vrynge is an initiative of the Vrystaat Kunstefees to create a platform for emerging artists, creative practitioners, community organisations and entrepreneurs locally, nationally and internationally.

vrynge aims to expose local and national audiences to emerging work.

The Vrystaat Kunstefees values diversity, respect, and excellence. Through the vrynge it aims to create an environment that inspires freedom of practice, supports innovation, encourages creative industries and builds capacity.

vrynge’s programme includes literature, visual arts, film, fashion, architecture, music, dance, performance art, interdisciplinary and experimental art, site-specific work and theatre, as well as space for innovative food and -drink, and other creative industry practices.

It offers emerging artists the opportunity to advance social cohesion and boost economic development in the Free State. Artists will not only showcase their art but also have the opportunity to engage and learn from professional local and international artists through workshops that will be hosted during vrynge.

Emerging artists are invited to apply now. Actors, visual artists, directors, musicians, fashion designers, hairdressers, poets, dancers – this is your chance to showcase your experiments as well as to learn and explore together with other artists.

Before applying, please consider the commitment you are making. Make sure you read through this entire guide.

The application form MUST be completed in full. Keep this guide open when you fill in the form, as sections here follow the same sequence as those in the form.

Ensure you complete all sections of the form. Pay the application fee and send your proof of payment to the Vrystaat Arts Festival office by the deadline, 30 August 2019. No hard copy applications will be accepted, only on-line applications.

In order to facilitate scheduling, please note that no member of any performance (musicians and technicians included) may be involved in more than three (3) productions.

All proposals received prior to or on the closing date will be presented to the screening committee. After all the propositions have been evaluated, individual marks are allocated without influence from others. The programme content will be determined by the screening committee and presented for approval to the managerial committee of the Vrystaat Arts Festival. The management committee reserves the right to assign productions and to invite artists for inclusion in the programme. The decision of the managerial committee is final and no correspondence will be entered into.

Payment will only be made once the vrynge is in possession of a signed contract. Artists or production houses registered for VAT should present a tax invoice for payment.

It is the responsibility of every production to finalize performance rights with DALRO and/or SAMRO. The Vrystaat Arts Festival accepts no responsibility for the payment of any performance rights and will, if applicable, deduct the owed amount from the remuneration package. Take this into consideration with the compilation of the budget. The vrynge Office may require you to submit performing rights licences on request.

vrynge’s final scheduling will be done in conjunction with the technical committee and individual negotiations. It is thus very important that available dates and technical requirements be provided correctly, as well as indicating artists, musicians or technicians’s involvement in other productions.

Productions will only be scheduled if the company/ individual has submitted the application form AND paid the application fee along with the venue fee in full on or before 201 . Late applicants and non-payers will not be scheduled.

complimentary ticketsThe Vrystaat Arts Festival reserves the right to draw complimentary tickets per production for personal use, the media and sponsors. Where complimentary seats are not used, they will be available for sale prior to the performance.

Each production is responsible for its own publicity and marketing, although the Vrystaat Arts Festival in conjunction with Volksblad will work to provide general coverage on productions, it should not be expected as a given (no guarantees can be provided).

The effectiveness of a production’s exposure is determined by the nature and extent of publicity material provided to the Vrystaat Arts Festival and the various platforms they use outside traditional marketing, keep in mind that marketing is essential to sell tickets and every production should take this seriously.

In addition, advertisements of productions may be placed in Volksblad at lowered rates; the productions will have to contact Volksblad directly for advertisements.

The Vrystaat Arts Festival will accept responsibility for the distribution of 20 posters per production on the campus of the University of the Free State. This will only be done IF the posters are sent within the given timeframe.

To display posters or any publicity material outside the campus is the responsibility of the artist/production house. The administration of the Vrystaat Arts Festival will assist in providing information and contact numbers in this regard.

NB: The Vrystaat Arts Festival will not be held responsible for information on dates, venues and times on posters.

6 Who should not attend your production/ -exhibition?

If your production uses profane language, images or actions that are likely to offend younger audiences, their parents, religious groups, sensitive viewers etc., please ensure that you apply an appropriate age recommendation. The vrynge has an obligation to Festivalgoers to give sound advice in publications regarding all productions.

7 Accessibility matters

This is will help in the placing of venues. Audiences are informed of the accessibility of the productions for people with disabilities.

8 Language

This gives clarity to us and the Festivalgoers reading the programme.

9 The producer

This helps in further selling the production. This also serves as a contact person, if that might be the case.

10 The writer/ creator of the production

Not only to sell the show but to avoid plagiarism.

11 Is this a debut?

We encourage new work every time and debuts are always welcomed.

12 Not a debut? No problem, tell us a bit more

Again, this is to sell your production. This reinforces your chance by proving your work is tried and tested.

1 The total number of people in your production

Please provide accurate information on the numbers in your cast and crew. Cast numbers, in particular, are important – it contributes to determining an appropriate venue for the size your production.

After selection process has been completed a detailed Technical Questionnaire will be sent to all productions. It is important to provide us with as much technical information as possible. This will give us a clear picture of your needs so that we are able to assign your production to a suitable venue.

4 The length of the production/ -exhibition

Please consider your show’s running time very carefully. Be realistic. Note that the running time you submit here will be used to advertise your show. Therefore it needs to be as accurate as possible and adhered to throughout all performances. It is imperative that all vrynge performances start on time.

5 Setup and strike

Please take note that productions are given 60 minutes to set-up before a performance and 30 minutes to strike. Please take this into consideration with your set. Doors open 10 minutes prior to the advertised starting time. Productions are scheduled a 90-minute technical move-in time before the first performance. This should be used for cue-to-cue rehearsals only. No full rehearsals will be scheduled, so please do not expect full rehearsals and set-up time.

6 Details of stage and set

Please provide clear dimensions of performance space. See question 11 for possible venues with dimensions. Take note that storage space for sets is limited and in certain venues storage is not possible. Please provide a detailed description of your set in order to facilitate allocation of performance venues. Sets must be free standing. No nails, screws etc. may be used on floors or walls to install sets. The Festival will also not supply any flats, screens, floor mats or rostra.

7 Lighting

Venues are equipped with basic fixed lighting rigs. No alteration or refocusing of the general lighting rig will be allowed. The Festival only provides red (LEE106), blue (LEE 120 and 068) and gold (LEE 152). If you need any other colours you have to supply your own gels. Depending on the venue, the lighting rig may include a certain number of “specials” which you may refocus and gel according to your needs. Detailed lighting rigs for venues will be sent out after selection process is completed.

8 Special effects

Please take note that the Festival does not supply any special effects. This includes projectors, screens, and strobe light or smoke machines. Artists are responsible for their own special effects. It is important to post notification to audiences about the use of strobe lighting, simulated gunshots or effects that may alarm, provoke or cause harm. Please indicate the use of any such effects and, if you are unsure, contact the Technical Manager for clarification.

9 Sound

Basic sound equipment is supplied in venues. The equipment supplied in performance venues is adequate for effects, incidental and backing music. The equipment in most venues includes: 2 x FOH speakers, mixing desk and CD player. Artists are responsible for supplying any other sound requirements, after consultation with the Technical Manager. Venues where music performances will be scheduled include microphones and possible backline. This will be confirmed after scheduling has taken place. Please take note that the Festival does not supply keyboards.

10 Venues

All venues will at least have a sound engineer, lighting operator and stage-manager. In bigger venues there will also be a few stagehands. It is advisable for productions to bring their own technical staff as there will be no time for rehearsals with venue staff. NB: There are two dedicated vrynge venues, Gazellie A and Gazellie B, all vrynge productions will by default take place either in one of the aforementioned venues as well as vrynge farm. 1 The budget

Download our budget template to assist you with the financials.

1.1 Please attach a complete budget to the application form. Foresee for all possible expenses, as well as travel, accommodation and set transport costs. Also keep in mind the possible DALRO/ SAMRO rights. (See page 4 – Performance rights.) Indicate clearly which package the production application prefers. Provide as much detail in your budget as possible. Compile your budget to provide for the following departments: pre production, rehearsal, run of production at vrynge, administration, marketing, travel, accommodation and meals. This is
