    Year 6 School Walkthroughs

    The 2008-2009 school year represents the sixth year of Core Curriculum implementation in theNew York City schools.

    Materials for the Core Curriculum are provided by 15 vendors. These 15 vendors ship toapproximately 1,400 drop-ship locations throughout the five boroughs; we anticipate nearly300,000 boxes to be delivered this year as part of the initiative.

    Why are the school walkthroughs important?

    Each ISC representative will collect valuable school information during the walkthroughs. These results are criticalfor a smooth school opening and are utilized throughout the DOE:

    Information gathered during walk through Office(s) the information is shared withProgress of Core Curriculum distribution Integrated Service Centers and Centraland unpacking

    Urgent facility issues Division of School Facilities (DSF)

    Details about computer and telephone Division of Instructional Information Tech.(DIIT)

    2008-09 School Walkthroughs

    Timeline

    Monday April 7 th through Friday May 16 th

    Schools placed and approved their orders for materials using the Core Curriculum ordering application in the FAMIS webportal.

    Monday July 14 th through Friday August 1 st

    Deliveries made to the schools during a three-week delivery period.

    Monday August 4 th through Friday August 22 nd

    In the three weeks following delivery, custodial staff are moving the boxes into the classrooms as designated by

    administration. Schools were encouraged to unpack boxes as they come in.Tuesday August 5th

    Pre-register for Walkthrough web casts at http://www.learningtimes.net/nycdoewalkthroughs . Pre-registration isrequired. Follow registration instructions for technical checks to ensure your computer is ready for the web cast.

    Tuesday August 19 th and Thursday August 21 st Live online web casts to provide training on 2008 walkthroughs. Be sure to pre-register. Login according to the

    confirmation email you will receive after pre-registering.

    Bronx and Manhattan ISCs - Tuesday, August 19 th at 10:30 am Brooklyn, Queens, & Staten Island ISCs- Thursday, August 21 st at 3:00pm

    Monday August 25 th through Friday August 29 th

    ISC staff conduct walkthroughs and submit survey information through online Walkthrough survey tool.

    Tuesday September 2 nd

    First day of school for all schools and grades.

    Year 6 School Walkthroughs

    Preparing for a walkthrough: Prior to school visit (1 of 2)

    Step 1. Pre-Register for Walkthrough Web cast

    The Department of Education is providing live online web casts for training on the 2008 Walkthroughs. Pre-registration is required so be sure to pre-register at http://www.learningtimes.net/nycdoewalkthroughs . Pre-register by Monday, August 18, to ensure ample time to conduct any necessary technical checks on your computer.

    Step 2. Tune in for the Walkthrough Web castTune in during your designated time slot with the login confirmation email you receive after pre-registering:

    Bronx and Manhattan: Tuesday, August 19 th at 10:30 am

    Brooklyn, Queens and Staten Island: Thursday, August 21 st at 3:00 pm

    Step 3. Review your walkthrough schedule and notify Principals

    Each ISC will develop its own walkthrough schedule. Be sure to schedule schools that are just completingconstruction for the end of the walkthroughs week , to ensure that the school is ready to be evaluated. Pleasereview your list of schools and addresses prior to the actual visit. Please notify the location Principal of when youwill be conducting your walkthrough.

    Step 4. Visit the 2008 Walkthrough applicationThe 2008 Walkthrough application is located at: http://dfoforms.nycenet.edu/walkthrough . Note that thisapplication is on the DOE intranet , and should be accessed from a DOE-networked computer for full functionality.The application will open Monday, August 25, 2008 at 9:00 am.

    Step 5. Print the school specific walkthrough checklist from the DOE intranet Visit the 2008 Walkthrough application and print the survey checklist for your locations. These checklists willguide you during your walkthrough and includes space to record your results. While the questions are thesame for all schools, each school has its own school-specific checklist that is pre-populated with schoolinformation (school address, name, phone number, Principal on record, grades contained, etc.) Be sure to printout the specific checklist for every school you are visiting! [ See Walkthrough Application ReferenceGuide (Pages 9-17) for step-by-step instructions. ]

    Step 6. Confirm printed walkthrough materialsBefore your visit, be sure that you have copies of the following to bring with you:

    - the school-specific checklist (retrieved and printed from the 2008 walkthrough application)- the Principal Flyer

    - parts of this presentation for reference

    Conducting a walkthrough: The school visit

    Step 1. Meet the Principal and Custodian

    The Principal and a custodian should participate in the school walkthrough with you. They will havevaluable insight regarding the schools facilities and unpacking status.

    Step 2. Perform the walkthrough

    Use the school-specific checklist you printed out to guide you during the walkthrough. Visit as much of the school as you can to gather the most complete information as possible. Mark the answers to the walkthroughquestions on your print-out most of them will be multiple choice-type questions.

    Step 3. Leave the Principal with Core Curriculum informationPlease give a copy of the Core Curriculum flyer to the Principal and encourage him/her to contact the

    Response Team if they have any Core Curriculum questions or need to order additional materials. Principals canview their schools completed checklist by logging in to the Core Curriculum application within the FAMIS Portal.Details regarding this as well as the link are on the Principals Flyer.

    Step 4. Complete the walkthrough checklist and Submit Responses OnlineOnce you have completed the checklist, please enter your results in the online Walkthrough Application

    as soon as you return to your DOE computer. [ See Walkthrough Application Reference Guide (Pages 15-17) for step-by-step instructions. ] All survey results must be submitted online the same day that the walkthrough isconducted.

    The building checklist

    Please try to complete this section by askingschool staff to give you honest answers to thebest of their knowledge with regard to these

    facilities-related question. We will later comparethese results to DSFs building readiness data.

    #3: Please be as objective as possible inassessing whether rugs/carpets are damaged or

    clean.

    #6: Critical problems may include anythingthat poses a threat to the safety of children,

    e.g., severe roach or rodent infestations, leakyroofs, collapsing ceilings, exposed wires.

    If you believe that a building is not ready toopen, discuss the reasons for this with your ISC

    Executive Director first , before submittingyour survey results . An answer of no to

    this question should have the consensus of yourExecutive Director.

    Walkthrough Application Reference Guide: Log In

    All users must first create a new account! Even if you created an ID for walkthroughs last year, you still mustcreate a new one. Enter your desired User ID and click Create New Account . (See the next slide forinstructions.)

    After creating a new account, use the User ID and Password for the rest of the walkthrough.

    Walkthrough Application Reference: Entering a location code

    After logging in, this will be the first screen you see.

    Enter the location code for the school you wish to retrieve in Data Entry School Lookup . All location codesbegin with the borough and are followed by a three digit school number . Please remember that school numbersmust be three digits long (i.e. PS 2 in Queens is Q002.)

    * If you do not know a schools location code, you can use the Building Search option. Just enter theinformation you know (school name, principal, etc.) and the application will supply you with that schoolinformation and location code.

    Once you have entered a location code in Data Entry School Lookup , you will see a brief summary about theschool.

    Click on Print to bring up a printer-friendly copy of the school-specific checklist. (Do not select CompleteSurvey until after you have conducted the walkthrough! You can only enter survey results one time, andcannot make changes once your results are submitted, so only click Complete Survey when you are ready toinput your answers.)

    After you have conducted the walkthrough, SUBMIT the survey results ONLINE by the end of the same day .

    To submit survey results, go to the Walkthrough Application ( http://dfoforms.nycenet.edu/walkthrough ) on the DOEintranet and login.

    Look up the appropriate school in the Data Entry School Lookup.

    Click on Complete Survey.
