Mission Statement❖ S & S Events Planning is a new organization

working out of Toronto, Ontario. In order to create a place for the business in the industry becoming employed for the 2011 Independent Booksellers Conference is of utmost importance.

❖ The mission statement for S&S Events is to thrive for greatness by complying with the theme of the event with the five senses: sight, touch, smell, taste, and hearing. It is the company’s goal to work with respect, integrity, and communication to put together the most organized and successful event as possible.

Event Goals❖ S&S Events will meet with the client and listen to their

needs and requirements. We will work our hardest to make sure that they are satisfied with the finished product. As a new company in the industry we believe it is important to take the vision of the client and be the ones to make it grow.

❖ Our goal is to not only flatter the client, but also guarantee that the guests have a great time at our event.

❖ We also want to introduce new excitement in the variety of flavours and wines we have to offer.

Venue❖ The venue our company has suggested for the event is

the Evergreen Brickworks located at 550 Bayview Avenue, Toronto, Ontario. Not only does this venue fit in with the theme of “going green” but also is also fully equipped with a kitchen, restaurant, and several dining areas.

❖ Evergreen Brickworks used to be one of Canada’s most prominent brickyards until the 1980’s. It wasn’t until 2006 that the site was turned into a meeting and conference centre. Since then Evergreen has preached knowledge of sustainability and ways to stay green to all visitors. Not only does this venue help to represent the theme of the conference but it also has the necessary amenities to hold a cocktail reception, dinner, and post dinner beverage service.

Theme❖ The theme chosen for the event in a subtle modern style. We want to incorporate a touch of classic with the elegance of modern times.

❖ Our primary colours are light blue and brown, which will surround the Evergreen Brickworks. Along with many candle lit places to add a certain softness to the decor.

❖ The wine chosen for this event is meant to relax the guests and really let them feel like they are escaping their usual hard working routines.

❖ We feel that this theme will be very fitting to the type of guests attending the event.

Demographics❖ The demographics for the event are a wide range

of men and women from the young age of 20 to any where over 65.

❖ The beverages chosen is meant to suit the variety of ages that will attend the event.

❖ The guests include publishers, editors, librarians, authors, printers and information technologists.

Prior to dinner there will be an informal cocktail reception. At this time there will be an open bar serving various mixed drinks as well as ice-wines and beers. The majority of the ice-wine and beer selected will come from sponsors however other beverages will be available as well. S&S Events chose to supply icewine as it goes very well with cheese and fruit trays, which are often served at cocktail receptions. Some of the ice-wines being provided are:

During the dinner service there will be a beverage menu offering products from two of the events sponsors: Steam Whistle and Inniskillin. The guests will be allowed a maximum of three drinks; the menu includes the following beverages:

After dinner has come to an end there will be a short reception to conclude the

evening. Due to the fact that beverages had been distributed prior to and

during dinner, S&S decided upon only serving white wines. The types of wine

that will be offered are as follows:

Suggestions for Food Service

❖ Evergreen Brickworks is fully equipped with their own in-house catering company, Belong Catering. The companies have worked together for many years and have been able to fit the needs for every event that has come through their doors.

Event Sustainability

❖ S&S Events has made event sustainability one of their main focussing points as it has become an increasing factor within the hospitality industry.

❖ Holding the conference at a venue such as Evergreen Brickworks is beneficial based on it’s green design which helps to reduce fossil-fuel energy use, and excessive waste to landfills from construction and other operations. The Evergreen conference centre has been built using select materials based on the conditions of the site so that no materials will prove to be harmful or negatively impact the site.

Event Sustainability❖ Providing beverages from suppliers such as Steam Whistle who use “green initiatives” as one of their main selling points. Steam Whistle uses all natural ingredients in their beer including pure spring water, malted barley, hops, and yeast. In addition this brewery has taken pride in their green glass bottle which is made up of 30% more glass than other bottles. By doing this the green bottles can be cleaned, inspected and reused up to 45 times.
