Thank you for your interest in the role of Recruitment and Contracts Coordinator within
The Two Counties Trust. This is an exciting time to join our Multi Academy Trust. I
joined the organisation in January 2021 as the new CEO and my aim is to harness the
good practice, achievements and innovation that has been key to our success to date
and my vision is to lead us forward to ensure that we continue to provide our students
with opportunities and experiences to enhance their life choices and to make a positive
contribution to the world we share.
All of our employees play a key role in making our vision a reality and this role is no
exception. The post is a new role within our Human Resources Team structure and
reports to the Human Resources Team Leader.
I see this role as a fantastic opportunity for an ambitious Human Resources professional
to join our Trust, coordinating our recruitment and processing essential paperwork
during the employment life cycle. Whilst experience of the working within education
and knowledge of Keep Children Safe In Education is desirable, it is by no means
essential.

A new and exciting opportunity has arisen for a Recruitment and Contracts Coordinator to work in the Human Resources Team at The Two Counties Trust. You will join a team of dedicated, likeminded HR
professionals delivering an excellent service to the schools within our Trust. Day to day you will coordinate engaging and effective end to end recruitment campaigns, working closely with Leaders in our schools. You
must share our goal to attract the highest calibre of candidates to inspire our current and future students, providing an exceptional experience for all of our applicants. The successful candidate will be responsible
for ensuring that we are compliant with relevant employment law and that our legal requirements are met
for each stage of the recruitment process. The Recruitment and Contracts Coordinator will own the onboarding process and ensure that candidates undergo all statutory checks to deliver a seamless transition into our Trust.
In addition to recruitment and onboarding, you will also be responsible for processing letters, documents
and contracts associated with any employment or contractual changes throughout the employee lifecycle. This area of your role will require a keen eye for detail to guarantee accurate information is being provided to our employees and updated with our payroll department.
We are looking for a new member of the team who is enthusiastic, shows initiative and can demonstrate
experience of managing a busy work load and processing high volumes of transactional tasks. We are seeking to appoint a confident communicator who has the ability to build meaningful positive professional
working relationships with our employees and leadership teams. To secure this post you will need a basic understanding of employment law along with previous administrative experience gained working in a high
profile, fast paced team. Although not essential, experience of working within education and knowledge of Keep Children Safe In Education would be advantageous.

Core purpose: This role is responsible for the organisation and execution of recruitment and selection, employment contracts and contractual changes working with the HR Business Partners for the relevant school.
Corporate responsibilities:
• Take an active part in appraising their own work against agreed priorities and targets in
accordance with the school’s performance management and supervision arrangements.
• Undertake any necessary training associated with the duties of the post.
• Maintain confidentiality at all times and to observe Data Protection Guidelines.
• Understand and comply with the schools equal opportunities and other policies.
• Comply with the Health & safety Policy and legislation in the performance of their duties and responsibilities.
Key responsibilities:
Recruitment
• To work with the HR Business Partner to process recruitment requests, ensuring that all information
has been provided and appropriate authorisation is in place.
• To work with the HR Business Partner to ensure that job profiles are up to date, contain clear criteria, are of a high standard and are legally compliant.
• To draft and place enticing advertisements using the most appropriate media.
• To maintain the internal vacancy pages and vacancy logs.
• To provide candidate data to schools in good time and chase the return of short listed applications to
ensure interviews are conducted in a timely manner.
• To contact candidates to arrange interviews and issue agreed selection schedules.
• To obtain references prior to interview for shortlisted candidates wherever possible, providing these
in good time for the interview date, advising the school where there are any problems or concerns.
• To keep recruitment literature up to date.
• To maintain TES, the Trust and school’s careers pages.
• To complete the equality and diversity monitoring for each recruitment exercise.
• To complete the annual report of recruitment, drawing information from the equality and diversity monitoring data.
• To check that shortlisting and interviewing has been completed correctly.
• To work with the HR Business Partner to develop and implement creative recruitment solutions for
hard to fill posts, aiming to fill all vacancies first time.
• To undertake data analysis regarding recruitment and selection.
Appointments
• To draft offer letters and contracts of employment, ensuring that all offers of employment are subject
to appropriate checks and that any contract issued is 100% accurate.
• To carry out pre-employment checks and follow up clearances to ensure that all clearances are
obtained (including DBS, right to work, prohibition from teaching, medical clearance, confirmation of qualifications and so on), liaising with the HR Business Partner for the school.
• To complete the single central record for all new starters
• To monitor safeguarding guidelines for recruitment to ensure that processes always adhere to the
requirements of Keeping Children Safe.
• To complete LGPS Pension Starter forms for Derbyshire and Nottinghamshire County Council schemes, informing payroll and placing copies on files.
• To liaise with the relevant HR Business Partner member to pass on the new starter file for retention
in the school once the recruitment process is complete,
Contractual changes
• To process all documentation associated with any employment or contractual changes throughout
the employee lifecycle, ensuring that documentation and pay is 100% accurate and that up to date signed contracts are completed.
• To process leavers, including making payroll changes, with 100% accuracy and informing relevant
agencies.
Other duties
• Maintenance of the HR website.
• To support the team with running a variety of reports to undertake data analysis.
• To support the team by note taking at casework meetings.
