Purpose
This guide is aimed at educating existing users of Business Objects 3.1 to the new features of SAP Business Objects 4.2 platofrm. The main areas covered in this document are:
BI Launchpad (InfoView) navigation features like tool bar options, folder options, logon/log off etc.
Reporting new features like header freeze, document pin,export,save,print,etc.
User Management tasks like password reset, session timeout,etc.
For a User convenience, the information is presented in ‘Questions and Answers’ format. Please note that this document only covers important product features which users might be inclined to use on daily basis.
NOTE The following will apply in the use of this manual:
(i) SAP Business Objects 4.2 will be referred to as ‘BO 4.2’ from this point onwards.
(ii) This manual should not be considered as a comprehensive step-by-step guide
to the use of BO 4.2 as an application however we will cover a high level overview of BO
4.2 Platform features.

1. Questions related to BO 4.2 BI Launchpad
Q. What is the new Business Objects platform we are going to use?
We are upgrading to SAP Business Objects 4.2 SP2 from existing 3.1 version. The first new upgraded
platform version that SAP Introduced was 4.0 followed by 4.1, while 4.2 is latest version available with
additional features.
Q. How BO 4.2 platform is different from existing 3.1?
64-bit architecture (from 32-bit) providing more resources and faster performance.
Enhanced usability and productivity through a harmonized user experience, advanced analytical
insight, and powerful new search capability.
Improved Report performance.
Q. What are the benefits of BO 4.2 platform for ‘User Community’?
Report execution time is faster.
Ability to simultaneously view multiple reports.
Ability to freeze specific columns of a report.
User friendly GUI, look and feel.

Q. What is BI launchpad?
BI launchpad (formerly known as InfoView) is the standard web portal for users of the BO 4.2 platform.
It provides an improved user interface and additional options for interface customization.
Q. Is there a new web URL to access BO 4.2 BI Launchpad?
No. User’s can login to BI Launchpad using the same existing URL.

My Recently Viewed Documents
My Recently Viewed Documents lists the last 10 documents that you viewed. A document is another
name for a report. These documents will be sorted by view date, with the most recently viewed
report/document at the top.
If you click onto a report/document from this list it will open in a new tab.
These will be documents/reports that you have only viewed and did not refresh to see uptodate data.
My Recently Run Documents
My Recently Run Documents lists the last 10 documents in the repository that you refreshed (ran) to
see the latest data.

Unread Alerts
An alert can be setup within a report to inform you when certain details within a report have changed,
such as levels falling below a specified value. However alerts are not currently used.

When you select My Documents you will display your personal folder called My Favorites. You will also
be able to view your Inbox and Alerts.

Folders
When you select the Folders option you will be able to access the LOB specific published reports . This
folder list will only contain reports that you have permission to view.
Search
When you select the Search option you will be able to search for a particular report.
Q. Which is the recommended browser to work in BI Launchpad?
As per SAP Supported platforms document for BO 4.2, any 32 bit browser should be compatible when
viewing BI Launch pad (the only exception is Safari which is 64 bit by default)

Q. What is default session timeout in BO 4.2?
THE APPLICATIONS ARE SET TO TIME OUT AFTER 60 MINUTES OF INACTIVITY for security and server
performance reasons. This timing is based on the entire session, not the timing for individual open
reports.
After 60 minutes of inactivity, user would get an error :
“Error Message: Your Web Intelligence session has reached timeout. Log out and log in again to BI
Launchpad (Error : WIS 30553)”

Q. What common messages I could see while working in BI Launchpad?
There are a number of messages that may appear while you are using Business Objects.
Timeout
If you leave your BO 4.2 session inactive for 55 minutes then it will timeout and you will be required to
login again. The message below will appear as a reminder when you leave the session inactive for 55
minutes.

2. Questions related to Reports
Q. How can I view the Report?
Users can view report either by Right Click / View or by simple ‘Double Click’ on the document.
Please note that on ‘Double click’, most recent instance of the report is displayed.
Q. Can I open / work in multiple documents at the same time?
Yes. One of the best’s futures of Business Objects 4.2 is that users can now open multiple reports from
BI Launchpad at a time. This allows more flexibility to compare reports.
To open multiple reports, just double click on other report and it should open second report as a
separate tab

Q. How can I search for a specific report in the repository?
1. Login to Business Objects.
2. Use the Search function in the main toolbar or the Search pane in the left panels. (You
can search by title, keywords, all fields, etc.).
o Do not use wildcard characters in your search string! The “wildcard” search using %
does not work in this kind of searching. (e.g., a search for “fundsummary%” will not find
anything).
o Note that you can refine your search results further by Type, Location, etc. in the left
panel.
o You can also view, schedule, or perform other tasks by right-clicking on a title in
the Search Results directly.

Q. What are major options available for user under ‘Reading Mode’ ?
When a Web Intelligence type report is opened it launches the Web Intelligence application and the
Web Intelligence toolbar is displayed towards the top of the screen.
New
This button is only available if you are a report writer. It will allow you to start designing a new
report.
Open
This is another route to open a report without going back to the Home tab. You can open your
personal area (Documents) or the Folders area using this button.
Save
This button is only available if you are a report writer. It will allow you to save changes to the
design of a report.
You can use this button to print your report.
Search
You can use this search button to enable you to search within your current results (e.g. Sarah
Smith).
History
This button is currently not being used.
Export
You can use this button to Export and Save your report.
Send to
This button is only available to report writers so that they can email a copy of the report to
someone.
Undo/Redo
This button is only available to report writers.

This button will allow you to re-run a report.
Data Tracking
Data Tracking mode allows you to track and display changes to data in the report when a report
is refreshed.
Freeze
This button will allow you to freeze headers and left columns whilst reading a report inquick
display mode
Q.How can I Export and Save report ?
Saving a report essentially requires you to export the report to another program e.g. Excel, Word or PDF
and then to save the file from there.
1. Select the Export button, on the Web Intelligence toolbar. You can choose to export the whole
document, or just the current document tab.
2. Choose Export to Excel or PDF
3. Select to Open or to Save the file
Q.How can I change report display ?
ou can change the page display and zoom level to help you view a report. These controls can be found in
the bottom right of the screen (next to the last refresh button).

You can change the zoom level of the page display to help you to view the report.

Q. How users can Freeze report headers ?
When reading a report in quick display mode, you can freeze headers and left columns while scrolling
through the report on screen.
Select the Freeze button on the Web Intelligence Toolbar
Q. How can I print just one report when I have multiple report tabs in a document?
Before printing, you will want to check your formatting in the Page mode so that you make sure all of
your data will be showing the way that you need it to. For help, see Format a Report for Printing (fit to a
page) (PDF).
If you only need one report printed, and you have editing permission, make sure your Web
Intelligence Preferences for Viewing and Modifying reports is set to Applet.
1. With the report you want printed open, click the Print icon.
2. Note that in the Print Range area of the Print options, you can select Current Report or All.

3. Select Current Report, review the other options and then click Print.

Using this method, you avoid having to download and save the PDF with potentially sensitive data. It
also is a bit quicker.
If you need to print several of the tabs (reports) of your document but not all of them, and you do not
have access to the Applet mode, follow the method described below.
1. From the main document menu, click on the Print icon. You can then Open the document as
a PDF. (Figure 2)
2. Click the Pages icon (upper left) in your PDF viewer to shift your navigation away from the
defaulted Bookmarks to the Pages thumbnails. (Figure 3)
3. Right-click in the thumbnails area and enlarge the thumbnails so that you can see their content a
bit better.
o You can verify at this point the layout of your pages as well.
o If you need to do more formatting, click on the Page mode button in BI, do your
formatting, and then shift back to PDF mode.
4. Select the Pages that you need to print from the thumbnails and click Print.
o You can either hold down the shift key and select all within 2 clicks or use control-click
to select non-contiguous pages to print.

Q. How do I ‘Pin’ a frequently required report to a tab ?
If you view the same report on a regular basis, you might find it helpful if that report appears, by default,
alongside the Home and Documents tabs every time you open Business Objects. You can achieve this by
pinning the report to a tab .
1. Select the tab of the report you wish to pin
2. Click the Pin button
3. Once you have done this the pin will change angle and turn green
4. To unpin the report from the tab, Click the green pin,
Do not pin more than two reports, as these reports will be run everytime you open Business Objects.

Q. When I download reports (using 'Save to my computer as Excel') and attempt to enter formulas,
the formulas appear as text and don't compute. How can I fix this?
Before you start to work with the downloaded file, use the Excel cell formatting feature and change the
columns you want to work on to 'General' (the first option on the Number tab for Format cells). Then
you should be able to use your formulas with no problem.
Q. How can I add a Simple report filter?
Simple report filters can be added by clicking on ‘Filter Bar’ option and then selecting required column
on which filter has to be applied.
Q. Are there any changes for the report containing hyperlinks on columns / data values ?
Eventhough Opendocument syntax in Business Objects 4.2 is different, the setting has been already
taken care by Administrator during architecture setup.
So all theexisting report hyperlinks would continue to work without any issue.

3 . Questions related to BI Launchpad
Q. I am unable to login to BI Launchpad with my existing credentials. How should I reset my
password?
Password recovery mechanism is same as 3.1. In case, if user credentials are not working, users can
easily reset their own credentials by following below steps:

Q. Even after following above step, I am unable to login?
In the case, you are unable to login with new auto generated password or you are unable to get auto-
generated password, kindly reach out to support at : [email protected]
Q. What is default ‘User Retention’ policy in BO 4.2 ?
If any of the users has not logged in to Business Objects environment for past 3 months, his User
Account would be automatically ‘disabled’. However he can easily unable his Account and get a new
password by following the steps mentioned above.
If any of the users has not logged in to Business Objects environment for past 6 months, his /her User
account will be ‘Permentately Removed’ from Business Objects. Please note that the baseline for
calculating 6 months is the date on which users had successfully logged in to Business objects last time.
e.g Say User A had last time logged in to Business Objects on Jan 1,2016. On May 05 2016, User reset
his password and got new password in his email. However user has not yet logged in to the Business
Objects by using a new auto-genmerated password.
So on June 30, 2016, above User would be automatically removed from Business Objects as the last
successfully logon date for this User was Jan 1,2016.
In case, any of the users is removed from Business Objects after 6 months, he need to reach out to
Business Objects Support team for recreating user account.
