LincDoc Case Study: eForms in the field with LD-Mobile

In Brief

Previously, Shop ‘til you Drop’s chief sales strategy was dependent on paper and misplaced and lost contracts were a common occurance, consistently confusing the flow of business. The company first learned about LincDoc Mobile through a referrral from Apple. They downloaded the LD-Mobile app and were impressed with its ease of use and how it maintained the consisent look and feel of their existing forms. They opted to install LincDoc in their datacenter and integrated the forms and documents into their customer database to keep information synchro-nized. Once downloaded to the sales rep’s iPad, the individual in the field can complete contracts and accept digital signatures from customers on the device, enabling them to process orders in minutes, not weeks.

Results from sales team field integration of LD-Mobile on the iPad:

> Field sales reps automate critical documents and process contracts on the spot, in the field> Data is synchronized with the CRM, keeping records up to date; no paper or manual data entry is required> Transactional costs have fallen dramatically: no more faxing, mailing or couriers are required to process orders> Users authenticate using existing Active Directory (AD) credentials, simplying security and administration> Form features like drop downs, alerts and signature tools fields result in forms being 100% complete> LincDoc user interface guides new sales reps though the contracts process, reducing the time to train new reps

Background

With a sales team on the road in various parts of Australia, one of the biggest issues Shop ‘til you Drop confronts is collecting paperwork from multiple sources in multiple loctations. Clearly, geographic disparity only compounds the risk of mishandled paperwork. Moreover, trying to get sales people to complete paperwork correctly, not to mention legibly, is almost impossible because they are so often on the go. The company found that “the better the sales person is, the less chance we have of getting the paperwork completed right, so the bigger the problem.”

Once a sale and the requisite paperwork is completed, reps struggled with finalzing the documents’ submission, most often by not mailing them in a timely fashion. Thus, orders would back up for days before a salesman would make a stop at the post office.

Naturally, sales reps didn’t always connect this back-up to delayed commissions and bonuses. Subsequently, the company’s compliance team sought a more rapid method by which to finalize contracts.

... AND THEN VALIDATED PRIOR TO SUBMISSION.

LincDoc Case Study: eForms in the field with LD-Mobile

Thus, the company performed some due diligence and became determined to implement a business forms solution that could be used easily in the field and connect simply to home-office systems for submission and processing. Obviously, a paper business form was automatically disqualified. They needed eForms to function on mobile devices, work locally and in the cloud and accept digital signatures. They found all of this in LincDoc Mobile.

LincDoc’s field-level validation allowed sales professionals to interact quickly with customers during the completion of forms. Phone numbers, account numbers, prices and addresses are ensured accurate by intinsic formatting rules and submisison prompts. Thus, no more illegible or incorrect field data. (Can paper do that?) If a sales team member wasn’t online, a completed form is stored and queued for submission as soon as a network is detected. And, customers can sign their form right on the iPad using their finger or a stylus. It’s legal, quick and moves business. Once routed internally, the documents are validated and imported into the appro-priate backend systems.
