The CCRAS invites sealed quotations from reputed, financially sound and experienced firms for “Purchase o f Colour Digital Copier Machine” in CCRAS hqrs. Office at New Delhi:-2. General information about the tender:-

3. The Tender shall be submitted in two bid system, technical bid and financial bid:-i. Technical bid (as per Annexure-I) consisting of all technical details; andii. Financial bid (as per Annexure-II) indicating item-wise for the items mentioned in the

technical bid.Technical bid and the financial bid should be sealed by the bidder in separate covers duly

superscribed and both these sealed covers are to be put in a bigger cover which should also be sealed and duly supersubscribed “Purchase o f Colour Digital Copier M a c h i n e The sealed Tenders may be put in the Tender Box placed on the 2nd floor near in the chamber of Deputy Director (Admn.), Room No. 222, CCRAS or by post at the aforesaid address by due date and time. Tenders received late will be rejected outright.

4. The tenders shall be subject to the following conditions:-i. The rates should be firm for a period of six months from the date of opening of tender

and should be given in the enclosed format regarding “Purchase of Colour Digital Copier Machine”.

ii. Each bidder should submit an EMD of ? 10,000/- (Rupees Ten Thousand only) alongwith the “Purchase of Colour Digital Copier Machine” as mentioned Annexure-I. EMD should be in the form of Demand Draft, drawn in favour of Director General, CCRAS, New Delhi. The E.M.D. will be returned to the unsuccessful bidders after the bids are finalized.

iii. The existing equipment which is being offered on buy back basis is Digital Multifunctional Colour Copier Machine Toshiba Model No. e-studio 2820C (SI.No. CWG916138) purchased in 31/08/2009. Interested firms may inspect the said equipment on any working day between 3.00 PM to 5.00 PM after ascertaining convenience at the telephone No. 011-28525852 (Ext. 136). The Council reserves the right to purchase the new equipment with /without the buy back offer.

iv. The Technical Bid must contain information/documents signed by the authorized signatory of the bidding firm/agency should be kept in Technical Bid envelope alongwith other documents/information prescribed in this tender notice at Annexure-I.

v. The bidder must famish list of clients in Govt./Semi Govt. Sectors with address, name of contact person and contact numbers where they have supplied such equipment.

vi. The bidding firm should not have been blacklisted by any Govt./Semi Govt. /Semi. Govt. Deptt., therefore, bidder should furnish an Undertaking to this effect that any Govt./Semi. Deptt. /Office has not blacklisted their firm/agency.

vii. The bidder must have VAT (TIN No.) Service Tax registration and PAN number (copies of the Certificates/Card should be enclosed as a proof), if the same is applicable to his firm.

viii. The dealer ship certificate shall be in the form of an Ink signed letter issued by the Original Equipment Manufacturer (OEM) firm and also submit Manufacture Supporting Document.

viii. The bidder shall quote/indicate the rate for said equipment (in Indian Rupees) offered by it in the ‘Proforma for Financial Bid’ attached with this tender notice at Annexure-II.

ix. The specification of said equipment may be seen at Annexure-III.x. The firm should not handover execution of order to any other/sister firm(s) and in such a

case it will amount to violation of contract and may entail cancelation of contract and forfeiture o f E.M.D.

xi. The tenders will be opened on stipulated date and time mentioned at SI.No. 2 in the presence of the tenderers or their authorized representatives who may like to be present.

xii. If any tenderer withdraws his tender before the expiry of the period fixed for keeping the rates firm for acceptance, the earnest money, if any, deposited will be forfeited and no correspondence in this regard will be entertained thereafter.

xiii. In case where a successful tenderer, does not supply the items in full or in time the Council at its discretion may get such items from the next higher tenderer and the loss, if any, caused to the Council due to increased rates shall be borne by the defaulting tenderer.

xiv. The Director General has every right to reject/accept any bid without assigning any reasons.
