For Group IDs:

Using Manager Self Service for On-Line Edit/ReviewTime Management>Report Time > Timesheet (for review and all manual changes to timesheets)

1. Open your employee timesheetsa. Enter one Group ID in Group ID Field.b. Enter your pay period end date in Date Field.c. Click “Get Employees” or “Refresh”

**You will not see yourself in this list. To view your time, you must review through Employee Self Service**2. Review Employee Punch Data

a. Click on First Employee.b. Review employee timesheet for completeness.

i. Check for daily clock in, begin meal, end meal and clock out times for each day.

ii. Where punch data is missing, obtain a Time Keeping Change Form from employee authorizing a manual change to the timesheet.

iii. When entering punch data, make sure you designate A.M. or P.M.iv. When additions/changes are complete, click “Submit.”v. Click on “Next Employee” to edit/review next timesheet.

3. Add Employee Leave or other elapsed timea. At the bottom of the timesheet, click on the link “Elapsed Timesheet”

b. At the top of the Elapsed Timesheet, for employees with any type of leave, it’ll say benefited Job.” If you don’t see this label, you are probably in a secondary job.

c. Click “Previous” or “Next Employee” to get to the Benefited Record.d. Add the Vacation, Temporary Leave, PSC or other elapsed time to the elapsed time

sheet. Enter actual hours, and then enter the appropriate pay code. Each pay code needs its own line – use the “+” sign on the far right to add a row; use the “-“ to delete a row.

e. Click Submit and then either move to “Next Employee”, return to “Punch Timesheet”, click “Return to Select Employee” or exit.

Manager Self Service>Time Management>View Time>WPS MGR Reported Time

1. Open your employee summaries a. Enter an employee id or group id.b. Click on the employee id in the table.c. Review Employee Reported Time Information

i. Recent time period totals – gives you the rounded time per week.ii. All reported time – gives you a rounded total per day.

View is particularly useful for tracking rounding issues during a week.

f. Click the View Timecard link (it defaults to the current week)iii. This view gives you actual punch times and what each day rounded to.

A. Enter any day within the week you’d like to review 1. Click Display Reported Time2. The employees will populate alphabetically, show their Job Title, Pay Group,

Standard Hours, Rounded Hours, and the Difference.

3. Errors on the Timesheet for each employee will reflect at the bottom of the page. They will clear automatically when the timesheet has been corrected.

Using Time & Labor>ReportsA. Set up Run Control, which is a onetime set up.

1. Type in your Run Control ID, typically first initial and last name.

2. Click Add a New Value and then Add

B. WPS Time Card1. Enter From and Through Dates. If you want to print one week time cards, enter

beginning and end for week one. You’ll run the report a second time for week two.2. Run time cards by employee id or group id. If you run by employee id and that

employee has multiple jobs, each record number must be added (use “+” at the end of the row to add another row).

3. Select the Server Name (PSNT), Type (Email), Format (PDF), and click OK. You will receive the report emailed to you.

4. Employee time cards for either one week or the pay period are printable. Employees could make changes on this report and submit for corrections, if you prefer this method to using the Time Keeping Change Form. Supervisor should also initial changes.

5. These reports can also be used for Supervisor Review. Hours worked should be compared to Standard – if less, leave should be submitted. If more, OT will be paid. PSC, Hazard Pays and other codes should be excluded when comparing hours worked to Standard.
