    True courtesy involves being aware not

    only of the perspective of others but alsotheir feelings.It is merely politeness insertions ofplease and thank-you.

    Courtesy comprises of the following points

    a. Being sincerely tactful, thoughtful andappreciative

    b. Use expressions showing respect

    c. Choose non-discriminatory expressions

    The following tips may be kept in mind if youwish to achieve courtesy in communication:

    o Be sincere

    o Avoid anger

    o Refrain from preachingo Use positive words

    CLARITY:-

    In effective business communication themessage should be very much clear. Sothat reader can understand it easily.You should always choose precise words.Always choose familiar and easy words.If

    you have a choice between long wordsand shorter one, always use shorter one.

    Clarity in communication has following features:-

    It makes understanding easier. Complete clarity of thoughts and ideas enhances the

    meaning of message. Choose short , familiar & conversational words Construct effective sentences and paragraphs by unity

    of idea and sequencing

    Achieve appropriate readability by using formal &informal language

    Include examples, illustrations & visual aids

    CONCISENESS:-

    Conciseness is saying what you want to say in thefewest possible words without sacrificing the otherC qualities. A concise message is complete withoutbeing wordy.

    Follow KISS instead of KILL.

    To achieve conciseness, observe the following

    suggestions;

    Eliminate wordy expressions.

    Include only relevant material.

    Be Focused Stick to the purpose of message Delete irrelavent words Avoid giving long introduction

    Avoid unnecessary repetition.Use Shorter Name after the long once

    eg: ITDCUse Pronoun or initial

    CONCRETENESS:-

    -Concrete communication implies being particular andclear rather than fuzzy and general. Concretenessstrengthens the confidence. Facts and figures beingpresented in the message should be specifc.

    Concrete message has following features:-

    Use specific facts and figures Put action into verbs

    Choose vivid image building words by comparison &figurative language (?)

    Use more adjectives and adverbs

    If you want to be put in vague and general messages, itsbetter to omit it altogether! Wasting your readers time is theLast thing you want in communications.

    For Example:-

    Bad Example

    The Lunchbox Wizard will save you time every day

    Good Example

    How much time do you spend every day packing your kids'lunches? No more! Just take a complete Lunchbox Wizardfrom your refrigerator each day to give your kids a healthylunch and have more time to play or read with them!

    CORRECTNESS:-

    What is Correctness?

    What are features of Correctness?

    Correctness comprises of following points:-

    Using right level of language

    Checking accuracy of figures, facts and words

    Maintaining acceptable writing mechanics

    CONSIDERATION:-

    Focusing on YOU instead of I and WE.

    Showing audience benefits are interest in thereceiver.

    Emphasize positive pleasant facts.

    Eg:We attitude:-I am delighted to announce you, that we willbe extending our hours to make shopping more convenientYou attitude:-You will be able to shop in evening with the

    extended hours.

    Goods in bad condition and without thebill will not be exchanged.Goods in good condition accompanied by

    bill can be exchanged.
