Working safely during COVID-19 in or from a vehicle

This document is to help Instructors, Trainers and our Students throughout the UK, understand how to work safely during the COVID-19 pandemic.

We hope it gives you a practical framework to think about what you need to do to restart operations during the COVID-19 pandemic.

We understand how important it is for Instructors to teach safely and support their Students health and wellbeing during the COVID19 pandemic.

This document sets out guidance on how to work safely. It gives practical considerations of how this can be applied in the workplace.

1. Risk Assessment

Pass N Go has completed a full in depth risk assessment on conducting driving lessons during the COVID-19 pandemic.

This risk assessment has helped build a platform for the publication of this document and our additional safety measures.

2. Mandatory Training Courses

Pass N Go Instructors and Trainers are required to complete a minimum of three training courses before they are permitted to teach driving lessons.

These courses are as follows:

We highly recommend our Students complete these online courses. This will raise their awareness of our new policies and train them on how to correctly wear Personal Protective Equipment to minimise risk when conducting driving lessons.

Instructors and Trainers are required to wear the following mandatory PPE:

3.1 PPE – Mandatory Instructor Requirements

Fresh Gloves for each lesson.Gloves to be disposed of following completion of the lesson and fresh gloves to be used for the next lesson/Student.

This is a list of our optional but recommended PPE for our Instructors and Trainers, we highly recommend the use of all of the below PPE measures:

Goggles or Face Shields

Apron or overalls covering clothing

Disposable Vehicle Seat CoversCovers to be disposed of following completion of the lesson and fresh covers used for the next lesson/Student.

3.2 PPE – Optional But Recommended PPE

In addition to the above we recommend both Instructor and Student to wear a long sleeved top and pants or leggings, even if its tempting not to do so when in hot weather.

Our Students are required to wear the following mandatory PPE:

3.3 PPE – Student Mandatory Requirements

Our Instructors and Trainers shall remind the students of these requirements:

For Safety Reasons - If a Student turns up for a lesson without the required PPE, they’ll beasked to return to their home to collect their PPE. The time this takes will be deducted from the lesson time.

If a Student cannot get/locate their PPE, the lesson will not commence and the Student will forfeit the lesson fee.

Instructors will ensure the vehicle is cleaned down prior to and after each lesson following Pass N Go’s official ‘Vehicle Cleaning Techniques - Checklist’ document.

In order to reduce contamination in vehicle the following steps must be taken:

5. Limiting Contamination in Vehicle

Fresh Gloves used for each lesson.Gloves to be disposed of following completion of the lesson and fresh gloves used for the next lesson/student.

Face Mask or Face Covering at all times, until end of the working day.

Improved ventilation – Open a window at all times.

Never removing your PPE at any time until the end of your working day.

Cleaning down the vehicle at the end of each lesson.

Instructor and Student to antibacterial wash their hands before and after each lesson.

In order to reduce contamination out of vehicle the following steps must be taken by the Instructor:

6. Limiting Contamination out of Vehicle

Never return home or go to any other place in between lesson.If you must travel home for a comfort break, you should try and limit the amount of separate occasions.When you go home, make minimal contact with any surface or person and leave home again immediately following your comfort break.

Take a packed lunch – Do not return home for lunch and/or do not visit the high street for lunch.

Do not run errands in between lessons.

Basically limit the journeys from driving lessons to high streets or other locations and home. This will vastly reduce the chances ofcontracting and/or spreading the virus.

Ideally you should remain in your vehicle from the beginning, to the end of your working day.

7. End of Working Day – Deep Clean

Clean down the vehicle

Deep clean the reusable PPE

Removal of clothing immediately on entering Home, place in washing machine to be cleaned

Limiting contact points from the vehicle to the inside the home is of the highest priority to reduce the chances of contamination.

Safely dispose of used disposable PPE equipment

Instructor to immediately shower/bathe to clean away any contamination.

Instructor will ensure on returning home, at the end of the working day to perform a ‘Deep Clean’. This includes:

8. The ‘New Normal’ on Driving Tests – Instructor

The Instructor shall adhere to the social distancing measures put in place by the DVSA.

Following the completion of the test and once the Examiner has left the vehicle the Instructor shall clean the vehicle contact points listed in our ‘Vehicle Cleaning Techniques - Checklist’ policy - Page 9 of this document.

8. The ‘New Normal’ on Driving Tests – Student

Neither Student nor Examiner is required by law to wear a face covering but they are allowed on tests - as long they do not impede the safe operation of the vehicle.

Where a Student turns up for test wearing a face covering/mask, Examiners may ask the Student to temporarily remove their face covering/mask so their identity can be confirmed.

Where Students present for test wearing glasses and a face covering/mask, Examiners should make them aware of the increased possibility of glasses/eye protection fogging up.

Where issues arise with this on test, Examiners should offer advice and guidance to help resolve the problem. If the issues continue to interfere with the safety of the test the Examiner should terminate/stop the test on safety grounds.

When test is complete and Student is now coming into contact with the Instructor and other people, Student to re-wear their PPE (if removed for test).

9. Introduction of new mandatory safety measures

Pass N Go has introduced further policies in order to limit the chances of contamination, and increase safety on driving lessons during the COVID-19 pandemic.

No acceptance of cash. Handling cash is one of the many ways the virus can be transmitted. Students are required to pay for all lessons via debit/credit card using the Pass N Go online system.

Temporary relaxation of the Pass N Go uniform policy. Instructors permitted to wear non Pass N Go branded clothing for the foreseeable future.This will allow Instructors to have a higher rotation of clean clothing to limit contamination.

Instructor to wear Pass N Go branded clothing whenever safely possible.

All driving lessons to be booked using the Pass N Go online diary system to ensure full record keeping as per government guidelines.

a high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)

a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)

There are two main symptoms of COVID-19:

The 111 online coronavirus service will ask about your symptoms and tell you what to do:

If any of our Instructors, Trainers or Students exhibit symptoms of COVID-19 they should:

11. What to do if exhibiting symptoms of COVID-19

Inform Pass N Go head office immediately, lessons will be put on hold.

You do not need to keep self-isolating if you just have a cough after 7 days. A cough can last for weeks after the infection has gone.

Self isolate for 7 days

After 7 days:

If you do not have a high temperature, you can stop self-isolating.

If you still have a high temperature, keep self-isolating until your temperature returns to normal

If you live with someone who has symptoms, self isolate for 14 days from the day their symptoms started.

This is because it can take 14 days for your symptoms to appear.

If more than 1 person at home has symptoms, self-isolate for 14 days from the day the first person started having symptoms.

11. What to do if exhibiting symptoms of COVID-19

If you get symptoms while self-isolating – you should self-isolate for 7 days from when your symptoms started, even if it means you’re self-isolating for longer than 14 days.

If you do not get symptoms while self-isolating – you can stop self-isolating after 14 days.

It is the Instructors and Trainers responsibility to ensure they’re following this safety guidance.

Lessons will be cancelled if they’re found to be:

12. Don’t be an Idiot, Follow the Guidance, Stay Safe

Not wearing their Mandatory PPE

Teaching Students who are not wearing their PPE

Accepting Cash for lessons

Booking Students in ‘Off-Books’ – i.e. notusing the Pass N Go online booking system

For the health and safety of our Instructors, Trainers, Students and their families, it is imperative this guidance is followed.We shall not hesitate in cancelling lessons and restricting use of our online system if we find any of our team members being irresponsible during this pandemic.

7. Disclaimer Notice

This guidance is produced in line with our ‘Risk Assessment’ and ‘Vehicle Cleaning Techniques -Checklist’ Documents.

This publication is created to clearly outline our operating guidance in order to mitigate the spread of COVID-19 whilst carrying out driving lessons and tests.

Important Notice:Even with all of our additional safety measures and new safety policies in place there will always be an element of risk of catching COVID-19 whilst conducting driving lessons.

Anybody that is or lives with someone at higher risk (i.e. someone 70 or over, has a long-term health condition, is pregnant or has a weakened immune system) should not participate in driving lessons for the foreseeable future and do so at their own risk.

Any Students that don’t feel comfortable doing lessons, your lesson credit expiry dates will be extended.
