Here is a detailed bid for your request for a mowing proposal dated March 01, 2010. Your secretary, Mrs. Jones, gave us all the information we needed to know about your proposal.
We have been serving the community of Augusta for over ten years. Our past experiences with different clients throughout the city ranging from home owners, small businesses, and local institutions strongly reflect our capabilities. Our strong connection to the community around us shows that we have a clear understanding of the needs of our city.
We have put a lot of effort into making a detailed bid for you along with a reasonable price. This proposal provides a project summary, scope details, a cost estimate, a proposed schedule, and information of our site managers. The total cost for this project would be $2880.

PROJECT SUMMARY
We will do mowing in three locations: Route 24 median and sidings, Willoughby Park, and Augusta Memorial Golf Course.
Our approach to every project we take is fairly simple, and can be broken down to five steps:
1. Survey of the area 2. Site preparations3. General Sweep4. Polish up 5. Clean up
We charge $16 per labor hour. This will cover vehicle and equipment maintenance, gas, site cleanup, and other company expenses and services. We will be working three days a week, three hours a day. The estimated labor hours each month is 45 hours. The total number of labor hours for all four months is approximately 180 hours. Estimated total cost for this project is $2880.
We are collaborating with Willoughby Park manager, Mr. Ladd. We constructed a tentative schedule of mowing plans in hopes to avoid disrupting park events, or disturbing families within the park. We also talked with Augusta Memorial Golf Course’s head manager, Mr. Mills, and scheduled our mowing times around and between different golf tournaments.
We value safety and responsibility. Part of our work philosophy is not only to deliver excellent results to our customers, but to also make sure that we do it safely and efficiently. Therefore, maintenance is a necessity and important in what we do. Not only do we foster safety, we also encourage our employees to be model citizens in and out of work.

PROJECT SCOPE DETAILS
Procedures
We have a systemized approach to every project we take. Here are the details of all that we will be doing:
I. Survey – We first send our surveyors to find out how big the area is, and what type of land we are working on. Our surveyors also take pictures to send back to us. This will help us get an idea of what we have to do and what equipment we will be using. After studying all the data, we divide the area into sections for our crew to work on.
II. Site preparations – For the safety of not only the public but also our workers, we always set up caution signs and cones to let civilians know that we are mowing. For example, cones and signs will be placed along Route 24 median and sidings 500 yards before the work site. These signs will be visible in both incoming traffic directions. For potentially crowded areas like Willoughby Park and the Golf Course, we always set up signs and mow from a safe distance away from the public.
III. General Area Sweep – Since we are dealing with large amounts of land, we will be using a tractor mower to clear up Route 24. However, for sites like Willoughby Park and Augusta Memorial Golf Course, we will be using zero turn mowers instead. Zero turners will be used to get a general clearing of the area.

IV. Polish Up – After we finish getting a clearing, two or three workers will get the smaller spots that we could not reach with our zero turners. We use bush cutters or lawn mowers to get those unreachable areas.
V. Clean Up – Finally, we gather the excess grass up in plastic bags and throw them away. We use leaf blowers to clear up the sidewalks. We also take the time to pick up any trash that may be left around and make sure that the area is clean.
Safety and Equipment
All of our employees are supplied with a uniform, a company jacket bearing our logo, ear plugs and safety glasses. Radios are supplied for communication. However, employees must buy their own boots, gloves, work pants, and face shields. Under company policy, all our employees are expected to maintain their safety gear and equipment. Vehicles also go under periodic inspection and maintenance.

Employee Policy
As required by Augusta law, Article 34.1.2, all employees go through a background check before being hired. Since we operate vehicles, employees are required to have a clean record with no history of DWI. Additionally, consuming alcohol on the work site is strictly prohibited.

COST ANALYSIS
We will be working three hours a day. We only charge for what we work. You will not be billed for rain days or off days. If the project ends earlier before September 30th, costs will be recalculated to match the total hours we worked.
We charge $16 per hour, which covers for:

PROPOSED WORK SCHEDULE
Here is a potential work schedule. The highlighted days are our work days. Under the guidance of Mr. Ladd and Mr. Mills, we worked our schedule around park/golf events in order to avoid disruption or schedule conflicts.
