1. GETTING STARTED
Employers are increasingly looking to internships as a viable recruitment tool as it helps
companies save large amounts of money from recruitment expenses. It also offers line managers
the opportunity to size up the potential recruit during the stint.
Pursuing an internship offers invaluable experience. A rewarding stint will glow in ones rsum
for a long time to come. Statistics from our past Graduate Employment Survey show that of every
five graduates who secure a job, one among them received the offer from the company the
individual interned at.
We encourage you to start planning early. A two to three month lead time would be ideal. There
are several ways to begin your search, and much of it will benefit from your own initiative. Do
approach your Career Counsellor at OCS if you need advice. 1,2
1 Students who are on scholarships still need prior approval from OCS before they embark on internships. What is an Internship?
Internships provide real-world experience to those looking to explore or
gain the relevant knowledge and skills required to enter into a particular
career field. Internships are relatively short term in nature with the
primary focus on getting some on-the-job training and taking whats
learned in the classroom and applying it to the real world. About.com

Consider some of these tips:

e-Internship briefing is compulsory. This is important as it touches on common pitfalls
that may affect you during your internship.

2. MAXIMISING YOUR INTERNSHIP
The 7 Rules of Engagement
Rule #1
Complete and PASS the e-Internship briefing. This is compulsory.
Your attendance will be tracked based on your passing the quiz which will be administered at the
end of the briefing).
Rule #2
Do not apply indiscriminately to all companies and remember to make your choices wisely. It is
recommended that you maintain three active applications on OnTRAC II at any one time.
Rule #3
Honour the first offer. Login to OnTRAC II to accept the offer within 48 hours if you want this
internship to count towards your graduation requirement. When the offer is made, you would
have to have to accept this via OnTRAC II. OCS will then monitor this internship for grading
purposes.
Exception to the Rule:
B(Acc) students applying to the Big Four to pursue an internship during the Modified
Term may contact OCS regarding protocol for dropping any other internship offer.
Rule #4
Stick to the duration of your internship. In case of any changes in dates and/or to the duration of
the internship, please inform OCS of proposed change(s), and await approval. 3
Rule #5
Adhere to arrangements spelt out by the organisation. Do not attempt to re-negotiate directly with
line managers or HR Personnel.
3 HR personnel and line managers of companies will contact OCS if you attempt to negotiate with them directly to change proposed duration or job description. Local male students: please check your ICT dates before applying!

Rule #6
Abide by working hours. Interns are not entitled to annual leave or benefits. Medical leave should
be supported by relevant documents (e.g. MC). Leave may only be granted on the grounds of
extenuating circumstances (minor cuts, bruises, tooth-aches, etc., do not qualify as extenuating).
Rule #7a
Refrain from trespassing/disclosing/circulating information (sensitive or otherwise) that belongs
to the organisation. This could even include staff manual. When in doubt, err on the safe side!
Rule #7b
Do not furnish information on your Current GPA to mislead recruiters (intentionally or otherwise)
into thinking that it is your Cumulative GPA, especially when the latter is required. Those who flout
this rule will face disciplinary action meted out by DOS.

Flouting any of the above will render you liable for an Incomplete or F grade on your
internship.

3. Who is Eligible, What is the Duration and When to
Apply?
Students eligible to undertake internships
All students can embark on internships after completion of two semesters of course work (except
students of School of Law who need to complete four semesters of course work).
It is highly recommended that students complete all graduation requirements before their final
semester.
NOTE:
Duration of Internship Stint
To fulfil graduation requirements, all students must complete a minimum of 10-weeks
approved internship, comprising 400 hours during their course of study. The internship must
adhere to the internship guidelines of the respective school of your degree programme (please
refer to your school website for details). Only internships that have been approved by OCS will be
reflected on the system.
Available periods for students to apply for internship
Winter internship: December to January
Summer internship: April to August
Part-time internship: During term time (restrictions apply)
6-month internship: January to June/July to December (students are required to
take a leave of absence. Restrictions apply to student pass
holders)
For School of Accountancy (SOA), School of Law (SOL) and School of Information
Systems (SIS), students are required to take internship that meet their degree-specific
requirements.

OnTRAC II, powered by Symplicity, is the new web-based career management system used by the
Office of Career Services. OnTRAC II allows you to manage your profile, search and apply to
job/internship postings, conduct research on employers, view announcements and respond to
events organised by OCS.

1.5 Self-Proposed Positions a. View existing or new internship proposals by clicking on the self-proposed
internship/comm.service tab at the top of the navigation bar.
b. Find a specific proposal by keying in details into the Keywords box on the top left and
then click on the search button.
c. View submitted proposals by clicking on the underlined job title in the Job Title column.
d. Check the approval status of the proposal in the Approved column. A green tick means
the proposal has been approved; a red cross means the proposal has not yet been
approved. Should you need to enquire on the approval status, please send an email with

1.6 Late Submissions of Self-Proposed Positions
Internships cannot be backdated. This is to safeguard your interests and ensure that the
internship you have sourced for is relevant to your degree programme. Hence, please
ensure that all prior paperwork and approval has been given before the commencement of
the internship stint.

1.8 ICT Deferment
Refer to your academic calendar and you will notice there are time periods labelled 1st, 2nd, 3rd year ICT. These are periods mandated by CMPB. NSmen who get called up for ICT during this period cannot appeal for deferment. OCS will not entertain any request as such.
Risks & Undertaking (Indemnity) Form
You may download the Risks & Undertaking forms from OnTRAC II document library
(search for Internship Indemnity Form). Submission of the Risks & Undertaking Form is
only applicable to students who matriculated in AY 2008 and before. But if your internship
is overseas or has an overseas component, you are required to submit the Risk &
Undertaking (Indemnity) Form regardless of your year of matriculation at SMU.

5. A GUIDE TO WRITING YOUR INTERNSHIP REPORT
Completing Your Stint
You are required to complete an internship report (web form format) via
Oasis > Participation and Grading Details within one month of completing your
internships.
Guidelines for the report are set out as follows:

2. Date of Submission
You are required to complete the report via OASIS > Participation and Grading Details within
one month of completing a minimum duration of 10 weeks internship. Failure to submit your
report within the stipulated time frame may render you liable for an Incomplete or Fail
grade without further reference to you. If you are unable to submit your report within one
month due to extenuating circumstances, email [email protected] to file for an
Incomplete grade.
3. Evaluation and Grading
You will be graded based on the submitted internship report and the performance appraisal
submitted by your supervisor at the end of your internship.

4. SIS Internship Poster
SIS students are required to submit an A3 poster with your internship report in a zipped folder,
not exceeding 4MB via OASIS > Participation and Grading Details within one month of
completing their internship. The poster must depict ones internship experience and must meet
SIS and OCS guidelines. Refer to SIS Internship Experiences for sample posters. Please submit
using common editable file types (e.g. JPEG, PNG, PSD).
NOTE:
5. Duration of ISM Internship Stints
The SIS Deans Office stipulates that all ISM-related internships must be on a full-time basis,
have a minimum and continuous duration of 10 weeks for fulfilment of graduation
requirements.
Guidelines on the poster please approach SIS for more information.
Group submission of internship poster is permitted when a group of students (max. of five
in a group) are interning at the same company and working on the same project. Quality of
a jointly completed poster must be maintained.

6. OVERSEAS INTERNSHIP In a globalised world, pursuing an overseas internship will put you in good stead and helps you
prepare for future overseas postings.
Procedures for Overseas Internship Application
Procedures for overseas internship application are the same as local internship application.
OCS will not recognise your internship if you DO NOT:
Submit all required paperwork to OCS before leaving Singapore for your overseas internship;
Subscribe to OCS approved insurance scheme before leaving Singapore
Meet all pre-internship requirements before leaving Singapore.
Financial Sponsorships
The organisation concerned could provide stipends for your internship in their overseas
operations. Stipends may help defray some expenses. For certain overseas markets such as India,
Middle East, parts of China, Mexico and Latin America, some Asean countries like Indonesia and
Vietnam among others, the International Business Fellowship (iBF) Grant sponsored by IE
Singapore is available, through OCS, for Singaporeans and Permanent Residents, subject to terms
and conditions.
This iBF grant is paid out after successful completion of the internship overseas. For more information on the following geographical regions, please contact:

Visas and Other Things to Consider
If you are interested in pursuing an overseas internship, it is important that you enquire at the
respective embassies/consulates in Singapore regarding the appropriate visa, work permit
training pass and other relevant documentation required for a full-time student to embark on an
internship/undergo training legally in that country.
Some countries regard internship as work while others may not. 4 You are also required to take
up a comprehensive travel and medical insurance policy covering outpatient, hospitalisation and
repatriation costs should unforeseen circumstances arise. Such coverage is usually not provided
by the host organisation.
Before departure, students (Singaporeans, Permanent Residents and international students alike)
must inform the respective Singapore Embassy or Consulate through the Ministry of Foreign
Affairs (MFA) with the assistance of OCS officers, furnishing information about their confirmed
date of departure, tentative date of return, country and location where the intended internship
will take place, duration of internship, personal contact, office address, contact number of
supervisor, emergency contacts (such as Next of Kin), etc.
Before departure, students must first obtain the relevant emergency numbers. For example, 110
for Police in China, 100 for Police in India, and relevant contact information of the Singapore
Embassy in the country where the student will be stationed.
Should you need assistance from OCS while you are overseas, our Emergency Hotline is

Travel Insurance All SMU students undertaking an overseas internship are required to purchase a comprehensive
Travel Insurance Policy before their departure from Singapore, to cover the entire duration of
their stay in the foreign country/countries. (All countries outside of Singapore are treated as
foreign for this purpose.) This travel insurance is compulsory for all students, and this policy is
also applicable to international students who are returning to their home country for internship.
The Travel Insurance covers personal accident, outpatient, hospitalisation, medical
evacuation/repatriation, baggage loss, etc.
To ensure that overseas interns are adequately insured, OCS will screen the various insurance
providers and their insurance plans available. Also, an insurance agent will be appointed for
collective subscription by students. For AY 2012/13 (until August 2013), OCS has appointed
Jardine Lloyd Thompson Private Limited as our insurance agent, and Chartis Singapore Insurance
Pte Ltd as the provider of Group Travel Insurance. Overseas interns must subscribe to the above
Group Travel Insurance through OCS.
Special word of caution to international students in SMU going back to their home countries for
internship programmes: Based on current information, due to certain insurance industry
regulations, almost all travel insurance policies will not cover international students returning to
their respective home countries. Please see Important Notes about Rules/Practices of the
Insurance Industry in Singapore and Worldwide on the next page and contact OCS Overseas Desk
for clarifications.
Singapore Permanent Residents will not be affected by the exception. They can subscribe to the
above Group Travel Insurance through OCS even if they are going to their home country for
internship.
Important Alert:
Many insurance policies available in Singapore actually do not cover internships but are only valid
for overseas study, leisure and holidays. Beware of other insurance policies such as annual travel
insurance policy as they are valid for only 90 days per trip. Overseas trips of SMU students for
internship and exchange are typically longer than 90 days. These policies do not cover such trips.

Important Notes about Rules/Practices of the Insurance Industry in
Singapore and Worldwide:
1. Attention international students! Current international insurance industry regulations,
(known as locally-admitted policy requirement) do not allow the above Group Travel
Insurance policy to cover international students returning to their home countries. However,
OCS has confirmed with another international insurance company, MSIG, that they will extend
their travel insurance policy (known as TravelEasy) to such international students as long as
they will return to Singapore after the internship and continue their study.

2. OCS advises all international students returning to their respective home countries to purchase
the MSIG, TravelEasy travel insurance policy online for the whole period of their travel out of
Singapore and submit the copy of the policy document to OCS, before leaving Singapore
Important Alert:
The MSIG policy must cover the whole trip to their home country from departure out of
Singapore to return to Singapore (not just the internship dates). Even if international students
have not secured an internship, but are hoping to secure one in their home country while they are
there, it is recommended to purchase this policy before leaving Singapore. We re-iterate that
without such an insurance cover, OCS will not approve or recognise your internship or internship
proposals.
All necessary paperwork must be submitted before you leave Singapore for your overseas
internship.

7. THE MINISTRY OF MANPOWER (MOM)S
REGULATIONS
The Ministry of Manpower (MOM) has a set of new rules prohibiting international students from
undertaking internships that do not contribute to graduation requirements.
Employment of Foreign Students
1. International students cannot undertake a full-time internship during term-time while on
student pass, unless the internship is a compulsory requirement of the programme.
2. International students cannot undertake an additional internship beyond the compulsory
programme requirement during term-time while on students pass.
3. International students who have completed their coursework requirement (i.e. not taking any
more courses) will still be subjected to the MOM rules. They have to apply for a relevant work
pass if the internship is during term-time and exceeds the compulsory programme requirement.
The above applies only for internships during term-time. There is no restriction if the
internship is done during the Universitys vacation period. Leave of absence granted during
term-time does not constitute vacation. The University will have to abide by the policy as
issued by MOM.

8. ENDING YOUR INTERNSHIP The completion of your internship does not indicate an end to your experience. There are still a
number of things you can do to make your experience count in the long run.
Handing Over
Be sure to notify your co-workers about the date of your last day of work. A professional hand
over will speak a great deal about you as a person and a potential future hire, as word does get
around in the industry.
Please remember to return all company assets (laptop, access pass, etc.) on your last day of work.
Compiling Your Work
You could compile copies of the work you have completed, e.g. articles, reports, portfolio, etc., but
be sure to seek the companys consent before doing so. Keeping a portfolio of your internship is an
indication that you take pride in your work. It also serves as an excellent showcase to your future
employers.
Reviewing Your Skills
Review the skills you have acquired on your internships, and consider how these can be aligned to
the skill set required for your prospective careers, in a company or industry of your choice.
Evaluating Your Performance
Try to schedule a meeting with your supervisor before the end of your internship for a candid
appraisal for your performance. Remember to request for a testimonial/evaluation from your
supervisor to help you make future improvements.

There are two documents that you have to submit for us to grade your internship so that it counts
towards graduation.
1. Performance Appraisal (submitted by your supervisor)
Remind your Supervisor to submit your performance appraisal. Your grade hinges on
this report. An efficient student will remind his/her supervisor to submit the performance
appraisal during the last lap of ones stint. Do not wait until you have left the company only to
call and email your supervisor 10 times daily about this.
It is YOUR responsibility to follow-up with your supervisor to ensure your appraisal form is
received by OCS within one month from the last day of your internship stint.
NOTE:
2. Internship Report (submitted by you)
An internship report is a summary of what you executed, challenges you have resolved, and
achievements you have made, during your stint.
Go to OASIS > Career Services > Participation and Grading Details. It is a web-form report.
Submit this report within one month from the last day of your internship stint.
NOTE:
If you score below average in your Overall Grading of the Performance Appraisal,
your internship stint will not be recognised towards the fulfillment of the required
10-weeek internship requirement.
For SIS student, in addition to the above two documents, you are required to
submit an e-Poster as well.
For graduating students, please be mindful of the time you need to file for
graduation and the time OCS needs to take to grade your internship. Please allow
two to three weeks for grading of the internship.

9. Quick Wrap-Up of Rules for Students to Stick By
General Rule for Internships:
Attend e-Internship Briefing and pass the quiz.
Undertake 10 weeks of internship for graduation requirement (always refer back to your
School handbook. For SOA/SIS/SOL students, internship must meet your degree specific
requirements)
Once offered an internship opportunity by a company, honour it. Log in to OnTRAC II to
click on the Accept button if you want it to count towards your graduation.
Submit both Performance Appraisal and an Internship Report within one month after the
last day of your internship.
For subsequent internships that students undertake, submission of Internship Reports is a
must.
School of Accountancy Students
Students have to meet degree specific requirement for their internships to be counted
towards graduation requirement.
SIS Students
All students from School of Information Systems (SIS) must complete an attachment in the
area of Information Systems for a minimum of 10 weeks (continuous and full-time)
internship as part of their graduation requirement.
Note:
SIS students are not granted internship exemptions.
For internship grading, SIS students must submit an e-Poster in addition to the Internship
Report and Performance Appraisal.
Group submission of internship poster is permitted when a group of students (maximum of
five in a group) are interning at the same company and working on the same project.
Quality of a jointly completed poster must be maintained.
During term-time (after Year 2), students embarking on full-time internships will have to
apply for a Leave of Absence (LOA) in advance. Foreign students holding student pass need
to adhere to MOM rules.

Students will be allowed to intern with a maximum of five partners to satisfy the 10-week
legal internship requirement. However, students are encouraged to consider internships
with firms that allow at least a period of four weeks as it allows continuity and opportunity
to understand the workings of the firm and practice.
Note:
Only internships undertaken after completion of Year 2 (four terms) will be
counted towards the 10-week graduation requirement.
Overseas Internships:
Please ensure the appropriate insurance has been purchased before leaving Singapore.
Please submit a copy of the relevant visa and the Risk & Undertaking (Indemnity) Form
before embarking on the internship.
Check for details of iBF grant available for Singaporeans and Permanent Residents for
select destinations. Please note that the grant is paid out only upon successful completion
of the overseas internships.
Double Degree Students
Double degree students are to ensure that they satisfy the criteria of internship set for both
primary and secondary degree programmes as part of the fulfilment of their graduation
requirements.
Graduating Students
Graduating students are to note the cut-off date for graduation and work out the internship
report submission deadline accordingly; bearing in mind a two to three week lead time is
required for the grading of the internship.
Scholarship Students
Same guideline and process to student with internship obligations as part of their
scholarship.
