The 2020 Travelling Team - staff and parents: Mrs Julia Winter Cooke, Mr Ralph, Dr Andrew Bradbeer, Dr Eduardo Gaio. Other staff members will be announced later.

PASSPORTS -URGENT REQUEST: Passports need to be handed in on Friday 1st November 2019. Application forms can be obtained from any Post Office. This can be a lengthy process and should be undertaken as soon as possible. If you need your passport over the summer holiday please contact me. Our tour is being arranged by Premier Towns Travel. Immunisation & Medical Please read the immunisation information provided by the School Nurse. Medical details need to be uploaded to Care Monkey and Consent forms need to be completed and returned by Friday 1st November 2019. Personal Medication Students who require personal medication on the trip must make sure they take sufficient medication for the month, and spare medication must be given to staff for safe keeping. Staff will be supervising the taking of their medication. Instructions for taking medication need to be provided for staff. Julia Winter Cooke will pass on this confidential medical information to our doctor and nurse. Julia Winter Cooke’s email address is [email protected]

China Immunisations When travelling overseas we recommend you consider immunisations that are recommended by Department of Foreign Affairs. For the trip to China the importance of immunisation must be emphasised for the students’ short term and long term health and wellbeing. Immunisations are the responsibility of the parents and the College strongly recommends immunisation for your son/daughter to ensure adequate protection prior to the trip.

Page 9: Year 9 Experience - Hamilton and Alexandra College€¦ · If students need accommodation they can stay with staff at the Claremont Hotel, 189 Toorak Road, South Yarra (ph: 9826 8000)

8

The following immunisations have been recommended for students travelling to China in 2020

• Hepatitis A • Typhoid • Influenza (optional). Available early March 2019

The College will arrange group immunisations for Hep A/ Typhoid/ Influenza. I need to know by Friday 1st November 2019 if you wish your son/daughter to have injections arranged by the school. We need to have signed consent forms and an accurate number of vaccinations needed well in advance. The Hamilton Medical Group will order and supply the vaccines and one of their doctors will administer it in a group in March once the vaccinations arrive. The cost of the vaccinations is $210 (Hep A/Typhoid $180, Influenza $30) and this needs to be paid for by Friday 1st November 2019 to allow us to order the vaccinations on your behalf. Please contact the School Nurse if you require any assistance. CoverMore Travel Insurance We take out a group policy, please fill in & return the CoverMore Insurance sheet. You DO NOT need to go on line and take out a policy for your son/daughter. We arrange the CoverMore Policy. CoverMore Travel Insurance will be our travel insurance provider for the 2019 China Experience. Emergency assistance is provided by Customer Care, who have offices in Shanghai and Beijing. Our Insurance Broker is Mary-Ann Brown & Associates, 36 Thompson Street, Hamilton. If your son or daughter has a pre-existing medical condition you will need to complete on-line and there is an additional $70 charge, this charge is directly billed to the school and will be added to your account. If a student has not declared pre-existing conditions, parents may be charged for medical treatment. Forms have been sent out in the information pack. DFAT - Department of Foreign Affairs Security and Health Advice. We access the latest travel advice through the Department of Foreign Affairs and Trade website (http://www.dfat.gov.au). We have an Emergency Evacuation Policy in place for the China Experience. Please Note: We will not be conducting excursions to farm locations where students have contact with chickens, pigs or ducks. We are continuing to monitor the available information on some Swine Flu and Avian Influenza. Camera: It is recommended that students bring inexpensive cameras, as there is a chance that the camera will be misplaced or lost.

Page 10: Year 9 Experience - Hamilton and Alexandra College€¦ · If students need accommodation they can stay with staff at the Claremont Hotel, 189 Toorak Road, South Yarra (ph: 9826 8000)

Phone: taking phones to China. Students may take their phones to China to use to as a camera, for music, and videos. Families need to take responsibility for this decision, and agree to remove the Australian sim card prior to departure to stop high phone bills if the phone is on international roaming. The College will not accept responsibility for loss or damage to the phone. Students will not be able to buy a Chinese Sim Card, as it is a difficult process and the sim cards often don’t work and are difficult to top up. China Student Spending Money Students have $500 in spending money, and this is paid in the parent payment. We will operate a ‘student bank’ and students can draw down their spending money during the trip. Any spending money left over will be refunded as cash. This is a fixed amount per student and no other money can be put in the students’ bank account.

Year 9 Experience Payment The payment for the Year 9 Experience is $3600. This amount can be paid in full or over three instalments of $1200. The cost of airfares, accommodation, food, travel arrangements in China are covered in the College’s Tuition Fees. This payment covers:

Payments can be made directly into The Hamilton and Alexandra College Account:

Bendigo Bank BSB: 633-000 Acc: 1527 53042

Reference: Your surname, China 2020 Withdrawal Fee I would urge parents to call me if their son or daughter is reluctant to go to China or if there are any other concerns. If students withdraw before the end of Term 4, 2019 there will be a $500 withdrawal fee. If a student withdraws after this date there will be a higher withdrawal fee and parents will be charged the full amount that may be lost by the school. These costs are set by the airlines and travel agent, not the College. Discipline Contract. The Discipline Contract needs to be signed, and returned to me by Friday 1st November 2019. Please read the contract carefully. Students who break significant school rules may be sent home, at parents’ expense. This will automatically result in the student being indefinitely suspended from the College. If a student is sent home, the student will be sent home as an ‘unaccompanied minor’ as the airlines will not supervise the student while in transit. Parents may choose to fly to China to pick up their child, but this would depend on getting appropriate Chinese visas. Students who misbehave can expect appropriate sanctions while in China, including removal of privileges. China is a disciplined and strict society, so breaking rules can be very serious. While on The China Experience Students are not permitted to: Have ear piercing, body piercing or tattoos. Smoke, or consume alcohol or be in possession of cigarettes or alcohol. Purchase or use Bee Bee guns at any time, due to the high risk of injury to head and eye region. Possess knives, alcohol, cigarette lighters or fireworks or bringing them back to Australia. Take mobile phones to China. Phone cards can be purchased to ring home. Use ipods during excursions when students are required to listen to guides. Staff will set guidelines for

reasonable use of music devices. Leave the group without permission, and students are expected to arrive promptly and meet time

guidelines. Graffiti at any time. Leave rooms or the hotel after staff have completed a final room check in the evening. Ingest or consume any other students’ personal medication. All other School Rules will apply. Students are permitted to ride bikes sensibly when in the company of hosts. Helmets are expected to be worn.

Gifts Students should bring with them 2 generous gifts of $20-25 (each gift) for their host families, plus 3-4 small gifts. These can include ‘Australiana’ items such as badges, bookmarks, calendars, large pencil cases, coloured pencils, stamps, coins. Safety Considerations

1. Traffic safety is our highest priority and students must be vigilant at all times, as there is risk to them as pedestrians.

2. Students are not to leave bags unattended at airports. 3. Lock suitcase at all times while in transit. 4. Passports must be kept in neck pouches at all times when students are holding their passports. 5. Students must only drink bottled water, and they need to clean their teeth using bottled water. 6. Food eaten should be cooked, and students are encouraged not to buy food over the counter or at

street stalls. 7. Fruit eaten should be peeled, and apples washed.

Supermarket information Supermarkets - students will be able to purchase things as required from the Gaoyou shops. Students can buy small bath towels if required at Gaoyou. They can travel by bike-taxi in small groups & with a staff member.

A basic needs convenience store is on campus at Gaoyou Middle School. Students will also receive a Smart Card from Gaoyou Middle School. Students will need to add credit on their cards when they arrive at Gaoyou Middle School. Students will need to purchase bottled water. It is recommended that only bottled water be drunk and used for personal hygiene (cleaning teeth and for washing fruit prior to eating it).

Email & Wifi Contact Students will be able to email home every few days while at Gaoyou Middle School. Some hotels may also provide email services which are readily available. Students can also log onto wifi hotspots at various locations through their phones or ipads.

Hosting Gaoyou Middle School Students on their visit to Australia

All Year 9 families are expected to host a Gaoyou student during the Gaoyou Middle School visit to Hamilton in August 2020 for 6 nights. This is to help off- set the cost of running the Twin Campus arrangement. This is a rewarding and valuable experience for families.

2020 China Experience Behaviour Contract

STUDENT’S NAME ______________________________

Living in a residential situation poses a number of challenges. Everyone needs to approach the experiences in a positive and enthusiastic fashion. You will need to be encouraging, helpful, and sensitive to others’ feelings and needs. The nature of residential experiences means that you will have a certain amount of freedom and there has to be a relationship of trust between staff and students. If you allow yourself to become fully involved, it will be rewarding, exciting and fun. The staff involved in these experiences with you are committed to supporting and protecting you in all situations, and will do their very best to make the time in China significant, memorable and fulfilling.

The Contract:

1. Commitment to the experience: I am committing myself to the experience. I will do my very best to be honest, positive and encouraging. I will attempt all activities to the best of my ability.

2. Developing relationships: I will work with others offering and receiving support. I will respect the rights of others and be sensitive to their needs and feelings. I will be positive at all times with other participants, encourage them and acknowledge their achievements. I will be open and honest in all my dealings with both peers and staff. I have the right to make a contribution that is considered on equal terms with all other participants in a safe and supportive environment.

3. Personal welfare: I will take responsibility for my own welfare and help others whenever I can. I can feel comfortable to ask for and receive support and assistance from staff and other participants on the experience.

4. Respect for the programme setting: I realise that I am a visitor to this place and I will respect the culture, natural and built environment and the creatures which live within it. I will respect my property, that of the others in the group and that which belongs to the School.

5. School rules: I will obey and be guided in my actions by the School rules at all times.

Consequences:

I acknowledge that if I breach this contract I may be subject to disciplinary action and that I could be sent home early. In this event, the cost of being sent home will be borne by the parents.

2020 China Vaccinations Order Form

Form and payment due: Friday 1st November 2019 Dear Year 9 Families, If you would like your son or daughter to get the vaccinations through The College, please fill out the slip and pay by Friday 1st November 2019. The Influenza, Typhoid and Hepatitis A Vaccinations are recommended. The cost of the vaccinations is $210 (Hep A/Typhoid $175, Influenza $30) The vaccine will be given to students at school at a date in mid-March 2019. The Influenza Vaccination is not compulsory for your son or daughter, and we advise you contact your local GP for further advice on the Influenza Vaccination. Advice from an Infectious Diseases physician is that “a group of individuals spending a length of time together such as on a school camp would probably benefit from an influenza vaccination”. In past years about half the students receive the vaccination and some argue that healthy teenagers do not need the vaccination.
