Selecting the Right Data Sources

Complete and accurate data is a critical success factor for IT Asset Management (ITAM). This topic explores the question what data is needed, where to get the data and how to get the data.

Key Considerations:

1. Identify primary data source

2. Partner with data source owner(s)

3. Evaluate suitability to support outcomes

4. Standard versus custom connector

5. Identify required data transformations

6. Ensure no data overlap (when multiple data source required)

7. Implement data orchestration

CA’s Software Asset Management Extended Catalog

Understanding if the software titles in scope are standard or extended is a key element to collect and onboard data. Developing extended catalog entries is as much art as is it science.

Key Considerations:

1. Initial review of entitlement data to determine if titles will be extended.

2. Determine if there are similar products in the catalog (as a starting point)

3. Identify supported metric engine

4. Product Recognition

5. 3rd Level Metric data

6. Ensure proper data modeling

7. Managing Master Catalog Updates

Asset Lifecycle (When To Create Assets)

This has been a highly debated topic over the years: At what point in the asset lifecycle should you create an asset record for tracking and management purposes.

Key Considerations:

1. Defining standards and models

2. Requested versus ordered versus received

3. Consider the receiving process

4. The value of Advanced Shipment Notifications (ASNs)

5. Create assets from inventory

Collecting Contract/Entitlement Data

Understanding your software entitlement and the contracts that govern your software licenses (purchases) is a foundational element of your vendor onboarding process.

Key Considerations:

1. When do I start collecting this information?

2. Managing your work streams

3. Resource Qualifications

4. Data completeness and accuracy

5. Data Quality

6. Measure twice, cut once

Optimizing Raw Data Imports

ITAM is a data-driven practice. Effective integration strategies are essential for success. An efficient data import architecture is also and important consideration.

Key Considerations:

1. Allocating sufficient time for developing data integration and import approach.

2. Complexity creates additional administrative overhead.

3. Effective orchestration is an essential consideration.
