Thank you for your interest in Deer Lodge. We would like to take this opportunity tointroduce you to our lodge-part of the Canadian Rocky Mountain Resorts family.

In 1921, tourism to the Canadian Rockies was booming. A log teahouse was opened by one of theearly guiding families just behind Chateau Lake Louise. It was a few minutes stroll from the lake and quickly

became a popular gathering spot for visitors.

Over the years, the teahouse was renovated and restored to become Deer Lodge, an ideal location for small weddings and family functions. The charming former teahouse provides all the conveniences and facilities

necessary for a dream wedding.

Attached is our wedding planner package complete with room descriptions, room rental fees, and menus. If you require additional information, or have any questions, please contact us directly. It would be our pleasure

HELPFUL HINTS TO MAKE YOUR WEDDING A SUCCESS IN THE CANADIAN ROCKIES

The weather here is known for its drastic, unpredictable changes. It is recommended to have a back up plan in the event of snow or rain if you are planning to hold your Ceremony out-doors.

You are welcome to hold your Ceremony in the same room as your reception/dinner. After the Ceremony we ask that your guests depart the room in order for our staff to successfully complete the room set-up and keep the dinner running on time. Two and a half hours are required to change the room from Ceremony to Reception style set up.

Your function room will be set-up with the appropriate tables, chairs, linens (white) and set-tings. The Lodge is very unique in the aspect that decorations are not needed. Simple flowers and candlelight are all that you need to enhance the atmosphere. All rooms are tastefully decorated and offer natural lighting, art or other decorative wall hangings.

It is strongly recommended to offer hors d’oeuvres to your guests during a Reception period, especially if a host bar is in effect.

Upon booking, the Conference Manager has various names of photographers, DJs, florists, etc to help you get on your way. The Bride and Groom are responsible for the booking of these services.

After helping you select the room that is suitable for your special day, the Conference Man-ager will assist you with the menu and wine selections.

You will receive complimentary access to the hotel and hotel grounds for pictures. If you are interested in capturing the gorgeous Lake Louise snow in the winter, please remember to wear suitable foot wear.

WEDDING POLICIES(Please review carefully)

ACCOMMODATION:A minimum of (20) twenty guest rooms is required to be booked from January to April and October to November. From May to September and December, (60) sixty rooms must be booked. Accommodation type and style is subject to availability. If the wedding ceremony is scheduled before 4 pm it is strongly suggested that the immediate wedding party be registered in the hotel the evening before the wedding. We will not guarantee occupancy of hotel rooms prior to 4 pm.

A ROOM BLOCK WILL BE HELD UNTIL 60 DAYS PRIOR TO YOUR FUNCTION.Your guests are welcome to call our Central Reservations line at 1.800.661.1367 to make their reservations. Any rooms not reserved by this time under the block will be released and availabilitywill not be guaranteed. All blocked room rates will depend upon the time of year they are reserved.

DEPOSITS:A $2000 non-refundable deposit is required at the time of booking to secure function space when booking within a year.

CEREMONY RENTALS:Prices are non-negotiable. Includes all set-up necessary – tables, chairs, table linens (white only), and table settings.Mount Fairview Room $250 plus GST(if already hosting reception in Mount Fairview Room)Front Lawn $250 plus GSTPatio (May – September) $2500 plus GSTPatio (April, October & November) $250 plus GST

The function room will be available 12:00 pm the day of the function for decorating.

*Please note: Two hours are required to change the room from Ceremony to Reception style set-up. Access to the room is limited to hotel employees only during this time.

Deer Lodge is not responsible for damages to or loss of any article left in the hotel prior to, during or following any function by the customer or his/her guests. Should damages occur in a function room or a guest room due to the negligence of member or the wedding group, an assessment of damages will be made. The couple will be notified and payment will be due upon the assessment.

All accounts are to be paid in full upon check out, unless otherwise stated on the contract.

All function requirements must be confirmed by Banquet Event Order 45 days prior to arrival.

Should changes be required, the Lodge reserves the right to charge subsequent fees.

Please note that music must be kept to a minimum noise level for the consideration of other guests. Deer Lodge will reserve the right to restrain or end the music if complaints are received. Deer Lodge may specify guestrooms that must be booked in order to reduce noise complaints.

In the event the hotel has to discount room rates or provides complimentary rooms to hotel guests because of noise complaints, these charges will be added to the wedding master account upon departure.

WEDDING POLICIES(Continued)Entertainment must be pre-approved by the Lodge and conclude by Midnight. All live orrecorded entertainment is subject to a SOCAN (Society of Composers, Authors and MusicPublishers of Canada) and Re:Sound charge. These are automatically applied to functioninvoices. SOCAN – 20.56 plus GST (without dancing), $41.13 plus GST (with dancing)Re:Sound (1 to 100 people) – $9.25 + GST (without dancing), $18.51 + GST (with dancing)Room drops (gift items in guest rooms) will carry a charge of $1.50 per room per drop, plus 5% GST.FOOD AND BEVERAGE:

Hotel policies and Alberta Liquor licensing prohibits guests from consuming their own wine and/or liquor in our function rooms. Host bars, cash bars and ticket bars are only permitted (no toonie bars). Deer Lodge will be the sole supplier of all food & beverage (with the exception of a wedding cake).For all menu selections a guaranteed number of guest meals must be confirmed seventy-two (72) hours in advance. Charges will be applied to the guaranteed number or the actual number whichever is greater. A gratuity of twenty percent (20%) will be added to all Food & Beverage service.There is a cake cutting and plating fee of $2.00 per person plus 20% gratuity plus GST. This charge will be applied to all “cake” items, this includes cupcakes, cake pops etc.Buffets are set for a maximum of 2 hours.All food and beverage planning is required 45 days prior to the date of the wedding. In the event, confirmation has not been received, the hotel reserves the right to choose the menu based on the individual’s budget requirements. All prices are subject to change without notice; however, DeerLodge will guarantee prices forty-five (45) days prior to the function. A service charge of 20% will be added to all Food and Beverage Services. All prices are subject to the 5% GST.Additional Meals: We strongly recommend that you advise your guests of the menu selected, in order to accommodate for food allergies or dietary requirements. If there are any unexpected meal changes or dietary requirements that have not been prearranged an extra charge of $35 per meal will apply plus service charge. Guest names and their specific dietary requirements must be forwarded to Conference Department at the time of planning. A selection of main courses for plated meals may be offered to your guests. Selections are limited to three choices, including a vegetarian entrée. There is an additional cost for more than one entrée choice. Place cards are required to designate main course selection to the banquet staff and are to be provided by the client.If you are unable to provide an exact count for each main course selection, a charge of $6.00 per person will apply.FOOD TASTINGS:

Available to guests who have their wedding booked with a contract signed and deposit paid.Wedding Tastings can be accommodated on Sunday afternoons between the hours of 1:00pm – 4:00pm in the Main Dining room, subject to availability. All food selections need to be provided to the Conference Coordinator 2 weeks before your tasting is scheduled, if the menu has not been provided at this time the lodge cannot guarantee your options can be provided. You are limited in the number of options you can select for your tasting, please choose the following:

Plated Meal - 2 x Starters (Soup & Salad) - 2 x Main Courses (including a vegetarian option) - 2 x Starches - 2 x Desserts

All food and beverage consumed at the tasting is to be paid in full prior to departure.

The Food Tasting is subject to an automatic 20% gratuity.

The Lodge cannot open Banquet wine to sell by the glass for tasting. Banquet wines will be sold by the bottle, if available, at the time of the tasting.On the day of your wedding you will receive 50% of the food cost from your wedding tasting back as a credit up to a maximum of $50.

PAYMENT AND CANCELLATION POLICY:Payment:1. The deposit shall be paid at the time of booking to secure function space. The deposit shall be credited towards the final billing. This initial deposit is non-refundable.2. All wedding events will receive an estimate from Deer Lodge. This will include all expenses affiliated with the event day (i.e. F&B, Room Rental, Guest Rooms).From this estimate the lodge requires a collection of a non-refundable 50% of the total, 2 months prior to the event date. The remaining non-refundable 50% of the estimate is then collected 7 days prior to the event date. In the case of over estimating, the lodge will then refund the remaining balance. Final balance is to be cleared upon departure.

Cancellation:1. Weddings cancelled 60 days prior to the event will lose the advanced deposit. The deposit may be held for one year for a future reservation.2. Weddings cancelled 30 days prior to the event will lose the advanced deposit and will be charged 50% of the estimate.3. Weddings cancelled 7 days prior to the event will lose the advanced deposit and will be charged 100% of the estimate.

MOUNT FAIRVIEW ROOMMain level, 20 ft peaked wood beam construction, supporting posts & beams within the room 9 ft from ground. Adjoining outdoor patio, adjoining lounge & bar, surrounded by windows, which provides natural lighting, mountain views, in room serving station.

MOUNT FAIRVIEW ROOM AND CARIBOU LOUNGE Caribou Lounge is an original 1921 log cabin tea house, so has a special & cozy atmosphere. It can only be rented with the adjoining Mount Fairview room. Log cabin construction, in room bar, provides natural day light. Adjoining gallery remains open to guests for dining.

MOUNT FAIRVIEW ROOM, CARIBOU LOUNGE AND GALLERYCaribou Gallery is a partially separated section of the Caribou Lounge and is available for rent only with the Mount Fairview Room and the adjoining Lounge.

ALBERTA MARRIAGE LAWSPrior to being married, couples must obtain an Alberta Marriage License from a registry in the province of Alberta. It is valid for 3 months from the date of issue.

OBTAINING AN ALBERTA MARRIAGE LICENSEThe Bride and Groom need to provide the following information:- Proof of Identification- Full name of father, birth place of father- Maiden and full name of mother, birth place of mother- If divorced, Decree Absolute- If Widowed, Death Certificate of former spouse

Two witnesses of at least 18 years of age are required for the ceremony. It is not necessary that the witnesses have prior knowledge of the couple being married. Deer Lodge is able to provide witnesses at a cost of $100 per witness for their services.

DEER LODGE DIRECTIONS Deer Lodge is located just a 5 minute walk from Lake Louise itself (2 hour drive from Calgary International Airport).

Take the only exit into Lake Louise (Lake Louise Drive). Go South towards the town (away from the ski hill). Follow the road 4km all the way to the top of the hill, heading toward the lake itself. Deer Lodge is the last lodge on the right before reaching Fairmont Chateau Lake Louise and beautiful Lake Louise.
