Access to OpenHire requires a User Name and Password.

First time users will need to click “Forgot Password.” Complete questions:

Username is your e-mail address (for those who have been with the company for over a year need to use @theparadiesshops.com). Then click submit. An e-mail will be sent to you with a link. Once you click on the link you can set your password. You can then return to the home screen and log-in. The Recruiter Dashboard and Navigation Menu The Recruiter Dashboard is the home page for Recruiting Managers. There are three key areas on this page:

1. Gives access to universal links. 2. The Navigation Menu allows users to access the various pages in OpenHire 3. The Recruiter Dashboard displays a high level view of various features using graphs and charts.

Universal Links Log Out: Logs you out of the system My Account: Let’s you edit your personal information (i.e. password) Customer Care: Gives you access to online support information and user guides

Navigation Menu The Navigation Menu give you access to complete tasks in OpenHire.

Recruiter Dashboard The Recruiter Dashboard is displayed on the home page of recruiting managers and recruiters. The dashboard displays the following charts:

Chart Description

All Hiring Stages Number of applicants in each hiring stage.

Top 5 sources Number of applicants from each of the 5 top sources.

All Requisitions Number of pending or approved requisitions.

Candidate Aging The length of time a candidate has been in the system.

All Scheduled Interviews The number of pending and completed interviews.

All requested reviews The number of requested and completed reviews.

Opening a Job Click on “Job Posting” and the selection window will expand. Then select “Manage Requisition.” The following screen will display. Click on “Add” on the screen.

Create A Requisition The electronic requisition form consists of several sections.

Requisition Creator: person who creates the requisition Requisition Administrator: person who edits the requisition Job Creator: person who posts on Career Builder

Job Template: contains pre-defined data for a job. Selecting a template saves time because it populates several fields on the requisition based upon the job chosen Hiring Workflow: a workflow is comprised of hiring stages. The workflow for Paradies is “location.” Because the job is approved at the location level. Posted Job Title: if left blank, the Internal Job Title will display to applicants. Location Details

Job Location Code: this field can be populated by the template chosen.

Positon Requirements

Salary Min/Max: these fields are usually left blank. You can fill-in if you location decides to post with a salary range. Description/Skills

These fields auto populate with the most up to date (approved) job descriptions for retail and food & beverage.

Requisition Buttons Use the following buttons to complete a requisition.

Save Without Review: Saves the requisition so that the originator can go back to it to edit or finish completing the form

Save & Post: Saves the Requisition and sends an email to the Job Creator so the requisition can be posted

Cancel: Cancels the requisition

Posting the Job Once you click Save and Post after the requisition has been created, you will click on the Action drop-down arrow and then the Post button next to the desired requisition.

Next you will complete the posting by filling-in who will receive notifications that a candidate has applied to your posting.

You will then validate the information is accurate. Department: Begin typing in appropriate region.

Industry: Select appropriate type of industry. Select Continue.

Editing a Requisition A requisition can be edited by clicking on the Actions button for the desired requisition (on the Manage Requisitions page). Edit the information and then use the following buttons to complete the updated requisition. A Requisition Creator or a Requisition Administrator can edit a requisition.

Update without review Saves the requisition so that the originator can go back to it to edit or finish completing the form

Update and post Saves the Requisition; Sends and posts the positions on “free” job boards. If you would like it posted on Career Builder you should fill-in the job creator with your regional HR Managers name.

Cancel If new requisition, cancels the requisition If editing an existing requisition, cancels any changes and takes the user back to the Manage Requisitions page.

Review Job Details You will then “Review Job Details” previously entered are accurate. If you need to make edits,

double click the backspace button. If everything looks correct, scroll to bottom left side of screen and

select finish and return to job postings.

Finish and Return to job posting – posts job to Paradies Career site and external free job boards (Simply Hired, Indeed and Glassdoor). Managing Jobs This page gives Recruiting Managers the ability to manage jobs.

When a Recruiting Manager clicks on the Edit link from the Manage Jobs page, the job posting displays. The links at the top of the page allows the editor to easily jump to the section that requires editing.

Reassigning a Job By clicking on the Reassign link on the Manage Jobs page, a Recruiting Manager can reassign a job to another recruiter and/or recruiting manager.

Jobs Dashboard

The Jobs Dashboard displays the number of jobs by status and by job board for which someone has applied. Recruiting Manager can view all jobs and recruiters can view their assigned jobs.

Note: A job must have at least one candidate before it appears on the Jobs Dashboard

How to Access Candidates Expand Job Postings

Then click-on “Manage Jobs” then click on the job that you would like to review

Click on the number located under “resumes” (in this case 52)

The Resumes page displays a list of candidates who have applied for the job. In this example, these are all the candidates who have applied for the Sales and Warehouse Associate position.

From this page, a Recruiter or Recruiting Manager can:

1. Perform an activity with one or more candidates such as set up resume review requests. 2. View the Job Score for each candidate. OpenHire compares the information in the candidate’s

resume to the information in the job posting. 3. View a candidate’s profile. 4. View the candidate’s responses to any questions that have been set up for the job. This column

indicates if the candidate answered any questions and if they passed or failed any questions that have been flagged.

Tab Description

Edit/View Edits the candidate’s contact information.

Tracked For View the job posting details.

3. Summary Displays all jobs for which the candidate has applied along with general overview of information.

4. Resume/CV Displays a text version of the candidate’s resume/qualifications.

5. Attachments Any files attached to the candidate record; the candidate, recruiters and managers can all attach files to this record.

6. E-Forms Displays the data from any completed application; Managers can view and download the actual job application here.

7. Evaluations Paradies does not utilize this function (please disregard)

8. Activity Status Gives Managers the ability to keep track of where candidates are in the application process (optional).

9. History Displays a list of all activities/stages of the hiring process the candidate has moved through; provides comments associates with this candidate.

Moving a Candidate Through the Hiring Stages The Candidate Profile page is used to manage candidate activities and move candidates through the hiring process. From this page, recruiting managers and recruiters can: Request resume reviews Schedule interviews Extend offers Hire candidates Correspond with candidates

These activities are initiated through the Action drop-down list on the candidate profile. This list of options changes based upon the user role and the candidate hiring stage.

Extending an Offer Once the hiring manager decide they would like to make an offer to the candidate, you can move the candidate through the next hiring stage: Offer Approval Selecting this stage displays the Offer Approval page. The recruiting manager/recruiter fills in the details of the offer and sends the offer for approval. The approval process is the same as it is for the requisition approvals.

Next, an offer letter is created for the candidate. The hiring manager selects the Create Offer Letter from the Action drop-down list on the Candidate Profile.

OpenHire generates an offer letter which is saved and then: Sent to the candidate via the post office or Sent to the candidate attached to an email.

Disposition Candidates Once a candidate has accepted a job, OpenHire allows recruiting managers/recruiters to: 1. Notify the remaining candidates that the position has been filled 2. Change candidate dispositions (provide reasons for not hiring remaining candidates) Notify Candidates From the Resumes page, click in the checkbox for all candidates and then uncheck the box for the candidate that was hired. Then, select CCE Correspondence from the Take Action drop-down list and select the appropriate email to send to the remaining candidates.

Change Disposition

From the Resumes page, sort the candidates, select all candidates, uncheck the hired candidate, and then select Change Disposition from the Take Action drop-down list.

Note: If a candidate is in the Hired stage, there will not be a checkbox next to his/her name.

Closing a job Once an employee has accepted a position, he/she is moved to the next stage in the workflow – Hired. This accomplishes the following:

The hired candidate is moved to the appropriate hiring stage. Remaining candidates are moved to the Talent Pool hiring stage where they kept for review for future or other jobs. The job is closed.
