YLN LIBRARY NETWORK MANAGER’S
MONTHLY REPORT August 2012
LIBRARY NETWORK MANAGER’S LOWDOWN Yavapai County Management Information Services, of which the YLN is a part, will be moving to a new location in
September. The new address will be:
Yavapai Library Network 1120 Commerce Drive Prescott, AZ 86305 Our offices will be moving from September 13
th through September 17
th. This will not impact the operation of any
equipment. YLN services will be functional throughout the move. However, if you wish to reach YLN staff please
call my cell phone. I will email out the number before the move in case you don’t already have it. If you would like
a tour please give me a call and I’ll line one up!

PRIORITIZATION
PRIORITY: RESOLVE CURRENT HELPDESK REQUESTS
PROGRESS: ONGOING
CURRENT STATUS: Total Requests opened in August: 104 Total Requests closed in August: 121 Total Requests reopened in August: 19 Total Unresolved Requests opened in August: 6 (unanswered)/5 (answered or awaiting customer response) Total Requests still open and unanswered: 34 Total Requests still open and awaiting customer response or replied to: 33 Oldest request: 11/04/2010
PRIORITY: REWRITE AND REVISE IGA
PROGRESS: OUT FOR APPROVAL
CURRENT STATUS: The document has been approved by the Management Committee and the final version has been sent out. Each
library should be presenting the new agreement to their governing authority for approval.
PRIORITY: RFID INSTALLATIONS
PROGRESS: WAITING FOR INSTALLATION REQUESTS
CURRENT STATUS:
All current RFID requests have been fulfilled. James Lowman is now responsible for all RFID requests.
PRIORITY: VUFIND IMPLEMENTATION
PROGRESS: NONE FOR THIS MONTH
CURRENT STATUS:
Other projects were higher priority.
PRIORITY: CREATE A NEW PORTAL AND TRANSFER PERTINENT EXISTING INFORMATION
PROGRESS: ALPHA VERSION IS AVAILABLE
UPGRADE DATE: PENDING
CURRENT STATUS: The navigation for the new portal is being explored. While Drupal has provided new functionality that we were
lacking with Joomla (the ability for anyone to upload a file and new security levels to name a couple) it has
presented some challenges with how it creates the navigation bar. Chanel is looking into ways to simplify the
layout for the navigation.

PRIORITY: EXPAND TELEMESSAGE ACCESS
PROGRESS: PREPARATION
CURRENT STATUS: Jim Lowman and I have verified our existing software will support version 2.3 of the software. Version 2.3 will
replace our current version of 1.4. This upgrade will cost us $5000; however, if we do not upgrade our
maintenance costs will increase. Sean Young, the Talking Tech sales representative will be onsite September 11th
to chat about our plans for expansion and the upgrade.
PRIORITY: SIF UPLOADS
PROGRESS: K-12S ARE NEARING COMPLETION.
CURRENT STATUS:
Initial student data files have been received from all four school districts. We have successfully processed three
school districts’ files. We have yet to convert the Chino Valley Unified School District’s data due to time
constraints. We intend on converting Chino Valley USD in October. Prescott Unified School District has successfully
automated the process of sending us files on a nightly basis. I would like to give a special thanks to David VanNess
for all of his efforts in expediting automating the loads considering the amount of work he had at the beginning if
the school year. We are still working with HUSD and Camp Verde USD to receive automated student data files.
Student library cards are being delivered weekly for those districts that need them.
PRIORITY: MISSION/VISION/STRATEGIC PLAN
PROGRESS: NONE
CURRENT STATUS: An initial set of questions to ask the Network Membership needs to be drafted.
PRIORITY: RFID INVENTORY SCANNER
PROGRESS: REPLACEMENT SCANNERS HAVE BEEN RECEIVED TechLogic agreed to replace our scanners at no cost to us. Currently they are refusing to create a way to process
inventory files from the scanner in a way that Symphony natively understands. Here are the contents of an email
sent from Mike Robertson, their Director of Technology:
“My apologies on the delay in responding to your development request. After reviewing your request for
modification of the CircTrak software inventory report with our upper management team, we are
declining to submit a quote. This decision is based on our strategy to control the number of variants and
configuration parameters that our software products must support. I understand that you are looking to
gain efficiency in your inventory management and would like to suggest that you utilize a text conversion
tool or third party software developer that could create a batch conversion tool to give you the desired
file output.”
I will continue working with them to provide a solution. If they continue to refuse we will have to develop a
solution in house as they suggest.

PRIORITY: SEPARATE POLICIES FROM PROCEDURES
PROGRESS: DATA RETENTION POLICY APPROVED
The Data Retention Policy (including user deletion policy) has been approved by the Management Committee.
After the last circulation meeting confusion arose concerning what is supposed to be in the circulation manual and
what isn’t. Confusion also arose concerning the overall purpose of the circulation manual. The Management
Committee has agreed that policies and procedures need to be separated out. The circulation manual will contain
the procedures and separate document will contain the policies.
