Wimba Pronto Office Hours

What are office hours?

Similar to live office hours, using a group chat.

There is a Main Room and Waiting Room.

The instructor can promote students to office hours.

The instructor can use features such as audio, video, whiteboard, and application share.

Setting Up Office Hours

Once in Pronto:1. Click on Pronto2. Click on Status3. Click on Office Hours.

A new Office Hours window opens – see next slide.

When you begin Office Hours, it uses the DEFAULT settings. The default settings are:

•Title: <Your First Name>'s Office Hours

•Waiting Room Chat: Enabled

•Automatic Promotion: Enabled

•Allow Office Hours messaging only: Disabled

•Require reason for entering: Enabled

•Prompt for reason for entering: Please provide a topic for discussion.

•Greeting for the waiting room: None

Office Hours Default Setting

Custom Office Hours Settings

To set up custom office hours.

1. Click on Pronto2. Click on Status3. Select Custom -

located under Office Hours.

Setting Custom Office Hours

Select the desired settings for your Office Hours session:

Title custom name for the session Enable waiting room chatting allows you to set whether the Waiting Room is anonymous; if unchecked, Waiting Room participants cannot communicate or see each other's identities. Automatic promotion next user in line is automatically promoted when the Main Room is empty. Allow Office Hours messaging only allows you to set whether or not users can send you instant messages while you are hosting a session. Require reason for entering users must give a reason for joining. Greeting for the waiting room optional greeting displayed to users upon entering the Waiting Room. Save for future use save the current settings for future use. Click OK. A new office hours window will open.

Promoting Participant to the Main Room

1. Click on the name of the user you wish to promote.

2. Click the Promote button.

Tip: You can promote as many users as you wish to the Main Room. This can be useful if you see that multiple users in the waiting room wish to discuss the same topic.

Demoting a Participant

1. Click on the name of the user you wish to demote.

2. Click on the Demote button.

Note: If you demote a participant to an empty Waiting Room, you must have Automatic Promotion disabled to prevent the user from automatically returning to the Main Room. You can also remove the user from the Office Hours session.

Removing a Participant

You can remove users from either the Main Room or Waiting Room.

To Remove:1. Right-click (Ctrl-click

on Mac) the name of the user in either the Main Room or Waiting Room Participant List.

2. Select Remove <User Name>.

Note: When removed, the user receives a message that says: You have been removed from <Title of Office Hours Session>.

Viewing Waiting Room Chat

To view Waiting Room Chat:Because the instructor can not participate in chat in the Waiting Room:1. Waiting Room Chat needs to

be enabled.2. Participants are able to send

messages amongst themselves.

3. To see the Chat Display, click the Show/Hide Waiting Room Chat button in the Office Hours Owner window.

Note: Only the instructor can view Waiting Room Chat; other participants in the Main Room never see messages being sent in the Waiting Room.

Send a Message to the Waiting Room

1. Click the Send button and the message window opens.

2. Type your message in the text box.

3. Click Send and it will go to the Waiting Room.

NOTE: Messages are visible to Waiting Room users only, not the Main Room. Instructor can send message to Waiting Room, even if Waiting Room Chat is disabled.

Ending Office Hours

To end Office Hours:◦ Click File>Close

If there are no participants in the Waiting Room, a dialog box appears asking if you want to close Office Hours. Click Close.

•If there are participants in the Waiting Room, the Close Office Hours Window opens.

Type a message in the text box and click Send OR Click Don’t Send without sending a message.

For Students – Joining Office Hours

Display status of the instructor will show Office Hours

To Join:Double Click the name of the instructor whose Office Hours you wish to join OR

Click the name of the instructor and press Enter.

A text chat window (see left)opens. Click Join.

If prompted to provide a reason for joining, type the reason in the box and click OK.

For Students – Leaving Office Hours

To leave office hours:Just click on File and Sign Out (Your Name)
