IntroductionThe template you are reading is provided for all students at the Faculty of Manage-
ment of University of Economics in Prague, primarily for students, who are willing
to write any type of paper – a term paper or personal researched essay, bachelor’s
or master’s thesis or even dissertation.
This text’s purpose is twofold – for one thing, to provide complete information
about all technical and administrative aspects of writing such papers, including
treatise about style of referring. And for another thing, the text itself is formatted in
accordance with mentioned rules, so it may be used as a template by anybody, who
is beginning to write such type of paper.
All mentioned advices, instructions and recommendations are presented for the
text editor Microsoft Word 2007 and other later versions – all versions with user
interfaces based on ribbons instead of menus and toolbars. It is possible to apply all
the things you find in the text (with some modification) to any older version of ap -
plication Microsoft Word, equally to the other modern text editors, for example
OpenOffice.org/LibreOffice Writer.
Authors did their best to base this template on currently valid Czech state stand-
ards; but authors are sure, that in some cases its conventions are outdated. In some
cases, it is necessary and convenient to adapt it to current reality. Only in this case
the template and recommendations it contains are different from the standards.
Equally there are hardly respected rules of smooth font in this template – such a
font, that is functional and also pleasant to reader’s eyes. Contrary to the practice in
other Universities, theses are printed on Both Sides (protection of the environment),
that’s why there is the difference between odd and even footers. Numbering begins
from the front page (it’s not a mistake, publications are numbered this way). When
you safe it as a pdf file, some opening pages will be blank – it is not a mistake, do not
remove or delete blank pages.
Authors are open to any remarks – we will be glad if you find any mistake in tem-
plate or have any doubt (or recommendation), what more to add to template – to
make it meet the wildest range of requirements for theses and term papers.

Knows Issues1. When inserting a picture (or another graphic object), follow the instructions: in-
sert the picture and make sure, the picture position is “In Line with Text”. Then
format the picture with prepared style FM VSE: PICTURE. This ensures that the pic-

ture is correctly aligned and text wrapped. When you insert the title, proceed as
usual. If you want to add a source to the picture, format the text with the pre-
pared style FM VSE: SOURCE OF THE TABLE OR FIGURE.
2. When inserting a list (numbered or unordered), do not use the buttons on Tab
Home-Paragraph-Bullets/Numbering. Use the prepared style FM VSE: BULLETS LEVEL 1 alternatively FM VSE: NUMBERING BULLETS LEVEL 1. Then the paragraph indent will be set
right.

1 Layout and text formatting
The purpose of a paragraph is dividing a text to meaningful parts, which are com-
posed by sentences. A separate sentence must not be a separate paragraph. It fol-
lows requirements, that a paragraph should contain complete and meaningful idea
(it is the only recommendation about an appropriate paragraph length). Usually a
paragraph contains:
topic sentence – introduces, what a paragraph is about, or contains connection
with the previous paragraph;
usually 1–8 sentences, which expand on idea from the topic sentence;
and concluding sentence – summarizes, refers to the topic sentence, can contain
example and/or indicates the following paragraph.
New information is usually provided after the topic sentence. Usually it proceeds
from the general and well-known to the specific and new. The first paragraph of the
chapter is differently formulated – usually like a mini summary or a chapter intro-
duction.
1.1 Normal text
Use two styles for writing normal text – style FM VSE: NORMAL and style FM VSE: NORMAL: AFTER THE TITLE OR FIGURE. Both styles differ in indentation of the first line. Style FM VSE: NORMAL has indentation of the first line (and it highlights the beginning of the new
paragraph), style FM VSE: NORMAL: AFTER THE TABLE OR FIGURE do not use such indentation.
Style FM VSE: NORMAL: AFTER THE TITLE OR FIGURE should be used for a such paragraph, that
is obviously new paragraph. It means two situations:
if it is a title before this paragraph (title of any level),
if it is a figure before this paragraph as a table, picture, scheme etc.
1.1.1 Paragraph spacing
Two characters must be after paragraph nowhere. Do not use “double enter”.
1.2 Titles
It is necessary to use the style FM VSE: TITLE X for titles. You have 4 prepared levels –
three of them are available with numbering (numbering means, that a number is
put before the name of chapter according to its order in document), and all of them
are also available without numbering.
Text structure should be such that every chapter contains complete topic.
Chapter of the same level should have similar length. It is not usual to use more

than three levels of titles (the third level doesn’t have to be numbered). One para-
graph must not be a separated chapter. The paper or thesis always contains
chapters „Introduction“, „Conclusion“, „Bibliography“ and they are not numbered. If
the work contains chapter „Appendix“, it is not numbered either.
1.3 Lists
If you insert a list, beware, the bullets of all lists in document should look the same.
Two styles are prepared for making lists: FM VSE: BULLETS LEVEL 1 and FM VSE: NUMBERING BULLETS LEVEL 1.

2 Tables
Text.
2.1 Tables entering and formatting
Use a combination of two styles for tables formatting: table style FM VSE: TABLE 1 and
text style FM VSE: TEXT IN THE TABLE.
After inserting a table, use a menu TABLE TOOLS – DESIGN – TABLE STYLES and choose the
first style named FM VSE: TABLE 1. Then mark the whole table and use text style FM VSE: TEXT IN THE TABLE – it will format the text in cells.

2.2 Titles of tables
Every table should be specified with title. It should be placed above the table. If you
want to insert a title of a table, use the menu REFERENCES – CAPTIONS – INSERT CAPTION, then
choose a TABLE from labels. The title will be numbered automatically. You can com-
plete it using text with the first capital letter.
2.3 Putting resources to tables
If the content of the table is not a result of your own research, it should be referred
to a source you use the information from. The referring source put after the table,
and it should be formatted by style FM VSE: SOURCE OF THE TABLE OR FIGURE.
If you need to explain some ambiguity, make the next line beginning by word
Note and a colon. Then format it by style FM VSE: NOTE TO THE TABLE OR FIGURE (see table Er-
ror: Reference source not found). You can add a note even if there is no source, in
that case the note comes after the table (see table Error: Reference source not
found).

Do not forget, that the text following the table (if it is not a title) should be
formatted by style FM VSE: NORMAL: AFTER THE TABLE OR FIGURE. Do not use a blank line (or
paragraph) for paragraph spacing!
2.4 Referring to table
You can refer to the table by word „Table“ and its number. You should always use
cross-reference – then references in the text will refer to the right position.
Moreover, inserting or removing a table will not require manually renumbering of
other tables.

3 Pictures and other graphic objects
Inserting and formatting pictures works the same as inserting and formatting
tables.
3.1 Quality of pictures taken from other sources
Before inserting a picture, you should make sure about the picture quality. You
should use a picture at least about 1,700 pixels in this template. You can find a size
you should use in the table Error: Reference source not found.

3.2 Pictures entering and formatting
Add a separate paragraph for inserting a picture and format it by text style FM VSE: PICTURE – it ensures correct paragraph spacing. Then insert a picture to this blank
paragraph.
You should specify every picture with a title (same instructions as in the case of
table). Title should be placed above the picture. You can add it by using menu
REFERENCES – CAPTIONS – INSERT CAPTION, then choose PICTURE from labels.
The result of previous actions should be similar to picture Error: Reference
source not found and should not look like picture Error: Reference source not
found. Use NO BORDER in menu PICTURE TOOLS – FORMAT – PICTURE STYLES – PICTURE BORDER .

3.3 Referring to figure
If you need to refer to a picture in the text, follow the instructions for referring to
tables (chapter 2.4). Use the word Picture in the text to refer to the picture and its
number. You should also use cross-reference and again it is necessary to proceed
the same way as with tables.

4 References and bibliography
Writing an academic paper involves an intensive application of theoretical know-
ledge, which the author gains from external sources. Usage of external sources
should be labelled in text with a reference – otherwise it can be classified as plagiar-
ism.
It is necessary to cite every specific information, which has not been discovered
by your own research or which is not a result of your own mental activity (any data
or numbers, common theoretical approaches, ideas or specific terms). If you are not
sure, if citation is needed, you should cite. Research results of unknown author or
so called common knowledge are not cited. Not only text should be cited, but also
figures (tables, schemes, graphs – see chapter 2.3). If some part of your work is sim-
ilar or same as an origin, it is necessary to cite.
4.1 Types of sources
Relevant sources are available at specific (paid, often online) database. You can find
a list of databases, which are available for students of University of Economics in
Prague by link http://www.vse.cz/zdroje/. The search engine, which can search
through most of these specific databases, is http://scholar.google.com. Paid access
requires to sign in to database from the PC inside University network (the database
verify the subscription). If you want to use an access from the PC out of the Univer-
sity network, use the link https://login.zdroje.vse.cz/login. If you fill in username
and keyword (you use for signing in to InSIS), you can use the paid access to aca-
demic database from any PC out of the University network.
4.2 References in text
You should use only the Harvard citation style (Author, year) for referring in the
text. Information about a source is put in parentheses into the sentence it belongs
to (before the dot). It is also acceptable if the source refers to more sentences or to
the whole paragraph (reference is places before the dot in the last sentence of the
paragraph).
It is hard to recommend an exact amount of references in the text. However,
every borrowed idea should be cited. At the same time each paragraph represents a
complete thought. It follows that almost each paragraph in theoretical part (literat-
ure review) should be referred to a source (except paragraphs presenting authors’
critical evaluation or authors’ opinion). Excessive sequential referring to one partic-

ular source (like using the same source in several consecutive paragraphs) is unac-
ceptable.
The following sentence is the example of Harvard style. Kvalita produktu je v
současné době jedním z mála faktorů, kterým může firma ovlivnit svůj úspěch
(Reeves a Bednar, 1994). If you use the authors name in the text only a year should
be put in parenthesis. The following sentence is an example. Reeves a Bednar
(1994) tvrdí, že kvalita produktu je v současné době jedním z mála faktorů, kterým
může firma ovlivnit svůj úspěch. If a source has more than two authors, the author’s
name is put in parenthesis with et al.: (Kotler et al., 2014). During literature review
and critical evaluation in theoretical part can come a situation when it is necessary
to put more sources on the same place (for one sentence). Such sources should be
put to the same parenthesis and are separated by a semicolon. Sources must be
arranged chronologically by year of publication e.g. (LaBarbera a Mazursky, 1983;
Anderson a Sullivan, 1993).
Part of text, which is a direct quote (i.e. reproduced verbatim idea), should be
marked in italics. In this case the reference contains also a number of page, from
which it was borrowed (only if the publication has numbered pages, e.g. book or
article, the page is not stated in case of website). It is necessary to mark as a direct
quote such part of text which has borrowed five or more words verbatim in the
same order as the original source. Your own translation of foreign source should
not be marked as a direct quote. Direct quotes must not be overused. Part of text,
borrowed verbatim, can be a phrase, sentence or short paragraph. It is usually a
definition or a formulation in which the change of even one word could cause the
change of meaning. It is unacceptable to state large parts of text (coherent para-
graphs or even pages) as a direct quote!
Identifier (Author and year) of one source can be used several times (as many
times as the source is referred to – same source must not be excessively and se-
quentially referring). Identifier must always refer to a source listed in bibliography.
An identifier, which was not listed in bibliography, must not be in the text. A source,
which was not referred in the text, must not be in bibliography. Citation should be
always paired (the template does not meet this requirement, citations and refer-
ences in bibliography are only demonstrative).
If two sources have the same author and the same year of edition, sources should
be differentiated by small letters of alphabet, added in parenthesis to a year. For
example: „(Nielsen, 2004a)“ and „(Nielsen, 2004b)“. Mentioned examples mean that
the referred author is the only author of both publications in year 2004.

4.3 Bibliography
Bibliography is provided as a separated chapter, which comes after the chapter
“Conclusion”. This chapter is named (not numbered) “Bibliography”. Bibliography
in the Czech Republic is processed according to standard “ČSN ISO 690:2011. Bibli-
ographic citations – detailed instructions, how to cite literature and sources, with
examples”. Bibliographic citations are arranged as a list alphabetically by authors'
last names. Year of publication is stated directly to the author of the publication and
is separated by comma.
List of references is not arranged by type of publication. Other rules for arranging
references are:

ical list of references. It is arranged by fist semantic word (e.g. „UNIVERZITA
TOMÁŠE BATI VE ZLÍNĚ. Fakulta humanitních studií“, „Encyclopaedia Britan-
nica“).
Following examples demonstrate the correct way of referring the commonly used

to use the same style in a whole text!

It is citing in the text normally as (Author, year). If author is unknown, it is pos-
sible to cite the author collective, for example (Mediaguru, 2012). The author
collective and the year are on the first place in the bibliographical reference.
It is possible to use a format, that allows to put the name of webpage on the first
place in the reference for increase the informational value, e.g. (Facebook umožní
lidem nově také telefonovat, 2015). It should be name of the webpage and the
year on the first place in the bibliography (see last example).
If the date is not specified, it is possible to put the datum of the last update or
copyright to the reference. It should be the same type of data in reference, for
example data about copyright: (Mediaguru, © 2015) or (Lupa, © 2012–2015).

You can insert the reference manually or automatically by using citation software.
There are many of them, but highly recommended are: citace.com (http://www.-
citace.com/), software Mendeley (http://www.mendeley.com/) or Zotero
(https://www.zotero.org/). Website http://en.wikipedia.org/wiki/
Comparison_of_reference_management_software provides a comparison between
different reference managers.

ConclusionThis template summarizes basic rules for writing theses and papers at the Faculty
of Management of University of Economics. The aim is to make the word processing
easier as for students, so for supervisors. Mentioned requirements are only a selec-
tion of a rank of (equally good) alternatives. Unification of requirements, thus for-
malizing theses within the faculty does not give students the opportunity to express
their creativity and knowledge of citation standards and typographical rules. Uni-
fied form of all theses and papers, however, reinforces the corporate identity of the
faculty.
