Background Information You have been friends with Tom Grayson since high school. Tom realized his dream of opening a taco delivery service, which he calls Tom’s Tacos. Tom started the business on July 1, 2015 with $25,000 that his uncle left him when he died. Tom buys tacos from the local taco stand, Tim’s Taco Stand, and delivers them to local businesses for their lunch meetings. Knowing you are an excellent accountant, Tom wants to hire you as his accountant. You excitedly agree! His CPA recommended Microsoft Dynamics GP, which he has purchased for you to work with. Tom is excited for you to get started right away! Through this case study, you will work hands-‐on with Microsoft Dynamics GP. In lab #1, you will get to know Microsoft Dynamics by navigating around the software. In lab #2, you will set up accounts receivable and accounts payable. In lab #3, you will set up inventory and payroll. In lab #4, you will book the transactions for the company for the month of July and in lab #5, you will review and print the trial balance. Microsoft Dynamics GP is an incredibly powerful tool. This case study will touch on some of the features of Microsoft Dynamics, but there are many more features to be explored. The reference documents in each lab include hundreds of pages of useful information. Please use these as a reference for your questions and if you would like more information on a particular feature of Microsoft Dynamics GP. Also, please feel free to experiment with the software! LAB 1: Microsoft Dynamics Navigation Background You’re ready to get started! In this lab you will navigate around the system and get to know it. Assignment This lab contains three parts to be completed as follows: Deliverables As you complete each part of the assignment in Microsoft Dynamics, you will be required to take a screenshot and paste it into one Microsoft Word document. For this assignment, there are three screenshots:
1. Microsoft Dynamics (Lab 1.1) 2. User Preferences (Lab 1.2) 3. General Ledger (Lab 1.3)

Please note: Sometimes the system will automatically try and print something. Please just hit cancel unless you want to see it! Please proceed to Lab #1 below!

Lab 1.1 Microsoft Dynamics
Lab 1.1.1 Log in to Microsoft Dynamics Your professor will give you a user name and password to log into Microsoft Dynamics with. Enter them here.
The following will pop up. Hit the Drop Down and select Retail as Your Industry and Accounting Manager and Click OK:

Lab 1.1.2 Change Registration Modules We aren’t going to use all the modules that Microsoft Dynamics GP offers, so let’s click Microsoft Dynamics GP>Tools>Setup>System>Registration to unclick the modules we won’t be using.

The below will pop up and it’s okay if your Site Name, Account Number and/or Registration Keys are different. Please don’t change the Site Name, Account Number, or Registration Keys or you won’t be able to finish the lab!
Make sure that the below Modules are not checked:
• Bill of Materials • Human Resource Management • Inventory Control • Multicurrency Management • Payroll • Payroll Connect

After you have unchecked or verified that each of those are not checked, click OK to save the settings.

Lab 1.1.3 Explore Microsoft Dynamics Let’s explore Microsoft Dynamics! Click on Microsoft Dynamics GP and look around at all you can do!
Next, click on Transactions and explore what you can do! This is where we will book transactions.

Next, click on Inquiry. From here, we can look up a lot of information!
Next click on Reports and see all the reports we can run!
Lastly, click on Cards. We’ll perform some transactions from this menu so take a look around!

Click on Home and this will bring you back to the first screen.
There are several ways to find information in Microsoft Dynamics. Click on Financial and see what you can do! You can scroll down too!

Lab 1.1 Assignment Deliverable In the Word document that you created, take a screen shot of your home page and paste it into the document. Don’t worry if yours doesn’t look exactly like the below! Label it Lab 1.1. Make sure you include the footer that has the date, company, and your User ID in your screen shot.

Lab 1.2 User Preferences Let’s start by changing some of your user preferences.
Lab 1.2.1 Change your password Click User Preferences.
Click Password.

Type in your old and new passwords. Click OK.
This will get you back to the User Preference window. Let’s change your report destination to your screen so that you can take the required screen shots. Unclick Printer and click Screen.

This below message may pop up. Write down your password somewhere safe and click OK. If you forget your password, your professor can reset it for you, but it could take 24 – 48 hours, so try not to forget your new password!
Lab 1.2 Assignment Deliverable In the Word document that you created, take a screen shot of your user preferences and paste it into the document. Label it Lab 1.2. Don’t forget to include your User Name in the screen shot.

Lab 1.3 The General Ledger When George Night, the CPA, loaded the Microsoft Dynamics software and he chose a default chart of accounts, so there is already a chart of accounts there! Let’s take a look at it! Click Reports > Financial > Account
Notice that you can click on the drop down and there are several reports.

Let’s stick with the Category report. Highlight Default and Click Insert and the report will move to the Email or Print List.
Click Print
Make sure Screen is checked and click OK. If Printer is clicked, just unclick it and click Screen.
