Chicago (Lombard), Illinois on July 24 - 29, 2020. All lodging, meetings, and events will be held at Westin Lombard Hotel 70 Yorktown Center; Lombard, Illinois, 60148. All delegates must be
registered and plan to stay until the close of the convention on Wednesday afternoon, July 29, 2020.

The Knights of Peter Claver, Inc. will attempt to provide for special needs of Convention attendees as much as we are able. We cannot guarantee any special needs accommodations that are not within our or the hotel’s capabilities other than provided by law. The hotel has a limited numbers of rooms that will accommodate guests with restricted mobility and those who are hearing impaired. These rooms are assigned based on availability upon check-in.

Reservation Information
The hotel group room rate is $149 plus taxes per night for single / double / triple / quad rooms. (Subject to
Availability). NEW: In order to request a hotel room, you must first register for the National Convention. You
may request your hotel room during or after completing the online convention registration
process by visiting www.kofpc.org/conventions OR by using the Paper Convention
Registration and Room Reservation Request Forms. Based upon availability, hotel rooms will be
reserved on a first registered, first served basis. If our (KPC) contracted room block is exceeded, the
remaining reservation requests will be placed at an adjacent over-flow hotel. You will receive hotel
reservation confirmation emails directly from the hotel once your room request has been processed. The
Knights of Peter Claver, Inc. does not contract special group rates for suites, so please contact the Westin
(888) 627-9031 to reserve them at the current going room rates.
DEPOSITS for hotel rooms are NON-REFUNDABLE.
A $169 non-refundable deposit payable to the Knights of Peter Claver will be charged when you register.
The balance for your stay must be paid by CREDIT CARD ONLY at the time of check in.

2. VENDOR BOOTH STAFFING. Authorized representatives must staff Vendor booth(s) during all hours. Vendors are asked to be at the event for the six-day period when the Convention is open for the Convention attendees. If you cannot attend the entire event, please make arrangements prior to the Convention. The requirement for everyday staffing will only be waived based on religious circumstances. A non-staffed booth is totally at the risk of the Vendor.
3. VENDOR SETUP AND TEAR DOWN POLICY. The KPC Convention’s Vendor Fair will be held at The Westin Chicago Lombard Hotel: 70 Yorktown Center; Lombard, Illinois, 60148. All vendor booths must be setup by 3:00 pm on Friday, July 24, 2020 and dismantled by Wednesday, Ju ly 29 , 2020 at 5:00 pm. Vendors may only move in or move out during the designated time periods. Vendor displays will be restricted to their designated booth areas only without exception, and vendors may not setup or dismantle their booths once the convention has opened. If an early departure becomes necessary due to an emergency, we must be informed in advance prior to booth tear down and arrangements will be made to assist you without endangering the public if the convention is open. The set-up and sales schedule is as follows:

4. VENDOR DISPLAY POLICY. Booth, depending upon size selected (10x10 or 10x20), will consist of pipe and drape, 4 or 6 tables and up to 4 chairs. Vendors may not exceed their designated booth, a n d vendors will not be permitted to put on demonstrations unless the KPC is notified in advance and only if there is sufficient aisle space exists to support an audience. Vendors are strictly prohibited from making any r e q u e s t s o f the hotel staff. All vendor requests will be made through the KPC staff representative.
5. BOOTH DISPLAY INTERFERENCE. No Vendor may interfere with or block a neighboring Vendor. Display material exceeding three feet in height above a table may not extend more than four feet from the back of the booth without permission from the neighboring Vendor. Vendors who have end or corner booths may not exceed the three-foot height limitation on the back or side rail without permission from the neighboring Vendor. Display materials at the back of the booth may not exceed the eight-foot height of the drape.
6. SAFETY PROVISIONS. Vendor must provide the necessary shielding or safety items to protect attendees, Vendors and all others from equipment that may cause bodily harm. Electrical wiring and equipment must meet the standard electrical codes. All co s t s f o r e l e c t r i c a l e q u i p me n t ( cords, power strips, etc.) that are supplied by the hotel will be borne by the Vendor.
7. PROMOTIONS AND LITERATURE DISTRIBUTION. Booths are for the sale of merchandise only (no food items other than cakes, cookies, and candy). Promotions and commercial literature distribution by a vendor is restricted to the confines of the Vendor's booth area. Vendors are not permitted to use other persons to distribute materials at other locations on the convention premises.
8. MOVING SAFETY. Please note for safety reasons during the move-in and move-out periods, KPC and the hotel or convention center do not permit children less than 18 years of age in the Convention Vendor area unattended by an adult.
9. INDEMNIFICATION. Vendor shall defend, indemnify and hold the KPC harmless from any claim or lawsuit arising from any act or omission on the part of the Vendor, its agents, employees or assigns that may cause harm to others, including but limited to any and all claims or lawsuits arising from or concerning retail licensing and licensing, copyrights and patents of the merchandise sold by Vendor. In the event the KPC takes legal action to enforce this provision and prevails, Vendor shall be responsible for the payment of all costs, expenses and attorney fees incurred by the KPC in pursuit of such enforcement.
10. PAYMENT. Payment in full can be made by credit card or e-check online at www.kofpc.org/vendors or by mailing a check or money order to the Knights of Peter Claver, Inc., 1825 Orleans Avenue, New Orleans, LA 70116. Space must be reserved and paid for no later than Wednesday, July 8, 2020.
