EDI  3.0  for  Sage  MAS  90,  200  and  500Electronic  Data  Interchange,  or  EDI,  is  one  of  those  terms  that  most  ofus  have  heard,  some  of  us  know  we  need  and  few  of  us  understand.Fortunately,  the  technology  and  surrounding  tools  have  advanced  tothe  place  where  it's  not  necessary  to  fully  understand  the  behind-­the-­scenes  operation  of  EDI  in  order  to  use  it.

For  those  of  us  with  a  keen  sense  of  curiosity,  though,  or  for  thosewho  want  to  sound  informed  when  asked,  it's  important  to  understanda  few  of  the  basics  about  EDI.

In  short,  EDI  is  the  computer  to  computer  exchange  of  standardbusiness  documents,  such  as  purchase  orders  and  invoices,  inelectronic  format.  A  standard  file  format  is  established  for  each  kind  ofdocument  (although  they  often  get  tweaked!)  in  order  to  facilitate  theexchange  of  data  across  a  variety  of  platforms  and  programs.

Sounds  good,  but  what  are  the  benefits?

Speed.  Data  can  move  between  computer  systems  with  little  or  nodelay,  resulting  in  better  cash  flow,  faster  buy-­sell  cycle  time,  shorterorder  lead  times  and  even  reduced  inventories.

Accuracy.  Errors  are  reduced  due  to  the  elimination  of  manual  andduplicate  data  entry.  This  boosts  overall  efficiency  and  minimizes  therisk  of  costly  charge  backs,  leading  to  improved  trading  partnerrelationships.

Simplicity.  EDI  standards  specify  how  data  will  be  formatted  andwhere  it  can  be  found,  minimizing  any  burden  on  your  IT  staff.

Security.  EDI  can  be  accessed  only  by  authorized  users,  and  audittrails  and  archives  add  to  security.  Electronic  confirmations  ensurereceipt  –  no  chance  of  something  "getting  lost  in  the  mail."  EDI  datacannot  be  easily  changed  by  unauthorized  users  and  is  not  susceptibleto  viruses.

description  cannot  be  written  without  a  thorough  and  complete  job

analysis.  The  job  description  should  be  a  comprehensive  and

organized  collection  of  essential  tasks,  duties  and  responsibilities  of  a

job.  It  should  include  the  specifications  and  qualifications  needed,

keeping  in  mind  compliance  and  legal  issues.  Job  analysis  and  job

descriptions  fluctuate  with  technology  and  company  growth.  They

should  ideally  tie  into  performance  appraisals.
