Undergraduate Research Scholars Final Thesis Submission Instructions

Part 1: eCampus Submission InstructionsSTEP 1: Start seeking final thesis approval from your faculty advisor NOW! You WILL NOT be able to make significant content changes after the Sunday, April 9 at 11:59 PM deadline.

STEP 2: Before submitting on April 9, triple check your document against the Thesis Manual as well as any previous installment corrections. Your final thesis document should be COMPLETE and PROPERLY FORMATTED. Stop by one of the drop-in help sessions to have a LAUNCH: UGR staff member look it over before you submit.

STEP 3: Submit your completed FINAL THESIS as a PDF to the 2016-2017 Undergraduate Research Scholars eCampus Community by Sunday, April 9 at 11:59 PM. NO EXTENSIONS WILL BE GRANTED.

STEP 4: LAUNCH: UGR staff will check your final thesis PDF for formatting, the same process as the first-third installment submissions. Work with Undergraduate Research staff through the eCampus Community until your document formatting is perfect. Completed theses will be reviewed by Undergraduate Research staff for format only. If there are any mistakes in formatting, you will be asked to resubmit your document.

STEP 5: Look for an email response from ugr@tamu.edu. You will either receive a FINAL THESIS NEEDS CORRECTIONS email, or a FINAL THESIS FORMATTING APPROVED-MOVE ON TO PART 2 email. ◦ If you receive a NEEDS CORRECTIONS email, promptly make the corrections requested and resubmit by the deadline

specified in the email. ◦ If you receive a FORMATTING APPROVED email, you will be asked to navigate to the Scholars Thesis Submittal System (STSS)

to continue to Part 2 of the final thesis submission process.

Click on the Assignments tab.

Click on the Final Thesis Submission (Part 1) folder.

Click on Final Thesis Submission – Step 1 of 2 to enter the actual assignment.

Click on Browse My Computer to upload the PDF of your final thesis. Name the file “YOURLASTNAME-PRIMARY-2017.” Then click the Submit button to complete Part 1.

After submitting Part 1 on April 9…Look for an email response from ugr@tamu.edu. You will either receive a FINAL THESIS NEEDS CORRECTIONS email, or a FINAL THESIS FORMATTING APPROVED-MOVE ON TO PART 2 email. ◦ If you receive a NEEDS CORRECTIONS email, promptly make the corrections requested and resubmit by

the deadline specified in the email. ◦ If you receive a FORMATTING APPROVED email, you will be asked to navigate to the Scholars Thesis

Submittal System (STSS) to continue to Part 2 of the final thesis submission process.

Part 2: Scholars Thesis Submittal SystemSTEP 1: Login to the STSS to update your personal and document information (title of your thesis, abstract, keywords), enter your embargo preferences, verify your final thesis document, and request faculty advisor approval. You must click the CONFIRM AND SUBMIT on the last step in the system to properly submit your final thesis for approval. If you do not receive the submission confirmation email after submitting, please email ugr@tamu.edu immediately.◦ NOTE: The document approved by your reviewer in eCampus will be deposited into the STSS for you by

LAUNCH: UGR staff. Download the document uploaded to your file in the STSS and check that it is the correct version.

STEP 2: Wait for your faculty advisor to approve your completed thesis in the STSS. If your faculty advisor requests changes to your thesis during this time, please contact Undergraduate Research staff at ugr@tamu.edu for instructions on replacing your thesis document.

STEP 3: Look for a program completion email. Once you have met all program requirements and your completed thesis has been approved by both your faculty advisor and Undergraduate Research staff, you will be notified that you have successfully completed the program.

Your name and email address are automatically pulled from the TAMU Directory. Feel free to enter your middle initial.

Select your College, Department, Degree Type, and Major from the drop-down lists. If you do not know which Department your Major falls under, please visit http://www.tamu.edu/about/departments.htmlto find out.

If your College, Department, or Major is missing, please email ugr@tamu.edu and we’ll add it for you.

Make sure 2016-2017 Undergraduate Research Scholars is selected.

Please provide a permanent, NON-TAMU email address where we can reach you after graduation. This email address is important for notifying you when your document has been published to OAKTrust.

Update this section to reflect your Final Thesis Title. This should match what you have in your Final Thesis document.

Please do NOT use all caps or ending punctuation. Title Case Only.

Enter your expected graduation date.

Enter your abstract in plain text.

Enter any keywords related to your thesis.

This is how readers can easily search your topic in the OAKTrust repository.

Separate keywords with a semicolon (;).

Enter your faculty advisor’s full name here.

Enter your faculty advisor’s email address here.

This is the email address where your thesis approval request will be sent.

Select one of these thesis hold (embargo) options. You should discuss this selection with your faculty advisor.

Click to download the document here to make sure it is the same one approved by LAUNCH: UGR staff in eCampus.

If your faculty advisor requests any changes to your document, please email ugr@tamu.edufirst so we can reopen your submission.

Click Confirm and Submit to complete Part 2 of the Final Thesis Submission Process.

Once you click Confirm and Submit, you will receive an automated confirmation email, and your faculty advisor will received an automated review request email.

Again, if your faculty advisor requests any changes to your thesis document before they can submit approval, please email ugr@tamu.eduso we can reopen your submission.
