6. Have a clean, work-appropriate background.§ Check your background to ensure that it is noise free, neat, tidy and professional. If you do not want your

home office to be on display in a Zoom meeting, you can use a virtual background.To enable this setting for your own use in the Zoom desktop app -

o Step 1: Go to Zoom’s settings menu.o Step 2: Click on the virtual background icon on the left panel. o Step 3: Under “choose virtual background,” check the option for the background you would

like to appear on your screen. (Note: in order to have a virtual background, you must have a solid colored backdrop).

7. Turn off Zoom video by default.§ Select this setting in your account, so you can control when you want your video to appear.

To enable this setting for your own use in the Zoom desktop app -o Step 1: Click the gear icon and go to Zoom’s settings menu.o Step 2: Click on the video icon on the left panel o Step 3: Under “Meetings” turn on the option ”turn off my video when joining a meeting.”

8. Limit distractions.§ Turn off notifications, close or minimize running apps, and mute your smartphone.

9. Prepare materials in advance.§ If you are sharing your screen during the session, make sure you have the files and/or links ready to go

before the start of your event.

10. Use Zoom Screen Share Button. § Share content on your computer such as your desktop, an open application, a file etc.

o While in a meeting, select the Screen Share button in the Zoom tool bar and you will be given various options for sharing.

o Select New Share if you want to share another piece of content. o Select Pause Share if you want to pause your screen. For example, you can use this option when

you want to reference notes during your presentation. Your participants will still see your shared screen while you are looking up your notes.

11. Join early.§ Join at least five minutes before the start of your Zoom session.

Polling§ Use poll questions periodically to engage your audience and keep them focused.

Setting up polls:§ Step 1: Go to Zoom’s settings menu.§ Step 2: Click on the settings icon on the left panel. § Step 3: Navigate to the Polling option on the Meeting tab and verify that the setting is turned on. If the

setting is disabled, click the toggle to enable it.

Setting up polls:

§ Step 4: Go to the meeting you've created and scroll to the bottom of the meeting management page to find the poll option. Click "Add" to create a poll.

§ Step 5: Enter a title and your question (remember to note the title, so you know which poll to choose during the meeting).

o If you would like the participants polling information to be kept anonymous in the meeting and the reports, select the ”Anonymous?” option.

o Enter your poll question and select either single choice (participants can choose exactly one answer) or multiple choice (participants can choose more than one answer).

§ Step 6: Enter the answers to your question and click Save at the bottom.§ Step 7: To add a new question, click Add a Question to create a new question for that particular

poll. (Note: Zoom allows a max of 25 polls for a single meeting.)

Launching a poll:

§ Step 1: Select the "Polls" icon in the menu bar during a Zoom session.§ Step 2: Select the poll you'd like to launch and click "Launch Poll.”

o Once you get all the participants responses, click "End Polling.Ӥ Step 4: Click "Share Results" so that participants can view the results.

o Step 5: After the meeting you can download a report with the poll results.

Enable the chat function:

§ Designate time during your session to allow participants to write questions in chat or be unmuted to ask their questions live.

To use chat in a Zoom session -o Step 1: Click the Chat button in the Zoom menu bar

o Step 2: Type your comment or message in the chat box. (Note – click the dropdown menu next to the “To:” to select if you want to send to everyone or a specific participant.)

Communicate using reactions:

§ Use the reaction button if you do not want to want to cut someone off while they are speaking. You can react with an emoji.

To use a reaction in a Zoom session -o Click the Reactions button in the Zoom menu bar and click the reaction of your choice (the emoji

will display on your screen for five seconds.)
