If nobody answers, LEAVE A MESSAGE

Briefly explain who you are and why your calling

Be sure to leave the DA phone number (805) 493-3373

State that you will be sending them an email within the next few days if you don’t here back from them

“ask Alumni Email”

If you have left a message for an alumni, and do not hear back from them in about a week…send them the “ask Alumni Email.”

Be sure to open up the document and copy & paste the contents into an email

Don’t forget to write in the person’s name at the top

If the person agrees to participate and be an alumni profile (after talking on the phone or replying to the “ask Alumni email”) send them the “Profile Questions Email”

Again, be sure to copy & paste the contents of the document into an email

Check Voicemail

If the message light is flashing on the DA phone, it means someone has left a voicemail

To check it, dial 3600, then when prompted enter the security code: 5573

Return people’s calls, and be sure to record it (especially if you end up sending them a “Profile Questions Email”)

Receiving Emails

If you find an email in the DA inbox that contains

a positive reply to the “ask Alumni Email”: send them a reply containing the contents of the

“Profile Questions Email”

If you find an email in the DA inbox that contains

Answers to the “Profile Questions Email”: Create a folder (titled by the alumni’s name) within the

“profile answers folder”

Answers to the “Profile Questions Email”: Create a folder (titled by the alumni’s name) within the

“profile answers folder” Then copy and paste the contents of the email into a

word document, save it as “Joe Smith Answers” for example

(save it in the folder you just created for this alumni) In the same folder, also save the original picture they

should have attached If necessary crop the picture (so that it’s mainly just

their face…visit our website to see examples) and save it also in the alumni folder.

Typing up a Profile

Summarize answers given in the alumni’s reply email Use APA style guide (ex: use last name when referring to

alumni) Leave at least part of their advice out of the write up, so it

can be used as a quote next to the alumni’s picture See website for examples:

Save it in the folder that’s been created for this alumni

Email it to Professor Sandlin, so she can proofread it

Creating a Web Page (summary)

Replace Information Name/graduation year: Heading 2 Title/position: Heading 3 Insert image by clicking image button then selecting

“From my computer..” (size should be about 200x 200) Can right click the image and select edit image then resize

and/or check dimensions by right clicking and selecting image properties Also in image properties, set horizontal and vertical

padding to “0” and set alignment to “left”

“Save for later” …not “cancel”!
