Hybrid Vs Service only Configuration

"Service-only" ( Hosted )─ Service-only customers are completely contained within SmartCloud Notes Cloud─ Administration is performed entirely via Smartcloud browser UI

Hybrid─ Hybrid refers to a specific configuration where on-premise and cloud messaging setup exist

simultaneously─ Allows existing IBM Lotus Domino customers to integrate and extend their on-premises

environment─ Seamless communication is possible between on-premise and cloud servers

Hybrid Customer Flow

In Brief three main components for on-premise hybrid configuration is

On-premise passthru server : The Domino server used as the on-premises passthru server to allow SmartCloud Notes to connect to other on-prem servers. All connections from hosted SmartCloud Notes servers to on-premises servers are directed through an IBM Domino Passthru server to ensure secure connections

On-premise mail gateway server : SmartCloud Notes servers and on-premises IBM Domino servers route mail to each other. You can have one or more IBM Domino servers to use as the on-premises mail routing server

On-premise Directory server :The IBM Domino server used for on-premises domain administration, directory replication. As this server replicates with the service, it is often called the primary directory synchronization server.

Organization Account Settings

CustomerID is the unique number of your organization in IBM Connections cloud

Subscriptions UI lists all different cloud subscriptions that you purchased.

Select your prefer country timezone,usually client set this to their corporate office time.

The first time that the SmartCloud Notes user logs using a web browser, they must change their password. Then the user is taken to the the "SmartCloud Account Update" screen where they can select a country, language, and time zone.

You can select list of administrators who will receive important system mails. This is used by the service to send email notifications that report when specific types of errors occur in the service.

Instant Messaging Options

● IBM SmartCloud Notes (SmartCloud Notes) users can chat with each other through instant messaging embedded in SmartCloud Notes web and in the IBM Notes client sidebar. This capability is enabled by default in SmartCloud Notes web; however, the IBM Notes client must be installed with the "Sametime (Integrated)" option selected.

● Company administrator must enable an instant messaging community for your company. In SmartCloud Notes, company administrators have the option to use the default IBM SmartCloud messaging community (also referred to as the service instant messaging community), or an on-premises IBM Sametime messaging community, managed by your company.

Email & Calendar Options

Notes Links Settings :

● You can specify how IBM® Notes® links, such as doc links, application links, and view links, display in web client email.

● To allow web client users to follow links to IBM® Notes® documents, views, and applications that on-premises users send, configure an on-premises IBM Domino® passthru server to resolve the links.

Email & Calendar Options

Calendar Details :

● If you enable this feature, when users schedule a meeting or use a group calendar, they can click a block of busytime in someone's calendar to see details about the calendar entry. ( Meeting chair , location , room etc )

● Users can see calendar details only if users grant them this access to their calendars.

● This feature is disabled, by default. When it is disabled, users can still see the blocks of time when users are busy, they just cannot see details about those blocks of time.

ActiveX File Attachment Control :

● If you enable ActiveX, when users who use Internet Explorer log in to the SmartCloud Notes service, they see prompts that allow them to install the ActiveX control. The prompts refer to the ActiveX control as the IBM® iNotes® control. Some examples are dragging attachment to mail , saving multiple attachments.

● Limit Message Size : Used to Control size of message ( maximum is 100 MB )

● External Forwarding : You can select this so that user won't use mail rule to forward message automatically to another email account.

● You can set how long messages remain in the Trash folder , default is 14 days. maximum value is 90 days

● You can also specify if User has control to empty Trash themselves so that they can delete message even before above setting of 'Retain deleted message for how many days'

● You can automatically delete older mails from inbox from all users mailfiles. ● Mails are deleted Matching the criteria set in “Delete email after how many days?” field. ● These mails move to “To be Deleted folder” and after one week sent to Trash

Only for hybrid customer :

● By default, the service routes mail that service users send to external users over the Internet. ● You have the option to route this mail through a company-controlled SMTP host server instead.

Email Filters● IBM SmartCloud Notes® (SmartCloud Notes) allows the filtering of inbound internet mail, by address, to control receipt of mail. Administrators may set filters by individual address or address groupings, and either allow or deny mail from these addresses.

● Administrator can can add their own customized filters and set priority of filters

● You can configure users to use 'report as spam' feature for any spam message received

IMAP Access

● IMAP Access can be enable for all users or disable for all users in Service only customer

● For hybrid we can enable IMAP for specific users by modifying person document on- premise and add a TYPE_TEXT item named SaaSAllowIMAP.

● You can also enable or disable IMAP for all users in hybrid configuration

Password Management UI

- For users who access the service with the IBM® Notes® client, you can specify when Notes ID passwords expire. This password expiration does not apply to web users because they log in using their web login password rather than a Notes ID password.

- For Hybrid User , you can create policy on-premise to set the password expiration warning

- You can synchronize web ( service ) password to Notes ID password

- Reverse password synchronization from Notes ID to web is not supported

- The feature does not apply to users who log in to the service with a federated identity that your organization defines.

Name Finder and Photos

● Name finder settings can be configured for users. You can have a option to select Advanced Name finder that will help web client users to narrow search results by department, job title , location , Manager

● For service only photos come from user's IBM connections cloud profile , for hybrid , photos comes from on-premise NAB or from user's IBM connections cloud profile

Journaling Options UI

The following types of journal files are available for Notes®: ● Notes mail delivery, which records each email message that service users send.

● Notes client session, which records each attempt to log in to the service from a Notes client to access an application such as mail or the company directory.

● Administration activity, which records SmartCloud Notes administration actions.

● The journal service produces gzip-compressed journal files about every 24 hours.

● You use an FTP client to download the journal files from the integration server.

● Files are removed from the integration server after seven days.

Traveler Device Management

'Wipe Device' : - To remove the IBM Notes Traveler application and all data and settings from the device, click Wipe Device. Once confirmed, this action restores the device to the factory default settings and erases account data from the device.

'Wipe Traveler Data' :- You can choose to wipe only the Traveler data. This will remove only the IBM SmartCloud Traveler for Notes application data, but leave personal data on the device

Once a wipe order is issued, it remains in effect permanently unless the wipe order is cancelled or the device is reactivated by clicking “Reactive” button in UI.

BlackBerry Device Management

- Wipe : to wipe a user's BlackBerry® smartphone, for instance, if it is lost or stolen

- Reactivate : The password you generate will be valid for 48 hours. If the user does not activate their smartphone within the 48 hours, the password expires and you must create anew password.

- Set Device Password : a new password that the user will enter when accessing the BlackBerry® smartphone everytime
