Follow EARS model or Start-stop model while documenting feedback  Example – a specific time (or frequency) when the action occurred o During the meeting last week… o Each time I have provided you action items this week… o In the last month, on three of four customer requests… o  Every day this week…  Action – the behavior that was desirable or undesirable o You prioritized the to-do list accurately o You’ve picked up the new processes quickly o You did not follow process and gain appropriate approvals  Result – the impact of that desirable or undesirable behavior o As a result, the team was able to get through some major hurdles and feel a sense of accomplishment o Because of that, our customers got what they needed quickly o Since process was not followed, there was lots of duplication and rework for others who are already overloaded o  When you’re away from the office, our customers are not being attended to, and those who work around you are feeling like you don’t work as hard as they do  Suggestion – the new or desired behavior for next time o I’d like to see more of that, and even have you try this… o In the future, I think you could extend that (good behavior) by… o What I needed you to do instead was… o 3. Statements/words which are sensitive from a legal stand point or which can be challenged by employee. For exp- Ready to work in late night hours, comments on personality, lifestyle, you must do ….for you to move to the next level/ grade. 4.  If similar feedback has been given during regular 1:1, review meetings during the year, please highlight those. For ex- similar feedback was also given to you during our 1:1 or midyear review feedback. 5. Avoid Copy paste of Peer, Austin partner’s feedback with names included in the feedback. 6. Avoid complete copy paste from employees self assessment.

Some Do’s and Don’ts

Include:

• Project assignments and deadlines met or not met 

• Your assessment of the quality of an employee’s work 

• Instances of tardiness, work absences or extended breaks 

• Disciplinary discussions and actions taken 

• Employee responses to problems and questions 

• Positive contributions to the work effort 

• Details of significant personal interactions with the employee 

Don’t include:

• Rumors or speculation about the employee’s personal life 

• Theories about why the employee behaves a certain way 

• Information about the employee’s family, ethnic background, beliefs or medical history 

• Your opinions about the employee’s career prospects 

• Unsubstantiated complaints against the employee
