WHO IS EEF? The Elkhart Education Foundation is a non-profit 501(c)3 organization that serves Elkhart Community Schools, Elkhart County, and beyond. EEF's mission is to ignite the power of community, connect generous hearts with education, and provide the resources needed for EVERY child to excel inside and outside of the classroom through extraordinary learning experiences. PROGRAM MISSION AND GOALS The mission of Summerscape Day Camp is to provide a high quality, summer learning program for students in grades 1-6. Providing a safe place that allows each camper to increase their self-confidence and self-esteem while they learn and have fun is the main priority. Camp staff will aim to help campers develop new friendships while introducing them to new activities, ideas, and experiences.

SUMMERSCAPE STAFF Camp Directors for the 2020 season are Kyle Sears and Nina Swartzlander. In consultation with the Executive Director of EEF, the camp directors are involved extensively with the planning, organization and decision-making of Summerscape Day Camp. The directors are expected to serve as an appropriate role model for the campers in their care while also providing proper supervision and monitoring of all camp activities and other camp staff. They hold a current administrator’s license, CPR/AED, First Aid certifications.

Lead Teachers are certified k-12 instructors and they are responsible for implementing programs and fostering positive experiences for the children that attend Summerscape Day Camp. They are also responsible for the general safety and development, growth, and skill achievement of the campers in their class. Lead Teachers must provide high quality educational and recreational experiences for campers while also focusing on the core values of caring, honesty, respect, and responsibility. Junior Counselors are highly recommended high school and college students who assist lead teachers and actively participate in all aspects of the campers’ day. They are responsible for learning the likes and dislikes of each camper as well as helping to encourage respect and to set good examples with all campers. In addition to the above staff a School Nurse and a Parent Liaison will be on site to serve parents and students. Camp Staff will wear a purple or light blue shirt to make it easy for parents to identify them.

TIMES Camp themes change each week but the schedule will remain the same each day.

BEFORE CARE AND AFTER CARE Before Care and After Care are available for all campers free of charge. Pre-registration is preferred so we can staff accordingly. If you did not pre-register for Before/After Care during the registration process, sign into your Active Network account to make changes. You may also contact the Summerscape office directly.

TRANSPORTATION INFORMATION Transportation on the ECS school bus is only available for students of Elkhart Community Schools (ECS). School buses will run from/to all 14 ECS elementary buildings. If you need transportation for your ECS student, reserve a seat by responding to the transportation questions on the registration form. ECS buses will only run in the morning and at the end of the day. With this in mind, students registered only for the morning or afternoon session will need to find their own transportation to/from North Side Middle School at midday. However, they can ride the bus at the beginning or end of the day. Transportation on the ECS school bus is not available for out-of-district students. HOW TO SELECT CAMPS We offer a variety of camp themes that start on Monday and end on Friday. Select the half-day (morning OR afternoon) option or the full day (morning AND afternoon) session for your camper. Please notice that the 2020 camp schedule offers 4 options in the morning and 4 options in the afternoon.

● To register for the half-day option, select one camp theme in the morning or one camp theme in the afternoon for a total of one camp per week. You may select multiple half-day themes and switch between morning and afternoon. For example, in Week 1 you may choose a morning theme but in Week 3 choose an afternoon theme.

● To register for the full-day option, select one camp theme in the morning and one camp theme in the afternoon for a total of two camps per week.

When selecting camp themes, you may combine both options for your camper. For example, in Week 1 you may choose a morning theme (half-day), in Week 3 choose an afternoon theme (half-day), but in Week 4, 5 and 6 choose a theme for the morning and afternoon for a full-day option.

WEEKLY TUITION Summerscape is Monday-Friday from 8:30 a.m. - 3:30 p.m. The weekly cost includes Before & After Care, a camp t-shirt, snacks, camp supplies, and field trip fees.

● Half-day option is $95.00 per week per student (one camp per week) ● Full-day option is $165.00 per week per student (two camps per week)

Notice that registering for the full-day option saves an additional $25 per student each week.

SNACKS AND LUNCH Snacks will be provided to all campers and a hot lunch will be provided to all full DAY campers. Breakfast is not available. Your child is allowed to bring his/her own snacks and lunch. Please ensure the lunch bag is properly labeled with your camper’s name. Also, please make sure Summerscape Staff has a list of known food allergies for your camper on file.

ECS EMPLOYEE DISCOUNT Employees of Elkhart Community Schools are entitled to a 50% discount per child. Contact a Camp Director, an EEF staff person, or your EEF Building Representative for the 50% coupon code. Employees may complete the registration without the coupon code. This discount cannot be stacked with other discounts. Contact EEF for assistance.

SIBLING DISCOUNTS Receive an automatic discount when you register multiple siblings. This discount can be used in conjunction with other discounts.

● 10% off the 2nd sibling ● 15% off the 3rd sibling ● Free for the 4th sibling

MULTI-SESSION DISCOUNTS Registering for the full-day option (a camp theme in the morning and afternoon) saves an additional $25 per student each week. This discount can be used in conjunction with the sibling discount.

SCHOLARSHIPS Summerscape is able to offer two distinct scholarships for campers.

● General Scholarship: recommended for non-Title I ECS students and out-of-district students. Typically awarded as partial scholarships.

● ECS Title I Scholarship is a full scholarship for students attending a Title I

school within Elkhart Community Schools. While there are no restrictions in regards to attending half-day or full-day camp, we highly encourage Title I students to attend the full-day camp because ECS school buses will only run at the start and at the end of the day. In addition, preference will be given to full-day ECS Title I students.

Both scholarship types are considered on a first come, first served basis. However, you are highly encouraged to apply before May 1st. After the review process, scholarship funds are applied to your account. You will receive an email confirmation. You may inquire about the status of your request at any time. If you need in-person assistance with registering and applying for these scholarships, contact the Camp Office immediately.

ONLINE REGISTRATION PROCESS Summerscape uses Active Network as our camp registration site. The registration link is: www.onecityonemission.org/camp. When you click the link, you will be asked to login or create an Active Network account. Registration requires an email address. Please keep your Active Network password in a safe place. Active Network will not share your password with Summerscape staff. If you registered in previous years, but forgot your email or password, click the FORGOT EMAIL/PASSWORD link on the site.

We recommend that you register as soon as possible. Registration must be received prior to the date your child will be attending camp to ensure availability to attend. Some camps are limited and spots for walk-in cannot be guaranteed. The deadline to apply for a scholarship is May 1st. After answering the registration questions, you’ll complete the registration process by selecting your morning and/or afternoon sessions. As you make your selections, the camps will be added to your cart. Scholarships are not automatically applied. Applications must be reviewed. Expect a confirmation email within 2 weeks to confirm the award amount. If a balance is due, you may pay in full or enter into a payment plan. Discount codes will automatically adjust the balance owed so be sure to enter the discount code to ensure an accurate balance. The first payment is due May 1st.

CAMP MERCHANDISE All campers will receive a free Summerscape t-shirt on the first day of camp. See below for additional camp merchandise items. Sales tax and shipping/handling are included.

If you did not purchase merchandise during the registration process, you'll have another opportunity to purchase at camp, while supplies last. TRANSPORTATION INFORMATION (CONT’D) FOR ECS BUS RIDERS As a reminder, transportation on the ECS school bus is not available for out-of-district students. This information only pertains to ECS students. ECS buses will only run in the morning between 7:45 a.m. - 8:15 a.m. and at the end of the day between 3:30 p.m. - 4:00 p.m. Bus routes will be emailed and posted on the camp website. Bus drivers will be provided with a list of authorized riders. Campers that have requested transportation in advance will be allowed on the bus. One-day passes will be provided on a limited basis. The final bus schedule will be posted on the camp website and emailed to those ECS parents that have requested transportation. See below for additional information for our ECS bus riders:

● Door-to-door service will not be provided. Students will only be picked up from and dropped off at an elementary building located within the Elkhart Community Schools district, specifically your neighborhood school unless other arrangements have been made in advance.

● Students must be at their neighborhood school location before the pick-up times. The bus will not wait!

● Children must follow regular transportation rules to maintain their safety. ● During drop-offs at the elementary school or a release from North Side Middle

School, your child(ren) will not be allowed to walk home unaccompanied unless a “Walk Home Release Form” is signed and returned. See the attached form. You may print a copy on your own or pick up a copy on the first day of camp. We can also send the form home with your student when requested.

● If a parent or other responsible adult is not at the elementary school to meet a camper at the drop-off, your child will be returned to the Summerscape site (North Side Middle School) for After Care, and you (or your emergency contacts) will be contacted. More than 1 return to North Side, because a

responsible adult was not there to meet your child at the bus stop, could result in a loss of transportation privileges.

TRANSPORTATION INFORMATION (CONT’D) FOR CAR RIDERS If your child is not riding the bus, they will be considered a “car rider”. Below is the drop off and pick up schedule:

● AM Car Rider Arrival & Before Care 7:00 a.m. - 8:30 a.m. ● AM Car Rider Dismissal 11:30 a.m. - 11:45 a.m.

● PM Car Rider Arrival 12:15 p.m. - 12:30 p.m. ● PM Car Rider Dismissal & After Care 3:30 p.m. - 5:00 p.m.

If your camper will be a car rider, it’s extremely important that they arrive on time especially on field trip days. If you’re late, your camper could possibly miss the field trip opportunity. Info about arrival procedures When you arrive on Monday, you may park in the parking lot along Lawrence Street and enter at Gate 1 with your camper. Please do not park in the circular drive. If you choose to walk your camper into the building, you’ll meet your camper’s teacher, verify the emergency contact information, sign any needed permission slips, and receive a personalized car tag. Lead teachers teaching camps in the morning will be on site by 7:45 a.m. and our afternoon camp teachers will be on site by 11:45 a.m. If you arrive earlier than the teacher, you can meet the teacher during pick up or expect to receive any paperwork requiring your signature will be sent home. After Monday, camp staff will meet you at Gate 1 for drop off. If you choose to walk your camper into the building, remember please do not park in the circular drive. Park in the parking lot.

Info about dismissal procedures Again, Summerscape uses personalized car tags to expedite the pick-up procedures for car riders. This car tag will be personalized with your camper’s name and the the names of the people authorized to pick up your camper. You will receive this on the first day of camp. Last minute changes to transportation (i.e., “I need to pick up my student early for an appointment today” or “I need to work late. Please send my child to After Care.”) can be communicated to the camp director or lead teacher in a note or by calling the camp office. Info about Before & After Care Drop-off/Pick-up Procedures Enter through Gate 1. You must check your camper in and out during Before and After Care. Your camper will only be released to persons on your emergency/pick-up list. Important info about the pick-up procedure:

● If the person picking up your student does not have a car tag, they must have proper identification and be named on the emergency contact/pick-up list before your child will be released.

● If the person picking up your camper does not have a car tag but is listed as an emergency contact, that person may pick up your camper with proper identification.

● If the person picking up your camper is not listed as an emergency contact, your camper will not be released until a parent or guardian is contacted by phone.

MEDICAL RELEASE FORM A school nurse will be on site. The nurse must have a signed medical release form on file before she can administer Tylenol, Benadryl, or prescribed medications that your camper must take during camp. Before a nurse can administer prescribed medication, the labeling must match the camper’s name and a signed medical release form must be on file. Medical Release Forms are available from any Summerscape Staff including your camper’s teacher. You may also download the form directly from the camp website. Look for the “Camp Form” button.

REFUND/CANCELLATION POLICY Contact the Camp Director to start the process. Refunds are not typically issued for partial weeks but please explain your situation to the Camp Director. If for some unforeseen reason, Summerscape must cancel a camp, we will make every attempt to find a comparable camp theme for your student. Refunds will be issued back to the original form of payment. It takes approximately 7-10 days for Active Network to process a refund to your credit/debit card. Payments made by cash or check will take approximately 3-5 days to process by the Camp Director.

DISCIPLINE POLICY Parents/guardians are expected to review the behavior guidelines with their student(s) prior to camp. The same will be reviewed on the first day of camp. Camp staff will work cooperatively to create an environment which minimizes the potential for inappropriate behavior. Keeping campers actively involved in meaningful, fun activities generally creates an environment in which problems are few and minor. However, when campers engage in inappropriate behaviors, action will be taken.

The following action steps will be used then inappropriate behavior is reported:

● CORRECTION: Campers will be reminded of the rules and asked once again to follow them.

● SAFE PLACE: Campers will be asked to sit out in order to cool-off and calm down.

● COMMUNICATION WITH PARENTS: Serious problems will be reported to the parent/guardian immediately by phone. Small problems will be communicated at the end of the camp day. Parents will also be informed of any “safe place” period administered.

● SUSPENSION/WITHDRAWAL: Serious or continuing problems may result in suspension and/or immediate withdrawal. No refund will be issued for suspension or withdrawal.

The following behavior guidelines have been established to ensure a positive experience happens for all campers:

● Campers and parents/guardians will be provided with information regarding expectations at the beginning of Summerscape Day Camp.

● Staff will work cooperatively to create a positive environment which minimizes the potential for inappropriate behavior.

● Parents/guardians will be contacted in person or telephone regarding inappropriate behavior.

● If the inappropriate behavior persists, Summerscape reserves the right to limit, deny, or suspend a camper from the camp when the health and/or safety of the individual, other campers, or staff is in jeopardy. Decisions of this nature will be based on the following behavioral criteria:

○ Repeated and unresolved behavioral situations that require staff to intervene and take time away from the rest of the campers.

○ Use of inappropriate language, bullying of another camper, fighting, or use of any object with intent to cause physical harm.

○ Behavior that prevents the safe operation of a vehicle, e.g., inappropriate use of a seat belt, moving around while the vehicle is in motion, throwing of any objects.

○ Physical harm or contact to others.

All campers must abide by the following rules of conduct. The following will not be tolerated at Summerscape:

● Bullying. ● Interference with Staff duties. ● Harassment and/or inappropriate or indecent conduct or language. ● Use of illegal drugs, intoxicants, or weapons (anything that can be used to cause

bodily harm). ● Altering or defacing school property or personal property (indoors or outdoors). ● Any other conduct that may jeopardize the safety and well-being of others

FREQUENTLY ASKED QUESTIONS Q: How old does my child need to be in order to attend camp? A: All children who have completed grades K-6 are welcome to attend. Q: What will my camper(s) do all day? A: Watch your email! Camp directors and lead teachers will begin communicating with you at least 1-2 weeks before camp starts. The camp newsletter will contain all of the information you need to know about your student’s weekly camp session. You may receive updates by email and text/SMS messaging. Q: What happens on the first day of camp? A: All campers will meet their teacher and receive a free t-shirt and any camp merchandise ordered in advance. If your camper is a car rider, we encourage parents/guardians to meet the teacher. Be sure to pick up your personalized car tag to be used during pick up. When your bus rider arrives home, look for the walk waiver form. Sign and return if applicable. Q: What should my camper wear to camp? A: (1) Wear play clothes appropriate for the weather and athletic shoes. Please don’t wear anything that is too nice to get dirty! (2) Wear sunscreen (apply sunscreen before camp). Send sunscreen for another application at lunch if the camper is full-day.(3) Your camper may wear his/her camp t-shirt everyday but must wear it on field trip days. Check your newsletter for details! Contact the Camp Office if you’d like to purchase an additional camp t-shirt. Q: What should my camper bring to camp? A: (1) Bring a small backpack with sunscreen, water bottle, bug spray, and sunglasses/hat. Take a look at the camp merchandise to purchase a backpack, water bottle and sunglasses for your camper. (2) Bring a rain jacket or poncho for field trips if the weather calls for rain.

Q: What should my camper not bring to camp? A: (1) No personal items. Leave all electronics, toys, games, cards, and personal items at home. (2) If you require a cell phone to accompany your child, it must be kept at the main desk for your child to use. It cannot be kept in the classroom. No exceptions! Q: Can I request that my camper be grouped with his or her friends, siblings, or relatives? A: Yes, this can be requested. Be sure to select the same camp theme during the same week. Q:Can my younger camper ride the bus and walk home with an older camper? A: Yes. Be sure to sign and return the walk waiver form. Campers will not be allowed to walk home unaccompanied unless a walk waiver is on file. If a parent or other designated adult is not on site, your camper will be returned to the North Side Middle School. Q: How do I know what my child will be doing all week? A: Before the start of camp, a camp newsletter will be emailed and posted on the camp website. Q: What if my student only signed up for one week but had so much fun, he/she wants additional weeks? A: Simply login to your Active Network account to add more camps, see the camp director or contact the camp office by phone or email. Q: Is Before/After Care available? A: Yes, and included in your camp fee. Before Care is available from 7:00 a.m. - 8:30 a.m. and After Care is available from 3:30 p.m. - 5:00 p.m. Pre-registration is preferred so we can staff accordingly but it is not required. Q: What is the drop-off/pick-off procedure? A: Anyone can drop-off your camper. However, pick up requires verification and proper identification. No exceptions. Q: What if I need to pick up my camper early?

A: Contact the camp office or send your student to camp with a note and your contact phone number for verification, if deemed necessary. Make this notification as soon as possible so we can plan accordingly around field trip days. Q: What if I need to drop my camper off late? A: This is not a problem. However, timeliness is important especially on field trip days. Your lateness could cause your camper to miss the field trip. Q: What if someone else will be picking up my student from camp? A: If the person picking up your camper does not have a car tag but is listed as an emergency contact, that person may pick up your camper with proper identification. If the person picking up your camper is not listed as an emergency contact, your camper will not be released until a parent or guardian is contacted by phone. Q: What if my camper is a car rider and I’m running late? A: Please give us a courtesy call to make us aware of the situation as soon as you become aware. We will keep your child in After Care until you arrive. Multiple late pick ups (after 5pm) will result in a fee. Q: What emergency procedures are in place? A: (1) Doors remain locked and can only be entered by authorized camp staff. (2) Campers are always accompanied by a camp staffer. (3) Emergency exit doors are clearly marked for students to follow and staff are properly trained. (4) A school nurse is on staff all day. (5) Radios and first-aid supplies are kept at the main desk, in each classroom, and on the school bus during field trips. (6) Teachers keep a list of the student's emergency contact numbers with them at all times along with the numbers for Elkhart Fire and Elkhart Police. (7) Summerscape is staffed by certified teachers and school staff with current background checks on file. (8) Camp directors are certified administrators with CPR training. Q: What if my child has an IEP or special needs? A: Summerscape is an inclusive environment. Prior to the first day of camp, feel free to schedule a conversation with the Parent Liaison, Tonda Hines. Q: What if I’m new to the district and haven’t enrolled my student into Elkhart Schools? A: You may still register your student for camp. However, transportation and certain scholarships may not be available. Be sure to contact the camp office about your situation. Q: When is payment due? A: Payment in full is due before the first day of camp. Payment plans begin May 1st and are scheduled to end before the first day of camp to ensure payment in full is received. Q: Are discounts available? A: Employees of Elkhart Community Schools are entitled to a 50% discount per child.
