Forum Virium Helsinki uses Podio for project collaboration, communication and discussions. It’s a great way of reducing email clutter and if new persons join the project, they will have access to previous discussions and content.

If you haven’t used Podio before, please register an account. It’s free and quick. If you already have an account, you don’t have to register – our workspaces will show up inside your usual Podio account.

Please register with the same email address where you received the invitation to join Forum Virium’s Podio workspace.

You can switch to any of FVH’s workspaces from the menu that opens from the left side. Other useful links on the topbar from left to right: Podio Home, Contacts, Calendar, Tasks, Help & Support, Search, Personal settings, Notification and Chat.

Choose your Workspace and click on it. The Activity page will show any new items created or edited – or any new status messages posted by anyone. If you open Search now, it will search for items inside any Apps in this workspace. Tip! Do try the search, it is often the most efficient way of locating what you need. Click on Search Globally to broaden the search.

Next to the Activity feed you’ll find all the Apps for this workspace. Apps are like “folders” for a workspace, they contain Items – like documents, projects, jobs or whatnot.

You can send status updates by typing them to the Activity feed. Use @ to tag colleagues. You can like and comment on status updates, new items, edits and almost anything. If you’re the creator of an update or item, you’ll get a notification when someone sends a comment. Tip! Remember to open the notification feed regularly to see what’s new.

Most workspaces have at least an App for Documents and Jobs. The information (items) inside any App can be viewed in a table, badge or card view – try them out! The green button creates a new item, eg. a Document set or a Job (Jobs are like Tasks, but they can have multiple owners, whereas Tasks are personal).

With webforms information can be sent from a website and then processed and discussed in Podio.

When creating a New Item in Podio, it’s the only time you have to click Save. Fill out fields, input categories and add any number of attachments (up to 100MB in size each) and then Save the Item. You will automatically subscribe to notifications, so if someone comments on the item, you’ll notice it in your notification area.

Anyone with access to the workspace can edit or comment on any item. Edits can always be tracked and reversed. When you have an item open, any changes will automatically be saved – you don’t have to search for a save button (there isn’t one).

Tip! Click on the notification item on an item to follow any updates on it!

Podio glossary• Workspace: a collection of Apps

All workspace members have full access to all the data inside the workspace (you cannot hide Apps or Items per user)

• Apps: a collection of data with suitable Fields, Views and functionality

• Item: inside an App, a single item of data (text, attachments, comments)

• Template: workspace admins can edit what fields and field types and in which order they appear on an Item

• Field types: text, numbers, addresses, categories etc.• Tasks: you can create a Task from anywhere within Podio

and even delegate it to a colleague if you want

Podio glossary• Chat: in addition to commenting Items, you can use the

Chat window on the right side to start a conversation with any number of Podio users

• Commenting: you can start a discussion on any Item by adding a comment. Because the discussion is visible next to the Item, any future Workspace members will be able to read them and stay up to date on any changes

• Notifications: if you keep Podio open frequently, you might want to turn off email notifications (from My Account Account settings Email & Notifications)
