Page 5: Editing archive plan

Ingest ResponsibilitiesIngest - Importing or capturing files into the editing

computer1. Create File Structure2. Copy all Raw data

1. P2 – files should be copied as data to a folder first2. Tape – files can be ingested directly into FCP

3. Archive RAW data once ingested into editing system1. P2 – Backup RAW files to Blu-Ray2. Tape – Tape is your backup

4. Hand ingested files to Online Editor

Everyone must use the same structure and procedure

File Structure

• Project Folder (yyyymmdd_client_projectname)

– Use date when folder is created, not date of

shoot or any other date– Always use this format – video shooter or

producer should provide this information to the ingest team

Copying RAW P2 Footage1. Create a folder inside the Project Folder called RAW2. Correctly connect the camera or other card reading device to

the computer3. Create a sub-folder for each P2 card called, p1, p2, p3, etc4. Copy all data from the P2 Card to the sub folder

If you lose track of the p folder name, just re-copy the footage again into a new folder. It’s always better to have 2 copies, than to not copy at all.

Online Edit

• Editor should maintain file structure• Keep all assets used in the project folder• Copy and paste assets that are not in the

project folder• When the project is finished, editor needs to

close up the project by organizing anything that may have gotten misplaced

• Editor should delete non-important files before handing to archive

Page 10: Editing archive plan

Short-term Backups

• This is an editor responsibility• Every day, where reasonable, a short-term

backup of the project should take place• This is just a copy and paste of the entire

project folder to a different location• Should not be on the same hard drive, and

preferably on a different system

Archiving

• Archiving assistant should simply use Toast to backup project to Blu-Ray discs

• Archiving assistant should use cd cover template graphic and update with the project name and version

• Finalized Blu-Ray should be re-inserted and checked before deleting anything

• Double or Triple check process before deleting anything!!!
