Roles Descriptions
Authors Authors or sources of the content – typically Subject Matter Experts (SMEs)
Content Owners People who have responsibility for the integrity of a group’s content (sample actions: review, tag, approve content)
Approvers Approve content (ex. legal, managers, subject matter experts, …)
Portal Managers Have similar responsibility as content owners in addition to overall administration of respective portal/CMS sites

Identify Participants – Job DescriptionsPortal Manager – Responsibilities:•Assist the portal sponsor in deciding on any portal-related design and implementation issues•Have overall responsibility of the site’s content, presentation and usability in addition to overall
administrationof respective portal and content management system (CMS) processes and technology•Understand all portal and content management benefits and standards at Halliburton•Understand Halliburton’s Interwoven TeamSite interfaces, including WebDesk, WebDesk Pro, Metatagger,and Team Portal•Understand all aspects of CMS, such as templates, workflows, roles, metadata, and all elements of Halliburton’s content management lifecycle•Understand and support Halliburton’s Plumtree portal, CMS and taxonomy governance and implementationstandards•Oversee the maintenance of the group’s taxonomy – adding, modifying, deleting taxonomy terms as
needed,all in close coordination with taxonomy governance standards•Train and support content owners, authors and approvers•Develop and enhance role-based access to information needed for employees to do their jobs effectively through the portal•Work to eliminate instances of content duplication, supporting single-sourced content, controlled and managed by the respective owners of the content•Leverage the portal to support internal and external resources to identify new and improved business opportunities in existing and emerging markets worldwide•Develop and deliver change management deliverables (e.g. communication and training on portal or CMS)•Train and support all end users with questions or troubleshooting in using the portal and/or CMS•Manage all portal and CMS measuring and reporting – report progress to portal sponsor(s) and any others (such as content owners) as needed

Workflow Concepts
• Workflow systems enable multiple step processes for varied content types, cross-departmental staff, and required actions, such as submit, review, and/or approve.
• For CMS, workflows automate the processes of the content lifecycle, defining dates when content is reviewed, archived, or destroyed
• Various people (roles) get involved, such as content authors, content owners, and content approvers
