What is a successful club and what do these clubs do?

Creating a frame work to help volunteers in sports clubs2 types of clubs:

- Successful ones- Those who want to be successful

Fundermental questions :

What is leadership?- At most clubs the expectation is the committee does all the

work, but this is not leadership- Leadership is about social influence- Definition of leadership at sport clubs:

- The more people working towards the goal, the faster and more easily the goal will be achieved

- In a leadership role, most of your time should be taken up by talking to others- “Nothing is impossible to those who see the invisible” – Nova Peris

o Leaders are able to define and see the futureo Clear vision of what success looks like, others can’t see ito Set goals

What is a successful club?- Complex discussion- Achieve goals , over time- Supports the community, if not the

community will stop supporting the club- Over a period of time

o In that it is from committee to committee, from volunteer to volunteer

o information gets passed on from person to person to person

- Less about a person and more about the structure, and ability of the person in the role at the time

Characteristics if successful Clubs

- Leadership and culture (values) come first and then the rest, is the application of that.

LEADERSHIP AND CULTURE

1. Clearly defined and measurable objectives - Very close to most important- Not ‘what’ are the goals are but do you have them and

are they clearly defined- Coming up with the areas to focus on is easy. Difficult

side of this task is: o Are they measurable with a date?o Are they clearly defined?

- If they aren’t defined, people don’t know how to help - Simple and effective:

2. Responsibility for the planning and delivery of the objectives to be delegated to specific roles, individuals and sub committees outside the committee

- Hard for clubs to get their head around- The committee don’t do the work , they oversee the work

being done- The committee inspire others to do the work while the

committee oversee the project/work being doneo They delagate to those with the skills, passion and

knowledge- Example: JFK wanted to get America to the moon. They delegeted the work to NASA

o Who is your NASA? - Once you delegate the work to others, the role of committee changes from operations to

insuring that the club stays on track (ie strategic)

3. Clearly defined strategies and implement plans on how each objective will be achieved

- Plan before you do / think before you do- For each goal there are:

o Clearly defined stratergieso Clearly defined plans implementation

The development of these stratergies and plans are done by the group who has the passion and knowledge for these areas

They report the plans back to the committee to approve and oversee- Need detailed plans at the start- AU Spot operational plan and timeline templates

4. Committee lead and manage rather than do - The committee lead and manage rather than do. - Committee look at where the implantation plan is at

o Committee meetings are just checking to see if the sub committees are on track against the plans.

o If not, what needs to be done to address the issues

5. A club structure which evolves depending on the objectives of the club

- 2 parts to a club:o Operational side (sport /competition side) (little

change from year to year) o Strategic side (evolve will change from to year)

- Club structure will change as your objectives change- Some sub committees will only be in place for the life of a

projecto Ie the development of facilities: design committee, building committee, fundraising

committee, management committee All members of these committees have different skill sets

6. Where numbers and the boarder community actively assist in achieving club goals

- Community – players, supporters, border community - Communication - Leadership – social influence

- Strong connections with the local community (key people and groups within it)o Eg. Fundraising outside of the club

7. A culture of volunteering *Most important key to a club!- Have a culture of volunteering within their club- As many people as posiable involved in the spread of

operational load- Australian Sports Commission: 1 in 4 people would

volunteer at a sports club if asked- The players don’t do anything, they just pay fees and

play (don’t want to do anything else)o Common statement o Ask them to or set an expectation that they must

- Look at the All Blackso Expectation “All Blacks look after themselves”

KNOWLEDGE RETENTION AND GOVERNANCE - Empower those doing the job with information about the job/club

8. Collection, revise and hand over the clubs key information and knowledge

- What information/training do you get?o Most learn on the job

- NOT in successful clubs o Information handed over, is a really important stepo Formal handover processo Get the past committee to tell their story/what was

done/this is how things are done They have learnt from trial and error Learn from others

9. Clearly defined position descriptions and create and used to manage and recruit volunteers

- Use to recruit and manage - This is the task/time/support- Information isn’t lost- Each position within the club - Gives structure - Highlights who is most likely and suitable to do the role- Use in recruiting as it shows the task, time frame, workload

10. Document and highly visible policies and procedures - Successful clubs have taken the time to document policies and

procedures - Used by new committees and people to the club- Good way to do two things:

o Keeps knowledge in the clubo Define the behaviour you want

- Define positive behaviours- Can then inducted people into the policies, behaviours,

cultures as they are written down

11. Strong financial management and reporting - Manage finances well (doesn’t mean they have lots of money)

o Moneyball * example - At each meeting, treasurer should/do report cash

flow/budgets- Discussion about controls about how much money at the end

of the year / how you are travelling from month to month

COMMUNICATION AND RELATIONSHIP MANAGEMENT- Leadership is about influencing the group and the way to do this is by communication

12. A welcoming and inclusive culture which creates a strong sense of belonging to the club

- Not just about those who have already brought into the club (players) but their friends and family

o Why? Because they will help the club achieve the club’s goals

- Increasing the pod of people to help achieve goals- Direct and indirect participants

13. Strong relationships with stakeholders- Within and outside the cub - Identify who the key people are within the community - It’s about the relationships/relationship

building/selling the dream/selling the vision of the club

- Important teams are:o committee team o communication team

- Successful clubs understand that you need to invest time in relationships

14. Community strategy which engages past, present and future audiences

- Not many clubs engage with past players/memberso Past/supporters/sponsors/members love the

club equally - Biggest audience is their future audience - Communication strategy needs to focus on past,

present and future memberso Message will be differento Communication means maybe different

15. Have up to date website, newsletters and social media presence

- Leadership is about communicationo Word of mouth still the most powerfulo Website (should tell you how to connect to

the club)o Newsletter (weekly or monthly/or at the end

of the season) o Social media (is going to change and need to

change with it)

16. Positive reputation within the community Q: So how dose the community perceive your club?

- Successful clubs have great reputation within the community

- Spend time working on this

17. Ensure the social and competitive needs of all participants (not just the elite) are met

- The sport side of the club - Most join a club for the social side, not the

competitive side- Social players (ie non elite) still want access to

coaches, opportunity to develop their skills

18. Strong pathways between schools – juniors – seniors – master

- Throughout the life of the participant in the sporto Investigate all areaso So you don’t lose members o Develop and transition members to the next

step/stage of their involvement Introduction program through to masters All areas equally supported

19. Significat focus and investment in the development of :- Players- Coaches - Officials- Volunteers

- Need to foucs on the devlopment and training of volunteers

o Volunteers create the foundation for clubs to achieve club goals

Questions addressed at the end of the session:

1. Can’t get volunteers/committee to do the work?- 4 step process to get volunteers

1. Define what needs to be doneo Define the behaviour you want

2. Document it3. Communicate, communicate, communicate!

o Reminded 5 – 7 times o Reinforce the behaviour

4. Positive reinforcement- Now and then, may need negative enforcement- What are the consequences?

2. How do you overcome people holding onto power and not passing on information?- Cultural thing- Set it as an expectation – That you will get information and you will need to pass it on.- Knowledge management is often the job of the secretary- Set an induction period- Doesn’t have to take a lot of time, it will actually save time.

3. Strategies to recruit volunteers- Look at both the operation and strategic side of the club:

Operational sideWhat do you want them to do?

- Match day rosters- Put it back onto those rostered on (ie if

you can’t make it, You find a fill in)- Jobs that they don’t want to do, make it

social by getting a few people to do it- Set the expectation: we are a club run by

members, for members so members must contribute

Strategic sidePlan and define

- Skills sets needed will come obverses through planning and defining tasks

- Look at skill set needed- Link people to those roles based on

skills they have
