I hereby grant permission to the organization’s adult leader in charge of this event to obtain medical care from licensed physicians, hospitals, or medical clinics for my child in the event that I cannot be reached.

Cancellation Policy: All cancellations, substitutions, and requests for refunds must be submitted in writing. Registrants who are unable to attend the conference must mail a written notice of cancellation or refund request to the 2014 KPC Gulf Coast District Junior Conference Committee at the address provided above. It must be postmarked by JANUARY 31, 2014. Requests postmarked after January 31 will not be considered.

2014 Gulf Coast District Junior Conference
1. All Juniors, Commanders, Counselors and adult chaperones must be pre-registered
2. Juniors, Commanders, Counselors, and adult chaperones must wear Conference name badge at all time.
3. All Juniors are expected to attend all Conference functions. All curfews must be followed. All Juniors and their chaperones should be in their room immediately after the close of all evening events. Security will be monitoring the hall and other areas of the hotel. Chaperones are to have room checks and are responsible for all Juniors assigned to them.
4. Adult Chaperones must accompany Juniors at all times. If possible, chaperones should be members of the Knights of Peter Claver/Ladies Auxiliary Senior Divisions. The Branch/Court should provide adequate chaperones for the entire conference. There should be (1) chaperone per (4 Juniors).
5. Each Jr. Branch / Court is allowed to send a delegation of (5) representatives plus Jr. Grand Knight / Jr. Grand Lady, alternate delegates should be indicated on credential and registration forms in the event your elected representatives are unable to attend the Conference.
6. Juniors are not allowed to leave the hotel premises, unless accompanied by an adult chaperone (KPC Sr. Division member) or parent.
7. Alcohol, cigarettes, marijuana, or other illegal drugs are not permitted at the Conference. If a Junior is caught in or around the usage of these drugs, their parents will be called to remove them from the Conference premises. Special permission will be granted for Juniors taking special medication and this should be noted on the “Medical Release Form”.
8. Courtesy and politeness will prevail at all times in meetings and workshops.
9. There should be no running, yelling, or playing in the hotel lobby, hotel halls, between floors and elevators. Respect for other hotel guests must be given. Juniors should have a low, respectful voice/tone at all times (no loud talking or outburst)
10. Boom Boxes and large radios should be left at home because loud music is not allowed. Headphones will be allowed, but will not be the responsibility of the hotel or the Knights of Peter Claver, Inc.
11. Juniors caught damaging hotel property will have to pay any financial costs assessed by the hotel.
12. Juniors are expected to conduct themselves accordingly at all times in a manner that will be a credit to our organizations. Good manners and proper attire will be expected.
13. Respect should be given to all Commanders, Counselors, chaperones, assistant commanders/counselors, and all senior members of KPC.
14. All adult chaperones are expected to conduct themselves in the proper manner that would display the fine character of our organization.
15. Conduct not adhering to the stated rules of the Conference will be investigated and a decision will be made as to the proper action that will be taken.
16. Swimming is not permitted during the conference.
17. The Code of Ethics (Rules & Regulations) will be binding on all Delegates, Chaperones, Commanders, Counselors, and Senior members attending the Conference.
18. Each Branch/Court will be responsible for making Juniors, Chaperones, and others aware of the Code of Ethics (Rules & Regulations)
SAFETY AND SECURITY GUIDELINES
2014 Gulf Coast District Junior Conference The following guidelines should be reviewed carefully by the Commanders and Counselors and shared with your Juniors and Chaperones: 1. The Security Team shall be made up of Knights and Ladies from all zones that are attending the Conference and would like to volunteer. 2. The Security Team will be on duty Friday – Sunday 3. Security will work in teams to patrol the hotel around the clock especially after the curfew hours. 4. Juniors should not be moving around the hotel after the curfew hours. If an emergency occurs that you must leave your room, the Commander, Counselor or Chaperone must accompany the Junior and notify security (when possible). 5. Commanders and Counselors are obligated to know the whereabouts of their Juniors at all times. The safety of our Juniors is all of our responsibility. A Junior that is not chaperoned in a strange place is dangerous. 6. The Security Team will be identified at the Joint session on Friday. Security will provide the Conference body with additional information or security procedures if necessary. 7. Junior will show respect to security and anyone that is helping them.
8. All juniors, commanders, counselors and adult chaperones must be pre-registered.
9. Juniors, Commanders, Counselors and adult chaperones must wear Conference name badges at all times.

Each Commander/Counselor should submit Talent Show registration form
Only Juniors registered at the Conference will be allowed to be a participant
Each act must furnish their own props
A piano (if needed ) and a microphone will be provided
Accompanying music used for the act must be put on a CD.

2014 CONFERENCE SNAPSHOT The 2014 Junior Conference begins the second weekend in March. We generally meet at the
conference site on Friday for conference registration get together activities, and some
preliminary meetings. We encourage all Commanders and Counselors to please be present for
the Commanders/ Counselors meeting on Friday night. The Official start of the conference
begins on Saturday morning with the first plenary session and concludes with the third plenary
session on Sunday morning.

SPELLING BEE RULES & ENTRY FORM
Each Branch and Court is allowed one (1) contestant in each group to compete.
The Spelling Bee words have been selected from words that are age/grade appropriate.
Words will be pronounced according to diacritical markings in the Merriam Webster’s Collegiate Dictionary 11
th Edition.
Pronunciation – If a word has two or more acceptable pronunciations, both pronunciations will be given by pronouncer.
Contestants are allowed to pronounce the word once before spelling it.
A contestant may request the pronouncer to repeat the word or use it in a sentence before beginning to spell the word.
Judges may disqualify any contestant who ignores a request to start spelling.
A contestant may start over only once when spelling a word.
Upon missing the spelling of a word, the contestant is eliminated from the contest. The next word on the pronouncer’s list is given to the next contestant.
TIE BREAKER – When the contestants are reduced to two, each are called a word on the pronouncer’s list. If both contestants spell the words correctly, the pronouncer will begin the tie breaker list. If a speller misspells a tie breaker word, the second speller is to be given the same word. If word is spelled correctly, that speller is the winner. However, if both spellers miss the word, the pronouncer is to continue until a winner is determined.
PROTEST Questions relating to the spelling of a word should be referred to the judge immediately. A contestant should file a protest before receiving the next words. Any protest after a word has been given to the speller or another speller will not be accepted.
THE JUDGES DECISION SHALL BE FINAL ON ALL QUESTIONS.

DEBATE RULES AND INFORMATION
1. Each Zone/Area may enter only one four-member team. Because each member must speak, points will be taken away if
the entire group does not participate. Other members can be used for research or speech preparation.
2. All times must be followed as stated below, or the team could be disqualified:

5. The validity of the quotes or statistics can only be challenged by the opposing teams, NOT the judges.
6. Judges will use the following as a basis for judging each team:
a. Use of Character/Persuasive Power d. Knowledge of subject g. Group participation
b. Analysis Techniques/Voice Quality e. Rebuttal skills
c. Courtesy and respect for the other team f. Presentation of topic
7. Teams using Profanity or inappropriate language will be disqualified.
8. No team or team member may sit in during another team’s performance, until the final round.
9. Brackets for the debate tournament will be made available, prior to the start of the conference. Team placing will be
determined by the pulling of a number. Therefore, all teams must be present at least 15 minutes prior to the start of the
tournament.
10. Each team should be prepared to debate, upon completion of bracket placement. No team will be allowed to alter their
debate time, due to lack of preparation.
11. Debate on pros/cons and affirmative/negative will be determined by flipping of a coin.
