q CHOOSE YOUR PICNIC DATE Appropriate forms will be mailed to you confirming

your picnic date. Pavilion reservations are available and assigned to groups purchasing 25 or more tickets through Idlewild’s Group Sales Office.

q TICKET ORDER AND DISTRIBUTION We suggest ordering your group tickets at least one month prior to your scheduled date since tickets must be distributed in advance to those attending. If you need to re-order tickets, just give us a call.

pavilion reservations guidelines • During the months of July and August and all holiday dates, a minimum of 25 tickets must be

purchased through the Group Sales Office in order to reserve pavilion space. If the minimum ticket purchase is not met, contact Group Sales for rental fee rates.

• Pavilions not “reserved” are available for use FREE OF CHARGE on a first come basis.

• Pavilion accommodations will be selected by the Group Sales Office based on availability and the estimated number of guests.

GROUP TICKETS & PAYMENT GUIDELINES: 1. All group ticket arrangements must be handled by the authorized group leader.

2. Group tickets are issued for one specific day. Tickets may be used on any operating weekday free of charge or on other weekend date by paying the surcharge printed on ticket at Idlewild’s Main Gate. Please note, this surcharge option may be waived by picnic organization.

3. Corporate accounts and established groups with prior booking history can take tickets on a consignment basis. Small groups (25-99) and new accounts are required to pre-purchase tickets.

4. Tiered group prices are based on the total number of tickets purchased, not the total number of tickets issued. If the ticket purchase does not reach group minimum requirement, the prevailing gate price is charged.

5. All unsold tickets must be returned to the Park within (14) days after event by hand delivery or certified mail. Net billing is based on total tickets issued, minus tickets returned. Credit will not be given on any ticket returned after the settlement is complete.

6. Payment terms (including all tickets, catering and additional goods and services) are net 30 days from event date. Payment accepted in the form of cash, credit card and approved picnic organization check (no second-party, cashiers’ checks or money orders will be accepted.)

SMALL GROUPS (Groups 15-24)Smaller groups of 15-24 can buy discount “good-any-date” tickets online at idlewild.com. Print at Home. Save Time and Money.

CONSIGNMENTCan’t hold a single day event? Our Consignment Ticket option lets you pass great savings onto your group members. We will provide “good-any-date” tickets to offer to your group members at a discount – you only pay for what is sold!

Ticket Bonus! It’s our way of saying “Thank you for choosing Idlewild!”

When you handle physical ticket sales for your event, you will receive 1 FREE “Visit Us Again” ticket for every 25 tickets purchased. Tickets are good any operating day during the regular 2017 operating season including our September “Fall of the Leaf” weekends.

All accounts must be settled within our 30 day payment terms in order to receive complimentary ticket bonus. Bonus is VOID if account settlement is not made within our payment terms. Ticket Bonus excludes online sales programs.

1000+ 3 hours 4+* *The number of serving tables will be confirmed by the catering department and will be determined by the guaranteed meal count. Note: Each buffet table serves two lines.

The following policies are important to ensure a successful event. Please take a few moments to review them. Please contact Idlewild’s Group Sales Office at 724-238-6784 if you have any questions or would like to place your catering order.

• Catering service is based on a minimum of 50 guests. If your group does not meet the required minimum, you will be charged for the minimum requirements.

• The Grand Buffet and The Picnic Cookout meals are served buffet-style and include “All-You-Can-Eat and Drink” service. The length of service is determined by the size of your group (see buffet serving guidelines).

• Catering service is provided only through Idlewild’s on-site catering, Stratwood Caterers. No outside caterers or any food and/or beverages may be brought into the Park by organizations, however family picnic baskets are welcome.

• All prices and service charges are subject to Pennsylvania’s 6% sales tax. An 18% service charge will be added to your catered meal (service charge does not apply to a la carte items).

• A La Carte items will be billed to you based on order confirmation. If you would like an Idlewild attendant to serve any A La Carte items, a per hour service fee will be added to your invoice. Please check with your sales representative for the hourly rate.

• All catering arrangements must be placed with the Idlewild Sales Department at least THREE WEEKS prior to your group’s visit. Please provide your estimated number of guests, menu choices and serving time.

• Please confirm the GUARANTEED NUMBER of guests we are to serve at least FIVE DAYS in advance of your outing. This number may be raised, but not lowered. All charges will be based upon the guarantee, or the actual number of persons served, if greater than the guarantee.

• Groups that cancel after the five-day period will be billed 10% less than their guarantee. Note, in the event of a rain out, your prepared food can be picked up at our Stratwood catering facility within 48 hours of your event, otherwise it will be donated to the Three Rivers Food Bank on your behalf.

• Due to the Department of Agriculture Regulation 48.384-441, our catering staff is not permitted to leave, and guests are not permitted to remove and/or package leftover food after the catered meal is complete.

ANSWERS TO YOUR QUESTIONS

1. HOW FAR IN ADVANCE DO WE NEED TO RESERVE A PICNIC DATE AND PAVILION FOR OUR OUTING? If an exact date is important, it is advisable to reserve your outing date early in the year. If your outing date can be somewhat flexible, pavilions may still be available later in the season. Pavilions must be reserved through Idlewild’s Group Sales Office.

2. HOW MANY PEOPLE SHOULD WE PLAN FOR? Generally, if the company/organization is paying for the entire admission and/or meal, you can figure your attendance will be approximately 2-4 times the number invited.

3. ESTIMATED COST? Multiply the estimated number of expected guests by cost of admission (based on group rate/usage chart). If applicable, add your meal cost (include 18% service charge and 6% PST to meal). Idlewild’s Group Sales Department will be happy to provide you with a quote.

4. SHOULD THE COMPANY/ORGANIZATION PAY FOR THE ENTIRE COST OF ADMISSION AND/OR MEAL? This would depend upon your budget. Many companies/organizations will pay for the entire cost of admission and meal, while others require their invited guests to pay for a portion of the cost per person.

5. WHO SHOULD BE ELIGIBLE TO GO? It is certainly your choice, but most companies/organizations will invite all employees/retirees/members and their immediate family members.

6. SHOULD INVITED GUESTS BE ALLOWED TO BRING ADDITIONAL GUESTS AND/OR GRANDCHILDREN? Some companies/organizations allow invited guests to bring additional guests beyond immediate family members by paying for the cost of the additional admissions and/or meals.

7. HOW FAR IN ADVANCE SHOULD WE ANNOUNCE OUR EVENT? Announce your event date as soon as possible. Allow invited guests to begin making reservations four or five weeks ahead with absolute deadline 14 days prior to the outing.

8. PROMOTIONAL MATERIALS? Your Idlewild Representative can provide you with posters, invitations and brochures well in advance of your outing to help you promote your upcoming event.

9. HOW SHOULD GUEST RESERVATIONS BE HANDLED? A reservation form can be distributed to all eligible guests. This form should include the following information: • Event Date • Name of eligible guest • Number of attending guests: 0–2 years of age, 3–59 years of age, 60 years of age and older • Cut-off date for reservations • Name of person to contact if there are questions • Name of contact person/department to return the reservation

10. TICKET DISTRIBUTION? Your Idlewild Representative will provide you with tickets well in advance of your outing. We suggest placing your ticket order one month prior to your event, allowing ample time for ticket distribution.

11. MEAL GUARANTEE? If your group is having a catered meal, all catering arrangements must be placed with your Idlewild Representative at least THREE WEEKS prior to your group’s visit. 12. TICKET RETURNS & PAYMENT? Unused tickets should be returned to your Idlewild Representative no later than two weeks after your picnic date. You will be charged for all tickets except those returned. Net billing will be based on total tickets issued minus tickets returned. Price category will be based on the total number of tickets to be paid for, not the total number of tickets issued. Final payment is due no later than 30 days from the scheduled picnic date.

RECOMMENDED DRESSProper attire must be worn in all amusement areas. Shoes, shirts, pants or shorts are required (excluding pool and waterslides). Approved swimsuits (no metal devices) are required for wave pool and waterslides. Life jackets will be provided free of charge and are required for all guests 48” and under in the wave pool.
