Dear prospective Bobcat Marching Band Member, Greetings from San Marcos, and welcome to Texas State! As the director of the Bobcat Marching Band (BMB), I would like to welcome you all to a collegiate family like none other. The BMB has established an outstanding reputation at the regional and national level for its exciting, challenging, and artistic shows, as well as creating a spirited environment for Bobcat Football game days! Your commitment to this tradition of excellence will make this season the best yet for the BMB! Please take a moment to carefully go over all the material in the packet. REQUIRED FORMS – Several forms are required to participate in the BMB. Some of these are completed online, and some are included in this packet for you to complete any bring with you on the first day of preseason camp.

• Band Information Form (BIF) – only available online, due August 1 • Medical Form – included in packet. Do not mail in, please bring with you on August 17 • Trip Release Agreement – included in packet. Do not mail in, please bring with you on August 17 • Optional Accessories Form from KKY and TBS – included in packet. Please mail in by August 1

ORDERING EQUIPMENT – there is minimal required equipment for BMB, and most of it is ordered online. Please check our website at http://www.txstate.edu/bands/bands/marchingband/preseason-camp.html for more information. Orders must be placed online by August 1. PRESEASON CAMP INFORMATION – A detailed preseason camp schedule is in this packet - come prepared! Be physically ready and mentally fired-up and have all of the equipment that you need. It is important that preseason camp is the time for the band to focus on band, so you must have any administrative issues (financial aid, residence hall, registration, etc.) resolved prior to camp. If you need help, ask now.

• Early Dorm Move-In is between 6:00-8:00 PM on August 16. You should report directly to your dorm. This is the only time that representatives from Housing & Residence Life will be there to issue keys and assist with move-in. IF YOU ARE LIVING IN CAMPUS HOUSING, YOU MUST REPORT ON THIS DAY & TIME. Some BMB upperclassmen will even help with moving you into your room. (See, marching band kids are awesome!)

• BMB registration will take place on August 17 at the Music Building. All members MUST check in on this day!!

• All trumpet & trombone players will have part assignment auditions on day one of preseason camp. Be prepared

to play your full range via scales, and bring a short prepared piece to play.

• All winds and percussion will audition for spots and scholarships during the first few days of preseason camp. More information will be available during registration. PDF’s of music is available online for you to get a head start!

• Uniform distribution will be held on August 20, 22, and 28. (See preseason camp schedule for details.)

• All freshman & new students will attend Bobcat Preview on Tuesday, August 22 from 8 AM - 5:30 PM, and a

session on Wednesday, August 23 in the afternoon. (See preseason camp schedule for details.)

• The Bobcat Preview Pep Rally (Bobcat Stadium) will be held on Friday, August 25 in the evening, and the New Student Convocation (Strahan Coliseum) will take place on Saturday, August 26 at 3:30 PM. The BMB performs for over 7,000 new Texas State students at these two events!!!

• The BMB BBQ will be held on Saturday, August 26 from 5 - 7 PM. Relax and have fun! Free food & drink!

THE FUTURE OF THE BOBCAT MARCHING BAND This is certainly an exciting time for the BMB as Texas State University continues its journey in Division I athletics. The university has recognized your contribution to the collegiate scene, as the administration has pledged scholarships for every selected member of the marching band. Let’s make this year’s edition of BMB the biggest and best ever! If you have friends who will be attending Texas State this year that played in high school band, encourage them to join us! Of course it is important that recruiting be done in a timely fashion, so their enrollment deadline will be the same as yours. Have them contact me and I’ll get them all the information they need! Finally, I ask that you all bookmark and check the Texas State Bands website often, as it will be updated throughout the summer. To: Dr. Thomas Clark, Director – School of Music Re: Bobcat Marching Band Equipment Storage Locations Date: August 13, 2013 Dr. Clark, With the enormous growth of the marching band program, a number of challenges have arisen in regard to the storage of school-owned instruments and equipment. Currently, front ensemble equipment (keyboard percussion, stands, etc.), sousaphones, and battery percussion (snare drums, bass drums, etc.) are stored in numerous rooms throughout the music building when not in use. Additional field equipment is housed in the small storage shed by the field and below a stairwell in the music building. During the season, typically three to four days a week, this equipment is unpacked, in some cases dissembled, loaded onto the school of music truck, and then unloaded at our rehearsal space at Jowers Field. Currently, three trips by the equipment truck are needed to move everything for a rehearsal and we predict that number will rise should the band continue to grow as expected. This translates to an added 3 hours of logistical time added to any given rehearsal with students loading and unloading equipment before and after practice. As I’m sure you realize, this makes for a very long day for many of our marching band students. An “on-site” storage location for marching band instruments and equipment at the rehearsal field would solve a number of these challenges. I was told that some time ago there was discussion of a temporary pod being utilized for this exact request, however there were environmental concerns and security issues. A casual conversation with Dr. Rosanne Proite from the Department of Housing and Residential Life revealed that some of the Riverside Apartments on Charles Austin Drive have been converted into offices or are currently vacant. Dr. Proite and I actually toured one of the vacant apartments, and I think that with some minor modifications they would suit the needs of the Bobcat Marching Band. There are numerous benefits to moving marching band equipment to the Riverside Apartments location (adjacent to Jowers Field). Some of these include:

• Drastically reduced time spent moving equipment • Less “wear and tear” on school of music equipment truck; savings in fuel prices • School-owned instrument life will be extended as equipment will not constantly need to be assembled and

disassembled for transport • The storage of field equipment during the academic year at the Riverside Apartment location will open up

much needed storage space at the school of music building for other areas/departments • Reduction in student traffic flow in music building

Attached to this document is the floor plan of the Riverside Apartment complex. Based upon these schematics and my on-site visit, Dr. Beatty and I would like to suggest that we have two adjacent apartments (which are currently vacant) be converted into storage – this would allow us to store all sousaphones AND all battery percussion. The renovations needed would be extremely minimal:

• Strip interior of kitchen appliances • Board up or bar any windows • Replace exterior doors with possibly a steel door and frame, with an additional deadbolt lock • Installation of shelves to store musical instruments

Texas State University-San Marcos, founded in 1899, is a member of The Texas State University System.

Cost: Dr. Proite informed me that typical housing costs for these two apartments during the academic year would generate $10,000 in revenue. She would be willing to release both apartments to the band department for $6,000, which would cover the University’s cost in electric fees, general maintenance, etc. (Note: this would not include the minimal renovations of reinforcing the doors and windows.) I believe enough shelving would be able to be found at the University Surplus Store. It is our hope that upper administration would be able to assist us in finding the necessary funds to support the $6,000 housing fee and the amount for minor building renovations to the doors and windows. Future Expansion: If an entire building was retrofitted with a climate controls and sufficient security measures were in place, we could store all marching instruments, equipment, and potentially uniforms in this location year round which would open up a fair amount of space at the current music building. Finding a “permanent home” for the Bobcat Marching Band rehearsals and equipment is a long-range project that Dr. Beatty and I hope can be discussed. If the Riverside Apartments were ever demolished, that location would be perfect for the needs of a marching band building. Currently, the marching band does not have a dedicated indoor space on campus because the rehearsal room in the music building is too small even for a meeting that does not include playing instruments. The Jowers gyms and Strahan Coliseum are typically used by recreational sports or fall athletics, which prevents the marching band from utilizing those facilities in the event of inclement weather while on the field. Beyond the storage, rehearsal, and safety benefits of constructing a home by Jowers field for the marching band, it would also put the band in closer proximity to the stadium to facilitate the participation in any pre-game activities. There are many other schools around the nation that have been in similar situations and have constructed similar buildings – the University of Michigan, Penn State University, Indiana University to name a few. Strategic Plan for Recruiting and Continued Development

By taking a proactive approach to recruiting for the University of the Incarnate Word, the UIW Department of Music can continue to build an athletic band program that represents the university positively in relation to appropriateness of size, level of musicianship, and quality of entertainment.

Recruiting Considerations Appropriateness of Size

1. With a total population of almost 9,188 students1 (acknowledging the approximate main campus’ population of 3,700), it would be ideal for UIW to field a band comprised of 1.5-2.5% of the student body, made up of a healthy mix of both non-majors and music majors.

2. Considering this percentage, the goal for the UIW Cardinal Marching Band is an enrollment between 137-229 individuals.

3. Yearly goal for recruitment would be to strive for an incremental growth of roughly 15-18% per year

UIW Cardinal Marching Band – Strategic Recruiting Plan

Level of Musicianship

1. As part of the UIW Cardinal Marching Band (or associated athletic bands), a high level of musicianship is expected.

2. Music fundamentals will be a daily part of every marching rehearsal to augment the work accomplished in the spring while part of the Wind Ensemble.

3. The Director of Bands will strive to find players who display a high level of musicianship, integrity, and leadership skills.

Quality of Entertainment

1. The UIW Cardinal Marching Band will continue with a traditional pre-game show and strive to perform 2 to 3 shows annually.

2. Each show will feature a diverse repertoire so that the audience (comprised of a diverse age group) can be entertained musically and visually.

3. The drill will be written in such a way as to feature the strengths of the UIW Cardinal Marching Band and allow for the band to look and sound their best.

FREQUENTLY ASKED QUESTIONS Do I have to be a music major to join the Marching Cardinals? Basic rhythm, technical facility, and high school marching experience are the most important qualifications for membership. It is not necessary to major in music. Will I have time in my schedule to join the Marching Cardinals? In high school, you spend up to 7 hours per day in class - in college, that number drops at least in half - you'll be in class only 3-4 hours per day. This leaves 3-4 hours free compared to your current high school schedule!! Marching Cardinals meets only twice a week from 6:00-8:45 PM on Mondays and Wednesdays and in the mornings on Saturday game days. College band is supposed to be the reward for your service in high school band – our focus is on entertaining the fans, students, and alumni of UIW while supporting Cardinal Athletics. Is it extremely difficult to join the Marching Cardinals? ALL BRASS AND WOODWIND PLAYERS are automatically accepted into the Marching Cardinals - auditions for part assignments are held during Summer Band Camp. During Band Camp, students will be taught basic drill and music, and a review of marching fundamentals will be covered for veterans. Several meals will also be provided during camp. Is the Marching Cardinals comprised of only brass and percussion? Instruments used in the Marching Cardinals include piccolo, clarinet, alto and tenor saxophone, trumpet, mellophone, trombone, baritone, sousaphone, and percussion. How many performances are scheduled this year? The Marching Cardinals will perform at every Cardinal Football home game this year (5 games) and the Fiesta Flambeau parade in the spring. Travel to away games may occur in subsequent years. Are there other performance opportunities in the UIW Bands? Yes! There is the Cardinal Red Basketball Band, which will meet beginning in November. Auditions for this 29-member group will be held in October. The UIW Wind Ensemble will meet in Spring semester beginning in January. While all UIW students are welcome to join, chair auditions for this concert ensemble will be held in January You do not need to be in either the marching band or basketball band to participate in the UIW Wind Ensemble. How many shows do the Marching Cardinals perform? The Marching Cardinals will perform three (3) shows this year plus a traditional Pre-Game show. Music is chosen from a variety of genres including Pop, Rock, R&B, Funk, and Patriotic selections. While visual movement is important, drill will be easy to learn and clean. Design Considerations

• What objective does our uniform have? • What words are associated when you see it? • When designing initially, don’t “cut and paste” items onto a mannequin – collaborate and

define what adjectives are drawn from the uniform o (i.e., instead of saying we want three buttons on the coat, ask for more visual presence

or reflective quality) • Incorporate “tradition” into the uniform; some traditions just for the student • Uniform needs to be large enough in scale to see it from the 50 yd. line – If you can’t see it

from 50 feet away, it’s too small Essentials & Timeline

• Each uniform will cost approximately $330-370/per unit; Unit includes: hat, plume, jacket, pants, gauntlets

• Director of Bands suggests forming a five person committee comprised of the Director of Bands, a student representative, Department of Music chair, Athletics representative, and UIW Board of Trustee member

• Complete the provided questionnaire by mid-September 2014 • Upon completion and return of questionnaire, two design sketches will be provided by
