Scheduling employees is dependent on what type of company you operate. Whether you

are in a hospital trying to schedule nurses, a country club trying to schedule waiters for a

banquet or a YMCA trying to schedule camp counsellors for a specific outing, all

schedulers generally have the same problem. The schedules need to be dynamic because

changes in organizations happen every day. Schedules need to be visual so that they are

clear and easy to understand for the employees and the supervisors. Schedules need to

be pushed out to all the employees so that everyone recognizes the state of the schedule

as well as any changes that happen to it.

There are two potential impacts of not getting the schedule right.

The first is the impact to the client’s customers when insufficient service is given to the

people who are expecting good service. When employees are not available on certain

scheduled shifts or people just do not show up to work, holes in the schedule are not

filled and clients receive subpar service.

The second impact is from a cost standpoint. Generally, schedules are filled to a forty-

hour week and overtime is paid after certain thresholds. The ability to fill the schedule

efficiently will help a company minimize the overtime that they have to pay to

employees.

For example, if you operate a YMCA and you just had someone call in sick in the aquatic

centre, instead of just picking the person at the top on the list who may need to be paid

overtime to fill that aquatic centre position, a dynamic schedule that includes all the

appropriate people would allow you to know that the fifth person on the list would fill

that hole in the schedule and not require overtime because of the previous hours they

had already logged that week.

Right now, best-in-class companies are using visual scheduling to create master schedules

and then push them out to employees. Visual scheduling allows the person creating the

schedule to see it clearly, and it allows the employees to visually comprehend their schedule.

Then, that visual schedule needs to show open shifts or problems associated with the

schedule, and it needs to give the user, the manager or the supervisor the tools to quickly fill

those holes in the most efficient and cost effective manner.
