Welcome Message We invite you to join the World Federation of Occupational

Therapists at the WFOT International Congress and Exhibition from Sunday 27 – Wednesday 30 March 2022 in Paris, France.

The International Congress is held every four years and brings together occupational therapists, assistants and students from across the globe to develop professional fellowship, exchange technical and scientific information and to promote high standards of occupational therapy practice, research and education worldwide.

The 2022 congress will feature unique social events, local tours, an extensive exhibition and programme of expert presentations on the 2022 theme “Occupational R-Evolution”.

Our theme “Occupational R-Evolution” will explore the continuing advancements in occupational therapy, and in our world, and highlight the leadership of our profession for navigating the dynamics of change. It aims to enrich your understanding, stimulate your thinking and shape your ideas, by presenting a truly global programme of speakers and topical professional content.

What is WFOT? Occupational therapy is a client-centred health profession concerned with promoting health and wellbeing through occupation. The primary goal of occupational therapy is to enable people to participate in the activities of everyday life. Occupational therapists achieve this outcome by working with people and communities to enhance their ability to engage in the occupations they want to, need to, or are expected to do, or by modifying the occupation or the environment to better support their occupational engagement.

The World Federation of Occupational Therapists is the official international organisation for the profession. WFOT is a global network of 105 National Occupational Therapy Associations representing 580,000 occupational therapists globally. WFOT was established in 1952 and has been in official relations with the World Health Organization since 1959. As a worldwide body WFOT represents the occupational therapy profession in its role of improving world health and wellbeing.

Partners booking their stand before April 30, 2021 will benefit from a preferential rate of -5%. All our stand offers include the exhibition space, referencing on the exhibitor lists on the congress application, website and final program. Exhibitor badges are also included in the limit of 1 badge per 3sqm (extra badges can be purchased).

Art. 1

Validity of the Terms & Conditions This document lays down the conditions to participate in WFOT 2022. Each Exhibitor/Sponsor receives it to apply for admission. Any application implies full acceptance by the Exhibitor of these General Conditions.

Definitions

• In these Terms & Conditions the term ‘contractor’ shall mean any company, partnership, firm, organisation or individual to whom sponsorship options have been allocated for the purpose of any of the following; exhibition space, meeting rooms, hospitality suite, satellite symposia, and shall include their employees, suppliers and agents.

• An “exhibitor” is a contractor that has purchased an exhibition floor space only.

• A “sponsor” is a contractor that has purchased at least one sponsorship option in addition to a exhibition floor space purchase although that the purchase of an exhibition floor space is not a condition to become a sponsor.

• The term “conference” shall mean any congress, exhibition or event run by K.I.T. Group France, Association & Conference Management (hereafter referred to as K.I.T. Group) and in particular shall mean the event detailed in the Sponsorship Manual or the Exhibition and Sponsorship Ordering System (ESOS®), hereafter referred to as ESOS®.

• The term “Organisers” shall mean K.I.T. Group and its employees.

• The term “congress venue” shall refer to any exhibition hall, congress facility, hotel or other such building and in particular shall mean the congress Venue listed in the sponsorship manual and anywhere within the precincts of such location under the control of the organisers for the purposes and duration of the congress.

• Exhibition and Sponsorship Ordering System (ESOS®) is an online ordering system that brings together exhibitors, sponsors, vendors and congress organisers to one platform.

• The term “Sponsorship and Exhibition Manual” shall mean the document announcing all sponsorship opportunities offered within the frame of the congress and which includes all detailed information pertaining to the handling of the exhibition (i.e. dates, onsite regulations, material order forms etc.).

• The exhibitor/sponsor must conform to these General Conditions and to the Fire Safety Instructions.

• The present General Conditions concerning WFOT 2022

• The Fire Safety Instructions of the “Paris Convention Center “

• The online booking registration ESOS®

• Technical Rules and Regulations of the Exhibition

• In case of a contradiction between various documents, these General Conditions prevail.

• Only the contractual documents in French have a legal value.

Art. 2

Organisation

A. Local P.C.O.

WFOT 2022 is organized by the “World Federation of Occupational Therapists” (WFOT) who is represented by the company K.I.T. GROUP FRANCE (hereinafter “K.I.T. GROUP”) is a limited liability company with a capital of 9,146.94 Euros, whose registered office is located at

2-4 rue Joseph Sansboeuf - 75008 Paris- France.

B. Dates and Times of the event

WFOT 2022 will be held from March 27 to 30, 2020 at the “Paris Convention Center”. The detailed schedule is available in the Exhibition & Sponsorship Manual.

C. Occupation the exhibition surfaces

The exhibition plan is drawn up by the Organizing Committee.

The allocation of stands is made by the organiser in collaboration with the Organizing Committee, taking into account the dates of booking and partnership levels.

Terms & conditions 2. During the exhibition and the congress:

Nobody may enter in the Congress or Exhibition area, during the entire period of WFOT 2022, without being identified by one of the following badges Member, Exhibitor or Visitor. All badges issued for WFOT 2022 have a name, are personal, and must be easy to see.

If the Exhibitor wants to invite someone, the guest must complete a registration form and the Exhibitor makes the corresponding payment to the “World Federation of Occupational Therapists”.

The Exhibitor badge cannot be used, in any case, as an invitation.

Exhibitors may order their badges by emailing the organiser.

Art. 3

Booking Admission

A. Booking process (online)

Exhibition space order or any other partnership option must be ordered via ESOS®. The application of the exhibitor/ sponsor will be effective after signature of the contractor or by the confirmation via ESOS®).

B. Booking confirmation

SATELLITE WORKSHOP

1. Partners wishing to organize a workshop must accept without reservation the provisions of these regulations.

2. Requests will be submitted to the Organizing Committee which, after examining the files, will make a decision on approval. In case of refusal, the Committee will not have to give reasons for the decision which will be notified to the requesting partner.

In any case, the rejected applicant will not be entitled to any compensation.

• The scientific content of symposia is subject to the validation of the Organizing Committee.

After attribution, no change in location may be made without the written consent of the organiser who reserves the right to modify any time it deems useful, the location, the size and the disposition of the space requested by the exhibitor.

If the Organizing Committee has to partially modify the locations or facilities, no complaint will be admissible and the exhibitors will have to comply with the decisions taken.

The location awarded will have to be occupied by the exhibitor during the congress, otherwise, it will be considered as available. It may be assigned to a different exhibitor. The defaulting exhibitor will not be entitled to any compensation or reimbursement.

A technical guide will be sent later to each company having reserved a booth and/or a workshop. This guide will include all the arrangements for your stand such as rental of furniture, as well as the technical rules and regulations for security and information on the different services which you may need (phone, handling, storage, customs clearance, audiovisual recording, time, catering information.)

Exhibitors agree to respect and enforce unto their employees and subcontractors the regulations of the Paris Covention Center and the instructions specified technical guide. More generally, the exhibitors are required to comply with the laws and regulations that apply to exhibitions and the security measures laid down by the Prefecture. In particular, they must comply with regulations and safety instructions of the Paris Convention Center.

Exhibitors are responsible for both the material they exhibit and the one they have rented or installed on their stand.

D. Access to Exhibition Halls

A badge is required to have access to the Exhibit halls.

1. Set up and dismantling period:

Any person working for the Exhibitor, including in that event the subcontractors and the installers must have a visible badge identifying the Exhibitor. This badge is established by the Exhibitor itself.

Terms & conditions the requested modification and the time remaining before the start of WFOT 2022.

If the Organisers reject the request, the contract will be performed in accordance with its initial conditions.

Art. 4

General Principles 1. The Organisers may from time to time add to or modify the Terms & Conditions and make any changes they deem appropriate for the benefit of the congress, provided that such amendments or additions do not diminish the rights reserved to the contractor under this booking and do not increase the the Organiser‘s responsibilities.

2. In the event of disagreement regarding behaviour, construction, procedures, contents etc. the Organisers decides solely how matters should be handled.

3. The Organisers retain the right to change the congress venue without prior notification including if they deem it to be in the interest of the congress, or for reasons beyond their control.

4. The contractor should refer to the Organisers to ensure they are in compliance with all local laws and regulations enforced by the city of the event, the congress venue, and suppliers.

5. In all cases, contractors are responsible for ensuring that their promotion during the conference is legally and ethically acceptable in the country of performance.

6. The Organisers reserve the sole right to decide who will be admitted and to which areas and at what times. The Organisers have the full authority to deny admittance to or expel any person from the congress venue.

7. The Organisers reserve the sole right to change allocated rooms, spaces and time slots.

8. As far as scientific issues and contents are concerned, the contractor is bound to the decisions of the organisers when alterations, omissions or cancellations of lectures, presentations, etc. may be necessary.

The day and the schedule of the session are defined by the organizing committee taking into account the wishes expressed by partners, the date of reservation, partnership level, the compatibility with the congress program and the availability of the time slot.

The decision of the organizing committee on the allocation of the date and time slot does not constitute a cause for cancellation even if it does not match the partners‘ preferences.

The program of the workshop as well as the choice of speakers and moderators must be validated by the Organizing Committee prior to insertion in the final program.

STAND & PARTNERSHIP ITEMS

1. The organiser has to confirm the booking and send the invoice corresponding to the reservation within a maximum period of 6 weeks following the reception of the exhibitor application. The Organisers will make sure to respond at best to the contractor’s request whenever possible. However, the Organisers cannot guarantee that the partnership items chosen by the contractor will be granted.

2. In the event of the confirmation differs from the contractor’s request, the contractor will be notified by the Organisers of the necessary changes. The contractor has 10 working days to challenge this decision. If no dispute has been issued within that period of time, the reservation including the modifications will be confirmed.

3. The Organisers has the right to accept or reject Partner‘s request. Rejection of such request may not, in any case, entitle to damages and interests.

4. If the Exhibitor wishes to make a modification of the services he has requested from the Organisers (modification of the area, of the space, of its fittings), the Exhibitor must inform the Organisers of its request by registered letter with receipt.

The Organisers will have to inform the Exhibitor of its position on the modification request within height (8) days starting with the date of receipt of the above-mentioned letter. the Organisers will not be required to accept the request or modification. It will particularly consider the importance of

Terms & conditions its professional advisers or as required by law or as agreed by the Organisers, any confidential information relating to the business or affairs of the Organisers.

17. Both the contractor and the Organisers shall ensure the general protection of personal data which is defined by the data protection rules and regulations of the country in which the congress venue is located. In particular, the contractor undertakes that any data provided by the Organisers or generated in connection with the congress will only be used for the specific purposes outlined and that it will obtain similar undertakings in regard to any such data passed to sub-contractors.

18. Taking pictures other than by the official Organisers’ photographer is expressly prohibited during set-up, dismantling and outside exhibition hours; cameras are forbidden in the exhibition during these periods.

19. If a sponsor would like to organise an event, for 25 or more participants, before, during or after the Congress, they must first seek the Organisers approval. The sponsor can request to hold an event; however, the event must not occur in parallel to official Congress sessions or other social / cultural events.

Art.5

Payment conditions The participation expenses for exhibition space rental may be paid in two installments.

The Exhibitor is to pay the first installment of 50% of the total amount including all taxes by check or bank transfer at the same time as the booking via the online order System ESOS®.

The Organisers will send the invoice corresponding to the reservation in return, within a maximum period of 6 weeks following the confirmation of the admission of the Exhibitor.

The balance will be paid by the Exhibitor by check or bank transfer before December 31st, 2021. For all bookings made after 31/01/2021, the full amount is due upon booking. If the entire reservation has not been settled at least 15 days before the

10. The contractor acknowledges that the Organisers have the irrevocable right to use recordings of any kind which have been produced within the framework of the congress, for their own advertising purposes.

11. The contractor understands and acknowledges that any expenses incurred by the contractor in connection with the congress are the sole responsibility of the contractor, even in the event of cancellation by either party.

12. If the contractor fails to comply in any substantial respect with the Terms and Conditions, the Organisers shall have the right to exclude the contractor and to sell its exhibition space/ sponsorship options. The contractor however will be liable for any loss suffered by the Organisers thereby, and all monies paid by the contractor shall be absolutely forfeited to the Organisers.

13. The use of the organisers’ name (in full or as an abbreviation) as well as its logos is strictly forbidden in publicity, advertising, sign, product, printed matters, lM, video, other media, etc. without the explicit consent, in writing, of the organisers. The only exception is that contractors may refer to the meeting as with its official complete name as it is published in the official conference publications. The contractor may use a text internet link to the conference website from their own company website, or submit to the Organisers for permission to use the conference logo

14. It is prohibited to use the official conference logo for any signage/ publications/websites, in which layout is similar in kind to the ones from the official publications of the conference. For all other publications that the contractor uses the official conference logo for or when in doubt, the organisers’ approval must be obtained.

15. Smoking is not permitted in the conference venue or any other area controlled by the Organisers.

16. The contractor undertakes not to disclose to any third party, other than to

Terms & conditions 4. All stands structures will have to be entirely dismantled and vacated according to the schedule provided by the Organisers. A “forgotten” stand will be systematically destroyed and the Exhibitor will be charged for the resulting expenses.

5. The structures of the stand and others wastes must be evacuated by the Exhibitor. Any failure to this obligation will be systematically charged to the Exhibitor.

6. The Exhibitor commits to respect the usual rules of proper behaviour.

7. Materials, signs, promotional supports and products which are not corresponding to the theme of the Technical Exhibition are prohibited without the advanced and written approval of the Organisers. The Exhibitor must respect the limits of its stand.

8. The Exhibitor is liable for any damage caused to the rented space or to the building by itself or by a company intervening on its behalf in connection with transport, installation, operation or removal of its equipment. The rented space must be restored to its initial condition. The expenses for repairing damage caused by the Exhibitor will be entirely at the Exhibitor’s expense.

9. The Exhibitor commits to respect the requirements laid down in the present document and the contractual elements defined in article 1 of the present document, and to have its employees and subcontractors respect them.

Art. 8

Cancellation of the contract In addition to the legal cancellation provided by article 1184 of the Civil Code, the contract may be canceled under the following conditions:

In case of withdrawal, the Contractor must pay all of the participation expenses, whatever use the Organisers may subsequently make of the released space or sponsorship opportunity.

The payment of any other services ordered by a sponsor/ exhibitor must be paid upon receipt of the invoice.

If the balance or invoice is not paid within the indicated period, lateness penalties equal to twice (2) the legal interest rate will be applied to the said amount, automatically and without any advance warning being necessary. Moreover, the Organisers will be entitled to cancel the contract and to reassign the space as stated in article 8 below.

Art.6

Organisers obligations • The Organisers provides the Exhibitor with a space on one of the Exhibition and for the entire duration of WFOT 2022.

In particular, the stand will include all fittings requested by the Exhibitor and accepted by the Organisers.

1. The Organisers will supply each Exhibitor with a set of badges enabling its collaborators to access the Exhibition.

2. The Organisers commit to include the Exhibitor in the Exhibitor directory. The Exhibitor must fill the form to provide its information on the dedicated website application before September 17 of the current year at the latest.

Art. 7

Exhibitor obligations 1. The Exhibitor undertakes to pay the participation expenses as defined in article 5 of the present document.

2. The Exhibitor may not transfer the space assigned to it or sublet it to a third party, without the Organisers advanced and written approval.

3. The Exhibitor is required to occupy its stand for the entire duration of the Technical Exhibition.

Waiver of recourse The Exhibitor waives any recourse, including third party notice, that it might be entitled to file against the Organisers, the owner of the site and/or the operating company of the site, as well as their insurers, in connection with any material and immaterial damages, consequential and non-consequential, suffered by the Exhibitors (particularly damage to the property exhibited) and their employees, and for which the Organisers, the site owner and/or the operating company is responsible, whatever the cause thereof may be.

The Exhibitor undertakes to bring this provision to the attention of its insurers and to obtain an identical waiver of recourse from them.

Art. 11

Insurance Civil Liability Insurance of the Organisers

The Organisers take out an Organisers Civil Liability Insurance that covers all damages, including bodily, material and immaterial injury, caused by himself, his staff or his installation.

Civil Liability Insurance of the Exhibitor

The Organisers are not liable for damage that the Exhibitors might cause to third parties.

Insurance covering damage to property displayed on the exhibition stand and/or theft

The Organisers are not liable for the material damage and/ or theft caused to the property exhibited and it is up to each Exhibitor to take out insurance covering such damage.

The Exhibitor may take out such insurance directly with its own insurer.

B. Cancellation of the contract by the Organisers in case of non-payment of the participation expenses

The Organisers will be entitled to cancel the contract between it and the Contractor and to dispose of the space or sponsorhip initially assigned to the Contractor if the latter does not pay the participation expenses within the periods laid down in article 5. If this occurs, the Contractor shall have to pay all of the participation expenses as a penalty.

Art. 9

Cancellation of the event 1. The Organisers are entitled to cancel the conference due to reasons beyond their control that prevent or substantially hinder the planned holding of the congress.

2. If the organizer has to cancel the face-to-face conference for reasons outside its sphere of influence, and organize the conference in a digital format, the contractor is released from his obligations as an exhibiting partner. For reservations concerning the exhibition space, the organizer must reimburse the full amount paid, after deduction of the administrative costs (300€ V.A.T. excl.) and an amount of calculated fixed costs based incurred for the organization before cancellation (25% of total bookings). The contractor will nevertheless be invited to position themselves on a digital exhibition space or a sponsorship commitment. For reservations concerning sponsorship items, the organizer will offer an equivalent digital solution to replace sponsorship reservations supports that are not already digital.

3. If the congress must be cancelled or changed due to unforeseen political and economic events, or general “Force Majeure”, the Organisers cannot be held liable for any compensation nor refund.

Applicable law and assignment of jurisdiction The present General Conditions are governed by the French law in effect on the date of the event.

In case of a dispute concerning constraint, validity or performance of the present General Conditions, the Courts of Paris shall hold sole jurisdiction.

Art. 16

Severability Clause No amendments, changes, modifications or alterations of these Terms and Conditions shall be binding upon either party hereto unless in writing and signed by both parties. If any of the provisions of these Terms and Conditions are held to be void or unenforceable, then such void or unenforceable provisions shall be replaced by valid and enforceable provisions, which will achieve as far as possible the economic business intentions of the parties.

Art. 12

Safety Regulations The Exhibitor must conform to the Safety Rules and Regulations lay down by the public authorities, by the “Paris Convention Center” and by the Organisers.

Art. 13

Catalogue, Documents, Animations Only WFOT 2022 Organisers are entitled to publish and distribute the catalogue and any other documents in relation to the Exhibition. The published information regarding the Exhibitor is the latter’s responsibility. The Organisers may not be held liable, in any case, for omissions or for errors in reproduction and composition that might occur. The texts received after the deadlines will not be published.

The data concerning the attendees and the visitors to the Technical Exhibition remain to the Organisers sole property. Any use of the logotype, the name or any other symbol designating WFOT 2022 will have to be the object of a request submitted to the Organisers.

All advertisements, animations, distribution of documents are forbidden outside the stands. No signs, advertising, documentation or other items may be placed outside the space reserved for the Exhibitor.

Art. 14

Election of domicile For the entire duration of WFOT 2022, including the installation and dismantling periods, the Exhibitor elects domicile at the space assigned to him at the Technical Exhibit.
