Visendo Serienfax Word Add-In

With the Visendo Bulk (Serial) Fax Add-In you can use the Mail Merge feature in Word tobroadcast faxes to multiple recipients.The Word mail merge function is a simple way to send a personalized document, in one step, to multiple recipients. You can use a data source (Excel list, database, etc.) to customizecertain fields (eg address, name) for each recipient. With Visendo Bulk (Serial) Fax Add-In you can send the result of a Word mail merge directly from the fax server as a direct broadcasting.

Installation and configuration

After properly installing the Add-In, you will be able to locate the new menu item "Visendo faxes " inyour menu bar.

1. Data source preparation

2. Choosing the right data source

4. Document creation merging

Now create your document. The Word Mail Merge feature provides very wide possibilities; forfurther instructions, please consult the Word Help. In our example, we add only the address and the subject,

and change the address with an if-then condition:

With the preview function, you can view the finished documents. Here is the preview of thedocuments 1 and 7 of our sample series. As you can see, the "if-then" rule works differentiating between diiferent segments (e.g – males, females etc).

5. Fax Visendo check settings

Clicking on "Fax Settings " you can set how the fax jobs are to be forwarded to the Visendo fax server. In general, for any changes, use this menu. If in doubt, contact your system administrator. There arebasically two ways how you can send your faxes with Visendo fax server.

a) TCP

This is the normal Visendo Fa x Printer method: sending faxes by using the print function.

b) Webservice

Enter the address where the web service is reachable.

6. Bulk fax (mass fax) sending

Now you can mail merge your faxes by using the “send fax” button. Finally, you receive a message about the number of successfully created or failed jobs (processes).

The example was for the 2nd Entry of the recipient list; no fax job was created because no fax number was specified:

Thus the merge with the Visendo Fax add-in shuts down. Please note however that in only the firstfax job successfully entered into the queue of Visendo Fax server were. This does not mean that thefaxes were also sent successfully.

How to select the fax numbers

In order to make Visendo Bulk (Serial) Add-In read the fax numbers from the data source, it should find a column in the data source associated with the pre-defined in Address field “Office Fax "or " FaxPrivate " . The Add-In will try to automatically identify these gaps based on the column header.
