the POS allows invoices to be printed and check detail data to be added to the GCHKINFO.dbf during the Aloha grind process. Enterprise has the ability to poll this information and update the Enterprise database for reporting and export back into Great Plains. If necessary, an operation could use Aloha data mining tools, created by other companies, to replicate this process and inject information into accounting packages other than Great Plains. If I disable Delivery in the Aloha Takeout Configuration, why do I still have a Delivery button on my Guest screen? The business logic and user interface is divided between the different files. ATO installs several templates upon installation in the SampleData folder. These templates should be used as a baseline for how the customer runs their business. Does the operation offer delivery services, or just takeout? Does the customer use callerID or not? Copying the xaml files from appropriate SampleData folder to the Aloha Takeout\DATA folder will meet the needs of most customers. The ATO team can assist for individual customizations if necessary. Does ATO support more than 1 delivery or call in order mode? No, ATO only supports 1 order mode for each way the customer can receive the order. Support for multiple order modes per order type will be prioritized as part of the roadmap effort. The same order mode should also not be assigned to different order types. Does ATO work with KPS systems? ATO works with KPS systems, but there is no integration today that enhances the functionality of either product. ATO has an integration effort in progress with the upcoming Aloha Kitchen product to provide quote and order status synchronization between the products. Additional integration opportunities may be prioritized as part of the ATO roadmap effort.

Should I use the Walk-In order type with ATO? Walk-In’s can be handled 1 of 3 ways: 1. Walk-In’s can be handled entirely in the POS. Using

the name order or quick name lookup functions, tabs can be named to associate with the walk in customer. Set the Walk-In order type to “Not Used” in the ATO configuration. This is typically used when the customer pays up front and the food is given directly to the customer when ready.

2. ATO can be configured to work similar to the quick name lookup setting. Disabling the “Require Customer for Walk-In” option in ATO bypasses the requirement to associate a customer profile with Walk-In type orders. The check is named by whatever the user enters in the search bar for quick recall. The advantage to this configuration is ATO adds a header to the kitchen chit with the “Walk-In” order indicator and the customer’s name.

3. ATO can be configured to require the association of a customer profile when starting a Walk-In order. This configuration is most advantageous in operations that mine the customer tables for marketing purposes. If the customers are willing to provide more profile information that just a first or last name, this may work.

Can ATO apply different tax rates based on the delivery receiving location? No. An investigation effort is underway to determine how to address this between the POS and ATO based on how the POS taxation functionality could be leveraged to address this requirement. What CallerID devices work with ATO? ATO supports 4 models of CallerID device: • Rochelle 2045 (www.rochelle.com) • Rochelle 2050 (www.rochelle.com) • CallerID.com Whooz Calling (www.callerid.com) • CallerID.com Whooz Calling POS (www.callerid.com) What label printers are supported with ATO? The POS controls label printing today. See the RKS document 6018 for label printers supported by Aloha. Enhanced label printing controlled from ATO is on the roadmap. More information as to supported printers will be added when this feature is available. How do I upgrade my ATO version as new versions are made available? Simply run the latest AlohaTakeout [X.X.XX].msi on the file server of the system. The clients will sync new binary

and data information the next time they are restarted. Clients are not required to be upgraded independently of the file server. How do the ATO clients sync with the ATO server? The ATO sync model is similar to Aloha. New binary (BIN) files are added to the CLIENTBIN directory on the file server. When the client starts up, it syncs any new files in the CLIENTBIN directory on the file server to the NEWBIN directory on its local drive. ATO will then copy files from NEWBIN to BIN locally. The client will force a restart to begin using the new files. Data (.xml and .xaml) files are copied from the DATA directory on the file server to the NEWDATA directory on the client. The client copies the files from NEWDATA to DATA files when it starts. Note: the information above is referencing the NEWBIN, BIN, NEWDATA, and DATA folders in the Aloha Takeout install directory. It is recommended ATO is installed in a path outside the Aloha POS install to avoid incompatibility and in use access issues. How do ATO clients restart? The ATOStart.bat is added to the terminals startup group when installing ATO on the terminal. The simplest way to restart the client is to leverage the Aloha refresh. When the terminal logs off and automatically logs back on, the ATOStart.bat is called as part of the startup, restarting the client. If you are using a looping batch file, an end and restart process for Radiant.Hospitality.AlohaToGo.exe will need to be implemented

When is a Aloha Takeout and Delivery service restart required? Most configuration changes do not require the Aloha Takeout and Delivery service to be restarted. However, there are a limited number of features that are managed by the service and will not function as expected until the service is restarted in the event the configuration changes. Options requiring the Aloha Takeout and Delivery service to be restarted include: • Require Customer Last Name • Require Phone Number • Enabling a callerID device • Changing the ATO EOD time • Enabling Mapping • Enabling Future Day Orders • Changing the Service Host IP or anything on the

System tab • Enable Credit Card Storage • Changing the site ID or any Site Information • Enabling House Accounts • Changing Order modes • Enabling Order Scheduling If in doubt, restart the service. Is ATO supported in 24-hour mode? No. The initial release of ATO does not support carrying over orders from one day to the next. ATO needs to clear check information in conjunction with Aloha to avoid referencing the wrong check with a duplicate check number from the previous day. Full support for 24-hour operation with takeout will be addressed as part of the on-going roadmap effort.
