What Volunteers Need to Know Home Football Games Times are typical, but please follow Band FB page/website for updates Food Crew Please report to Cafeteria at 4:00pm, receive instructions from Crew Lead Dinner for Kids @ 4:30pm Things you will help with: *Helping carry food in being delivered *Setting up Buffet Lines *Filling up Water/Lemonade Coolers, then filling cups *Serving the meal/desserts *Interacting with the kids and getting to know them! *Clean-up: collecting trash, wiping down tables, taking trash to dumpster, returning supplies to closet Chaperones Please report to the Band Room/Parent Closet at 5:45pm to meet Lead Chaperone Things you will help with: *Get a Parent Volunteer Badge – hanging in Closet *Filling Water Coolers (3) with ice water in cafeteria and loading wagon/Getting Cups loaded *Making sure we have “Baby” Medical Suitcase *Get Trash bags and Trash Buckets *Caution Tape off area for band in bleachers *Hang Senior Banners on Fence in stadium *Assist with monitoring kids, assisting with injuries/illness *Leading the Band Wagon as our greatest cheerleaders!!! Pit/Prop Crew Please enjoy the beginning of the game – when you see the band leave the stands for warm-up, please report to the grassy area at the back door to the band room for instruction. Things you will help with: *Pushing, pulling Front Ensemble (Pit) Instruments & Sound Equipment from warm up area to the field. (someone will tell you where to place everything) *Pushing, pulling props/set pieces from band room area to the field and assist during show moving props if needed. Call names – count total vs. what is on list (some may be out due to illness). *Do a head count to make sure number matches. Driver can radio to other buses when your count is accurate, you have everyone and you can depart. *Give total count of Students & Adults to the bus driver. *Rules on the bus: *Kids must be seated on their bottoms, no walking on moving bus. *During daylight hours boys and girls can sit in a seat together – Once dark, boys must sit with boys and girls with girls. No couples in seats together. *They can play music and get slightly rowdy – as long as they quiet down and pay attention to driver when needed. *Assist with monitoring kids, assisting with injuries/illness *Leading the Band Wagon as our greatest cheerleaders!!!

Please arrive at designated time (dependent on location we are traveling to) Things you will help with: *Assisting students load the buses with their instruments *Loading Props & additional equipment *Follow the caravan upon departure in your personal vehicle *Upon arrival, help unload all of the above *Please enjoy the beginning of the game – when you see the band leave the stands for warm-up, please report to the warm up area for the Pit. *Pushing, pulling Front Ensemble (Pit) Instruments & Sound Equipment from warm up area to the field. (someone will tell you where to place everything) *Pushing, pulling props/set pieces from band room area to the field and assist during show moving props if needed. (someone will tell you where to place everything) *After performance, help Front ensemble return everything and load their instruments & equipment, we will also load the props– then return to the stands to enjoy the rest of the game. *Please note for Away Games to other schools in the Williamson County School System – we will NOT be performing our show, therefore will not need to take Pit Instruments/Equipment & Props.

What Volunteers Need to Know Competitions

Times are typical, but please follow Band FB page/website for updates

Parents, please understand that Competitions are not an exact science and unfortunately we have to be flexible and adjust as needed. Much of this is a “fly by the seat of our pants” kind of thing. Please be patient and we will try to communicate what is needed as best we can. *Our performance times vary, therefore the times you will be needed will also vary. Please check the schedule each week prior to a Competition for times to report. *If you are driving your personal vehicle to competitions, you may not be able to park near our buses/trucks. Please be prepared to walk a lot at Competitions. Once we are parked, we will post on FB how to find us. *Sometimes we have to hang out and wait – feel free to bring lawn chairs and food – we like to Tail Gate!!!

Food Crew – Food will be delivered, either by Food Crew Leads or catering delivery. *Dinner will be served near the Equipment Trucks. Watch the FB page for each competition to know where we are and what time to report to assist with the meal. Leaving bagged trash all together if we are not near a dumpster. Chaperones – Please report to the Band Room/Parent Closet at the designated time specified by weekly schedule Things you will help with: *Get a Parent Volunteer Badge – hanging in Closet *Loading coolers with water bottles and icing them down.
