We have put together a toolkit to use when planning a fundraiser. We want to make this process as simple as possible and provide support along the way.

Steps

We have broken down the fundraiser process into several easy steps. This toolkit will walk you through our “pop up” fundraiser model to make sure each event is a great success.

Form the Host Committee

Step 1 is to form a host committee. A host committee usually ranges from 5-15 people who are willing to help coordinate the event, spread the word and commit to bringing attendees to the event.

Team Gagnier can suggest host committee members from our network should you need help. The host committee will be listed on the ActBlue page, Facebook page and be formally thanked on any event materials for their participation.

Select a Target Date

Step 2 is to set the date for the event.

This can be determined by the date that host committee members can attend the event, the availability of the venue and by checking with Team Gagnier to see if there are any date conflicts that would prohibit Christina from making the event.

Secure the Venue

Step 3 is to secure the venue.

Team Gagnier is looking for in-kind space donations wherever possible. We are also willing to commit to a flexible drink minimum special at a bar or other event space.

The events will range from 50-100 people. They will be happy hour style events with a speech by Christina. The time frame for the event is 2 hours.

Monday and Tuesday nights work great at bars and restaurants since they are not high traffic times, and these venues would like to attract the business.

Part of the event attendance cost will cover a drink for every attendee of the event.

Set Up Act Blue & Facebook

Once the host committee has been assembled, the date has been set and the venue has been secured, Step 4 will be for Team Gagnier to set up an ActBlue page for the event as well as a Facebook event page.

The links for each of these will be sent to the primary event coordinator and the host committee.

Event donations will be tiered in the following manner:

$ 50 for Students$100 for Young Professionals$250 for Bronze$500 for Silver$1,000 for Gold

We will be able to track all signups through ActBlue.

Connect Through Your Networks for Attendees

Step 5 is to get out the word.

Share on Facebook, Twitter and LinkedIn. Call and email friends and colleagues to attend. Our goal is to get as many people as possible attending the event or donating if they are unable to make it.

Send an Email Blast & Email Reminders

Step 6 is to get out an email blast and schedule email reminders. Team Gagnier can provide an email blast template for fundraisers or simply send out a blast for you if that would be easier.

Day Of Details

Step 7 includes Day Of Details, such as:

1. Having someone in charge of confirming and working with the venue;

2. Providing name badges and pens for attendees;

3. Printing out the list of attendees for check-in;

4. Assigning volunteers to manage event check-in;

5. Assigning a point person to manage the event schedule; and

6. Getting someone to serve as “event photographer” to capture the event.

These are some general tips for day of. Team Gagnier can provide more ideas and support along the way.

Step 8 is to thank everyone! Team Gagnier will send thank you’s personally to all event attendees and keep everyone in the loop for future opportunities and events as the campaign moves forward.
